Its scope has changed over the years. It's not used quite as much as it once was. It's used now to disseminate multiple resident documents to our external property management system. It's also used for internal workflows. Previously it stored all of our resident's docs as well as all of our check copies from Accounts Payable.
  • Good OCR
  • Easy to use web interface
  • Powerful scanning tools
  • Great document processing
  • OCR is serviceable but has trouble capturing certain documents info 100% of the time
  • Web interface can have slow down issues from time to time
We currently have a scenario where we print 1,000 documents per month, one for each resident. Because of DocuWare's ability to process barcodes, we dump that pdf to DocuWare and it files it into each resident's account. We then run scripting to add each of those documents to our cloud-based property management software. Saves having to process one document at a time per resident.
  • Filing documents by resident (by type)
  • Barcode recognition
  • Positive impact on organizing our key documents. Easy to find resident documents
  • Able to track spending through our AP system and diving into the invoice details

They represent different functions across the organization. Leasing staff teams, our internal credit department as well as Bookkeeping teams and C-suite.

It does require people with IT skills to manage it. The server setup is especially tricky.
  • Resident documents
  • Accounts payable check copies
  • Credit documents
  • Indexing multiple resident files with a simple stack
  • Indexing and reading our utility bills
Docuware has become a vital part of our organization.

We started using DocuWare in a workflow to handle AP for our restaurant clients. We have since moved to a more industry-specific product for invoice processing, but remain using DocuWare to identify and store cash management-related documents.
  • OCR is very good
  • Support
  • Ease of use
  • Some more features would be nice.
  • A little more customizable.
  • Better connections to email/filtering.
We moved a quarter-million documents from file cabinets in our office to be digitally stored. Docuware made this process much, much less time-consuming than it otherwise would have been.
  • OCR

  • Allowed us to do multiple hours less data entry per client/per week.
  • ROI very quickly.
  • Package is customizable so you can scale as needed.
We actually moved from DocuWare to Plate IQ because Plate is restaurant specific and shares many item codes, SKU #'s, etc from major vendors. However, we continue to use DocuWare for other data management because it was so useful to us while we used it for AP.

We have Docuware Cloud deployed across several departments. We use this software when it comes to document processing and storage. The software is very secure, easy to use, and readily accessible from any device. It makes it easy to eliminate the need for physical paperwork. • No outlook integration which I find odd.

Docuware Cloud started as a tool for a department that needed to start a process of documentation and ordering. This tool was adding a lot of value and information to our process. We have managed to improve the purchasing process, and now we have a flow to document every part of the process from when the order is entered until the payment is confirmed. This helps to have a better response and control of information.
  • Control of the flow of online processes
  • Automation of the company processes
  • Online forms and digitization of processing documents
  • Integration with corporate domains. Administration is complex.
  • Some features require a separate download.
I like Docuware Cloud forms designer. You can drag various elements onto the form and quickly place them where you want. This function permits more interaction and faster work.Consulting many documents in different places can be very tedious because you must perform several downloads.
  • It has been positive. In the daily operation of several processes and the response times have been reduced.
Managing documents and processes are very similar. The added value of Docuware Cloud is seen in the administrative management and the investment cost.

Docuware is being used to document and track our purchasing workflows. The approval process was the main reason we implemented Docuware. We needed a means of tracking who was approving expenditures.
  • Workflow management is fairly intuitive.
  • Basic document management functions are handled well.
  • Easy to administrate.
  • No active directory integration, this doubles up user management.
  • No Outlook integration. Would be nice to be able to interact with Docuware from email.
  • No mobile application. We have many remote users that would benefit from this.
A small business in need of document management would be able to get by with Docuware. A large business would be better off spending the money for something more advanced that integrates with enterprise software.
  • Purchasing approval control and monitoring. Allows us to keep tighter hold of the budget.
  • Had to spend considerably more than expected. We needed to hire a developer to build integrations.
  • PDM
