What is Donesafe?

Donesafe is a Health, Safety, Environment and Quality management platform to solve safety and compliance requirements. The HSEQ software connects a management system from workers in the field to the management team in the boardroom. Donesafe is an online platform designed to work on any device, including an offline native iOS and Android app.

Online HSEQ solutions can deliver benefits and offer a world of promise, but most solutions fail early on, especially for companies that don’t have dedicated project teams to implement and manage the solution. We are using Donesafe as our default quality management platform. The majority of the complaints and incidents flow through Donesafe and are tracked regularly. It also helps us keep a company-wide wiki that acts as a knowledge base for new employees and also helps in getting them started quickly. Before Donesafe all of these were scattered across services and some of them were even paper-based, which made it really hard to keep track of and the additional effort it took to coordinate between them was saved after implementing Donesafe across the company.

The ability to have the quality, environment, and incident data all in one place is great. Another major benefit is the flexibility to set up Donesafe according to the needs of the organization along with add-on apps and custom apps. All the quality check and inspections forms can be as detailed or as simple as the requirement asks for. It's easier for employees on the field to fill out the forms which are designed specifically for them.

Donesafe has better offline capabilities in their native mobile apps making it hassle free for the employees in the field where they might have spotty internet connections.The forms are not as flexible in EHS Insight compared to Donesafe. EHS Insight seems to be a better fit for smaller teams which doesn't move a lot.
Donesafe has made it easier to roll out the system company-wide in a relatively short period of time. The mobile apps which work offline are the best part about getting the workforce onboarded and start using the tools for reporting incidents and doing inspections with easy checklists.
The flexible system makes sure there are no unused parts of the software which just adds to the complexity.

Donesafe is used extensively to manage processes across our business including health & safety, risk management, assurance, legal, food safety, insurance, claims, and injury management. The solution is easy to use and has improved our performance through a range of efficiencies whilst increasing transparency.

  • Easy to design: We are able to configure our version to align with existing processes. We can do it our way which creates greater ownership of the process.
  • Transparency: Once the information is in the system, it is easy to create insights and learn where our opportunities lay.

  • A supporting app for users that is easy to use and provides a greater connection.

Our primary purpose for Donesafe is to report and manage incidents and hazards and their associated actions. Other uses currently include; creating, communicating, and managing the completion of Safety Communications such as Safety Alerts; creating Safety Squad Agendas and minutes (i.e. auto-populates templates with data sources); recording safety conversations; and completing checklists and audits.
As a Franchised business, we have total coverage across 1000+ restaurants nationally and accessed by all 100,000+ personnel.

Given the size of our business, the data now allows us to track trends and address issues that would otherwise have been addressed as local issues. It has also given us the ability for corporate support functions to monitor serious issues and support franchisees and restaurants. It also allows us to monitor the completion of corrective actions, all of which weren't possible in a simple practical way before Donesafe.
  • Simple to use. McDonald's is very focused on simplification, so its platforms must be as intuitive as possible as training across such an operation is a logistical challenge especially when combined with a very high labour turnover and high youth employment
  • Customisable. McDonald's has a very complex business model, due to it being 250+ companies, not just one. As such, there is a need for extensive customisation to ensure no group is disadvantaged and no information is lost or compromised.
  • Support. The Donesafe team is quick to respond to bugs and queries. They have a very 'Yes, can do attitude' with very competent and capable staff.
  • Access to our customised platform made available through the Donesafe app.
  • Whilst colour is used in some areas, it is not available to enhance all modules.
  • Ability for standard reports to be built to incorporate fields from different modules.
Donesafe is suited to any business due to its customisability and flexibility. There are no situations we have found as yet where it is not suited.

Donesafe is very intuitive, so requires little if any training for primary stakeholders, i.e. those reporting and managing records created in Donesafe.

We use the Donesafe System as our main online reporting system for hazard/incident reporting across the business. It addresses our issues when reporting a hazard/incident remotely as we have a Field Site Team working in isolated areas. This also helps us to create ease in reporting by providing an online reporting system that creates transparency and initiate communication and consultation between departments.
  • Reporting remotely without filling up a form. This helps in ease of sending out information in a timely manner without filling up a form and sending emails.
  • Transparency- Any hazard/incident reported are registered in the dashboard where stakeholders are able to access the information.
  • Designed for the Field Site Team.
  • Timely response from the contractor's support team.
  • Provision of more in depth training to the Admins.
  • Provision of more in depth training for the Admins to troubleshoot from the back end.
  • Constant follow up and checks done by the contractor after the launch would've been helpful.
I believe Donesafe is one of the best systems developed to ease hazard/incident reporting across a business. It showed transparency and initiates communication to hazard/incident reporters and to the receiver and also across departments. Donesafe if used for its purpose helps also in saving time regarding reporting hazards/incidents across the workplace.

Contractor Management is easy to configure and manage notifications and correspondence with the uploading and storing of validated documents, then the ability to check contractor identities and completed induction records. The ability to upload and set reminders and periods for review such as expiry dates for licenses and accreditation. The only lacking in the system was the ability to print access cards direct for the system.
