We use it as a time clock system for all our employees as well as a schedule maker. It helps us get the schedule out to everyone easily and quickly as well as let people see changes instantly. It also helps us control our hours better as we can see who has what hours each week.

It is well suited for a smaller business like ours. Scheduling is super easy to handle as well as time sheets and checking on everyone’s hours. It helps us to keep track of everyone’s hours. It is also great simply as a scheduler. I don’t think deputy would be great with an extremely large company but I don’t know.

Deputy is better with schedule management as well as adding employees. It also does everything we need it to already without having to add anything else in. It is the perfect all in one software for employee management. It does everything we need it to. It’s easy and automatic. We love it.
It is super user friendly and took me all of two days to learn how to use it. It makes scheduling incredibly easy and fast. The copy and paste function is a life saver and makes everything so simple. It’s also nice that I can work on everything from my phone.
Everything was super easy and quick. Getting it going took no time at all and worked great from the get go. Allowing our people to clock on themselves from an app made our accuracy with time much better. It makes everything super easy and we’d recommend it to everyone we know.

We use Deputy to plan and make rotas for our coffee shop staff. They clock in and out of their shifts and use it to request time off, alongside speaking to me directly. I use Deputy to export timesheets and send the hours to my accountant who runs the payroll. We now have workers that work partly on-site and partly remote. They have to work 25 hours per week and so managing this could’ve been difficult, but now they start an unscheduled shift on the Deputy app when working so I can track their hours throughout the week.

  • Holiday entitlement is very hard to work out, and so we have not used it yet. We want to use it ASAP but it is difficult.
  • Another setting for offsite / flexible working
For businesses like shops and cafes where there are regular, repeating shifts that need to cover the opening hours of the day/week. It is good because staff can ask each other to swap or cover shifts in the app, as well as claim available shifts. It is maybe less suited for managing flexible home-working hours, but we make it work.
  • Positive: Improved payroll and timekeeping accuracy. We had a staff member who was consistently late, so letting them only clock in only when geographically on site (not while they’re still on their way) was very helpful in seeing if they were on time, managing timekeeping conversations, and in turn, pay them appropriately for their time worked.
  • It is now helping us to manage staff working hours, even when they are working remotely, and so we can check in with them during these working hours, not just receive their hours at the end of the week.
It’s mostly simple to use. For workers clocking in and out, reading messages, seeing shifts, and requesting time off, it’s easy to use. Using the timesheet exporting is sometimes a bit clunky and fiddly, or it goes to a past month instead of the current one. Also the holiday function I still can’t get my head around it, but otherwise, it’s simple to use.
Fine! Setting up a rota was easy from day one, staff keeping on top of their scheduled shifts, availability, and clocking in and out was straightforward from the beginning. That was our initial main use of the product, and all was easy, straightforward, and used immediately.

It’s primarily only used by myself to create rotas, run payroll, and manage leave requests.

It doesn’t require a high level of skill to create rotas and manage staff hours, you just need to be quite tech-savvy, but this should be doable for someone who is managing staff or working in HR.

Price! Being charged per active user is really helpful, not a flat fee that doesn’t change if we have 1 worker or 10!

We were also able to freeze our account for some time during the lockdowns, which was very helpful too.
I might ask other business owner friends what programs they use, but at the time of opening the store, I needed quick and easy decisions and integrations, as we had so much to do.

People who are less tech savvy may want a video walkthrough or a guided call.

Fill out as much information as possible when doing your first set up. Put in staff’s hourly rates, set hours, holiday entitlement, if breaks are unpaid or paid, etc from the beginning. This makes things run a lot smoother down the line, rather than having to set it up and fiddle with things later on.

When we were forced to go into lockdown, I contacted deputy to freeze our account rather than cancelling it, and they froze it until I was ready to reopen I needed these services again, no questions asked.
I’ve always found it easy to get in touch with Deputy and they’ve helped me well on the rare occasions I’ve needed them. The product works very well without the need for support very often!

It’s easy to fire off quick messages that will be delivered to the whole team.

As an admin, it’s actually easier to approve past shifts on the mobile app than it is on the desktop.
We have gone from using deputy simply to schedule a couple of members of staff on coffee shop shifts, to also scheduling staff in the retail unit part of our business, to now also scheduling team days and having remote working staff start on schedule shifts to track their working hours.

This is quite specific, but we have a remote workers who work 25 hours per week. It would be great if deputy linked with an Asana board to show us how many hours these workers have worked per week so far, which would help us with delegating tasks, keeping an eye on their hours, and so on without having to go into the deputy app.

We have several projects and with Deputy we easily divide which costs as it has a feature of location. The best thing from manager perspective is also the scheduling feature where it allows them to manage the roster more easily. As me, software engineer, I like the way how the API is built. It is quite straightforward and not too complicated. In fact, I was the one who suggests Exel group to move to Deputy. We used Replicon before.

  • Editing timesheet needs to be approved straight away (not always our case).
Best for rostering, and scheduling and also it is not too complicated for users to use. Also it is a bit hard for users if they forgot to clock on, and the person who they contact to adjust their timesheet needs to approve it at the same time. Sometimes this is not always the case because the manager / HR just wants to fix it but unable to cross check what or how many hours should be approved.

In terms of cost, Deputy is cheaper and it has a scheduling feature whereas not for Replicon. However according to HR manager, Replicon is more user friendly in terms of functionality and GUI. As for me, I would prefer Deputy's API connection compared to Replicon's. It is more complex to be honest. Deputy's better.
I don't use much and more in API connection. However, I helped the HR to set up. According to them, the usability is not as good as Replicon but still ok for them to manage. I think this is more about reporting feature and the way they work. For other users, they don't have any issue at all.
How about to build face recognition too? I was thinking to build my own regarding this. But, my company hasn't given me enough time for me to implement this. This will allow the users to sign in the morning or at construction sites without needing them to apply on their phone. Sometimes, they don't bring their phone.

We use it for the customer service team, and I believe also for the production team. Both teams work with casuals and rostered (changing) shifts. It provides for easy rostering, timesheet recording and processing.
