EMS software is used by our registrar's office as well as other departments across campus. In my department, Notre Dame Studios, we use EMS to schedule services, resources, and space. It has helped us manage all of our resources in one place.
  • EMS allows us to schedule our staff, equipment and rooms that are needed to complete our services.
  • EMS process templates allow flexibility in scheduling among different types of users across the University.
  • The book view in EMS allows the staff to view the day ahead in a glance.
  • When using the calculations option in pricing, it is almost impossible to report on those amounts. We currently have to run several reports to get the details needed. It can be very tedious pulling the data together.
  • When entering payments it would be ideal to allow a batch of reservations to be shown as paid, rather then entering each reservation number individually.
  • When processing invoices, it would be ideal if the invoices could be emailed as a mail merge instead of one invoice at a time.
The % calculation function is difficult to report on. The software is great for scheduling events and adding various resources to the event.

We have engaged Accruent EMS software in my organization for managing meetings whether they are physical or online. It helps with booking meeting rooms, video conferencing, and management of workspaces. With EMS we avoid double booking rooms and ensure the meeting rooms are allocated in accordance with the number of people meeting and the available technology.
  • Only one meeting room can be booked at a time eliminating double booking of rooms.
  • Keeps tabs on relations and their bookings.
  • Allows for cooperation between departments in the organization.
  • Ensures there is correct data across systems to avoid planning mistakes.
  • Reporting provides limited information and there should be an option adding email messages.
  • How it works remotely needs a lot of improvement.
EMS gives the full view of how conference rooms are being utilized when booking. We can also access details like available seats and technology in a room. It ensures there is accurate data beyond all our systems doing away with twofold information and mistakes when planning. EMS is effective in linking people and sharing affairs across the organization.

I book conference rooms and event spaces as well as a lending pool for meetings, training, and events such as retirement parties, Alumni teas, nursing graduations, etc. I also coordinate set-ups and take-downs for these events. Once a week, I print reports and deliver them to the appropriate depts.
  • I can book conference rooms without fear of double booking.
  • The set ups and take downs are easily arranged with the reports I print out.
  • I can check any booking easily, add to it or cancel.
  • With large bookings with multiple dates, it is easy to book or cancel all or just parts of it.
  • There are three of us on the server for this program, and only one of us can set the terms. I was the first user of this program, but somehow one of the other users picked how we use the time feature. I prefer the 24-hour clock as I work in a hospital, but the person who set it up wants the 12-hour clock.
  • Before the last change you could do a booking and add the setup at the same time but now you do the booking and then add details, not bad but easier the other way.
For my use on booking conference rooms, event spaces, equipment as well as setups it works great, and adding generating reports make my job effortless. I really can't give less appropriate usage as I haven't run into any in the 22 years with this program. I really think it makes my job much more streamlined and fewer mistakes occur.

We've been using EMS for several years now and have found it to be efficient and easy to use for both desktop and web based clients. We have very few issues and when we have, we have had a positive response to our questions. We are not yet using it campus wide, but hope to incorporate other buildings in the future. Right now our student union buildings and visitor's center are the only buildings that use EMS.

EMS is much easier to use than our previous reservation system. Even though only two departments are currently using this program, it can easily be modified to accommodate others on campus. It is user friendly on both the Desktop and Web-based clients. We now have the ability to view calendars for other buildings which makes it easier to help visitor's locate where their events are taking place.

We have onboarded EMS software this year to our global enterprise and it is being used as the primary meeting and space management software solution for our global users across 17 regional offices.

  • The onboarding procedure can be better. There were technical issues during our onboarding process but the engineer did not have sufficient knowledge or documentation to resolve it, and it took quite long to get it remediated eventually.

The product has great scalability and covers many use cases for meeting & space management solutions for our firm. The EMS Outlook plug-in is very convenient for our end users to book rooms and send out calendar details in an integrated place. The Zoom integration ability is a plus especially in this pandemic environment where most of our users are working from home and utilize Zoom for daily conferencing.

Accruent EMS is used by our organization to schedule meetings and events (on and offsite), visitor offices, and apartments. It is also used to manage technology, catering, and facility needs. It is used across the entire company by coordinators to schedule requests, service teams, and employees to submit requests. It allows us to use one platform for all events throughout our firm, as well as to report on meetings and events and billing.

  • Wide array of reporting, from basic simple reports to complex reports including all details and billing. Reports can also be customizable and are very easy to follow.
  • Easy to learn and train on--it's very easy to understand and follow.
  • Notifications could be more customizable.
  • When adding a new room or resource, there are multiple places to go to be sure it has been added to all the appropriate areas, templates, etc. Would be great if that could all be addressed in one place when initially adding the item.
  • Accruent EMS is very robust, which is great. But it would have been great to know the different ways it can be used prior to the configuration process to help better determine the best configuration and setup for our company.
Accruent EMS Software is very well suited for conference room scheduling and adding services. Reporting can be customized to show different information based on what you want to report on. This is very beneficial when giving different service teams reports for only their items or being able to include additional information for their reference if needed.

We use Accruent EMS across all offices for booking conference rooms for meetings. EMS keeps our bookings organized and accessible so that everyone can see and those who need to manage, can manage them.
  • Holds all of our conferencing information in a central location.
  • The history feature helps us when there is a change made to a reservation--helps track down where an issue might have presented itself.
  • Reports--I can literally run a report on any statistic I want or need.
  • Interface with Outlook--although this is always so difficult with applications and Microsoft products.
  • The form you fill out to make a reservation could be streamlined.
  • Streamline the multi-location booking with regard to amenities. Currently, you submit your booking and then have to go back into the software to amend every single booking. Why can't we do this during the booking process?
I will always recommend Accruent EMS because it is the best tool currently on the market for what we do. If a better, more simple tool presents itself, I would definitely investigate.

Our conference services team utilizes Accruent EMS for managing conference space for our client's entire footprint. We use it to reserve space and detail events for the client as well as using it for statistical reporting. We are able to provide accurate reporting on a variety of topics that help the client better understand their space usage.
  • Accruent EMS is very easy to use. It has a straight forward approach to entering information, making us very time efficient.
  • It has a great ability to create personalized reporting to focus on specific needs requested by our client.
  • We utilize the API to work with digital signage on our account. This has been a very helpful feature for our team.
  • Would like more flexibility with utilization reporting criteria.
  • Auto-triggered notifications are a nice feature but would like the ability to edit the outgoing messages a bit more.
Accruent EMS is great for booking (rooms, resources, people) and detailing events. It is a very robust system that allows you to capture and report on multiple areas (daily utilization, attendee count, utilization by the hour).
Changes are captured almost immediately so information is kept up to date in real-time, making information available to our entire team instantly.

We are a teaching hospital and I book out conference rooms for meetings, classes, workshops etc as well as equipment like laptops, projectors, Flat screens.

  • I love the calendar feature that I can filter rooms
  • When I print my reports it would be great to have highlighting feature
  • I like it when canceling to know who the person who canceled is, but I don't like that we have to put a reason.
It is well suited for booking rooms, especially where there are setups and restores. We have a crew that does setups etc. and so when I print out my reports I can give them a copy with the setup and restores, it is very clear and I highlight what I need them to do. It works well with booking equipment as well.

EMS is used to manage bookings from various room owners for different rooms such as classrooms, boardrooms, computer labs, and multipurpose rooms. Student group leaders use Virtual EMS to request bookings. EMS Web Client is utilized for users that are using Macs or a wireless connection.

We are currently using EMS in the business school at our university. We are also in the midst of bringing it onboard to use it across campus. We use EMS to book rooms, block rooms, upload classroom schedules, hoteling, breakout rooms bookings to host a variety of bookings (workshops, classes, internal meetings etc).
  • EMS has the ability to create reports on room usage and booking rates. This assistance us in justifying expansions in our building.
  • EMS also has the ability to show the rate of bookings, how many bookings are being creating, and by who. This allows us to hire more resouraces based on these stats.
  • EMS can improve on their copy and paste feature. Currently you can not copy and paste on multiple bookings without losing the original content of the copy. I have made a report regarding this.
  • Have more than two contacts on a reservation. For example, if there are three leads on a event, then we can only input 2 contact info
I would recommend EMS for our new nursing building that will be opening up in the next few months. EMS would be great because this nursing building will not only have classes taking place but also housing.

EMS is used across Columbia University. My department is using EMS to manage four different departments, one of them is Catering which doesn't have any building related. I am working in finance, so I have a general view of the behavior of these department business and the final procedures like billing, invoicing, and analysis.
I can see how EMS is very flexible in terms of event management, daily reconciliations and implementing resources and categories for types of uses. However, in terms of analysis there's a certain lack of consistency. We are missing an alternative option to void invoices since we don't want our past revenue to change but rather have the alternative of having a credit invoice instead.

For any type of event business, EMS is well suited. Businesses like hotels, university, real state business... EMS can be adapted for those necessities.

The University of Oregon is preparing to use EMS Software for event and class scheduling across our entire campus. Initial users will include the registrar's office, scheduling and event services, our alumni center and our business school; we hope to roll it out to additional departments within the next couple of years. This application and anticipated integration with other software will help aggregate our school's activities in a single source for better communication of information to customers and use by risk management services.
  • The graphic user interface is well-designed and intuitive, which promotes productivity.
  • It provides workflow functionality for schedulers and service providers to efficiently relay event details and status.
  • The user-defined fields add the ability to customize reservation and space records to better meet campus business needs.
  • Bookings contain a limited number of standard time fields (event start, event end, setup time, teardown time); more options here are desirable.
  • Resource records are not as robust as some of the other areas, and could benefit from additional standard and user-defined fields.
  • Applying blackouts to spaces (to prevent bookings during certain times) appears to be a challenge: we believe it can be done, but the process doesn't seem to be straightforward.
Comprehensive event scheduling software is a very specialized entity and there are only a handful of vendors that can deliver such a product. Based on previous experience with a competitor's application, I believe EMS Software is currently the best choice for a higher education environment where academic (class scheduling) and non-academic (event scheduling) departments wish to collaborate and share spaces for efficient use of campus facilities. Because the software is extremely easy to use and intuitive, departments that rely on revolving student workers for information entry will particularly benefit from the minimal training required to perform basic operations.

EMS is being used to manage space and services in our Student Union Building. It addresses the the high volume of space requests, and inventory tracking. We use it to push a master calendar, bill for our event services as well as provide comprehensive space utilization reporting. With a 5 tier rat structure and varying access to different group EMS is the best tool for our job.
  • It has excellent stock and customization reports. We have a responsibility to communicate the activity in the building to multiple stakeholders (dining, custodial etc) EMS allows us to create a custom report and automate it to send so we never miss a communication
  • It has a robust amount of tools to assist you in both space and service management. The way the Process Templates (web intake forms) have been designed allow us to use logic based reasoning so that one form can handle complex events all the way down to a simple boardroom reservation.
  • It has numerous integrations available to help make a seamless event management process including connections to 7pointOps and Campus Labs Engage which we use for our Student Organizations
  • We desperately wish there was a simpler way to do invoicing notifications to our clients rather than the manual email process
  • It would be excellent to simplify the rate schedule and pricing plan process. There are almost too many ways to change pricing. The ability to import an excel document of new pricing would make our lives much easier.
EMS is a great tool for anyone looking to streamline their space booking and service delivery process. There are many products to schedule space however, EMS is a true event management software that building in the ability to notify the various vendors for an event of service deliver changes and requests

EMS Software has been great in helping several areas within our university schedule events as well as complete course classroom assignments which would otherwise be incredibly cumbersome.

  • It would be nice to have little information boxes for different fields/options that explained a bit about what that feature does and how it is important
  • It can be daunting to try to explore possibilities of features that are currently not in use. It would be nice to have an option for a help section that easily allowed you to see how you might fully take advantage of the features you already have access to for learning/ exploring purposes.
  • I can't open another window within EMS (activity book for example) without finishing my room assignment or reservation task. However, sometimes I really need to see two things at once and end up having to open another EMS entirely on a different monitor to be able to accomplish what I need to do (for example I may have two back to back classes that need to be in the same room or close, so I need to be able to see options for each class side by side.)
EMS has a wide range of features that can be well adapted for a large variety of needs. For the most part, it is very appropriate for most instances, but much smaller companies/institutions may find all the features unnecessary/overwhelming.

We use EMS to schedule all our classes in our NU System and State Colleges; we are utilizing Academic and event scheduling. We have also spread our use to individual departments and all colleges at each of our campuses. Some of our areas are still slowly growing into it but will be fully utilizing it within the next year.
  • Academic Scheduling works really well with the Sync and Publish tools
  • Event Scheduling and the ability to leverage templates to the specific user groups
  • Workflows in the 44.1 version have improved greatly and help with the automated reporting is a great feature.
  • A deeper workflow would be great to help with a few of our more complex issues
  • Integrations of O365 to work more seamlessly with EMS web
The original need to expand EMS was to help with our need of Students to schedule study spaces without intervention from a person and we found that EMS did what we needed very well. We were able to build a template for our students to jump online and schedule the specific room and time they wanted their study space.

Our college has primarily used this to schedule all events and catering in campus. It primarily ran non athletic events, and we are now implementing the EMS course scheduling for the optimizations. A few specific departments really use it, primarily performing arts, and catering. Everyone else on campus uses it but not to its fullest extent and not if they can manage to not use it (no services or publicity required). The Grant and community outreach folks have finally discovered its usefulness for their reporting by principal investigators and for auditing purposes.

User acceptance is the biggest hurdle in my mind, it lends itself to being used in many different ways if you are willing to think outside the box and let it manage your resources.

EMS is an integral part of the management of space on both the Allendale campus and our downtown Grand Rapids campus. It is used to manage equipment inventory, event specifics, internal record-keeping, and much more.

  • The ability to use 7PointOps and Social Tables with EMS have been an invaluable to our operations
  • We have connectivity issues at times. I am not certain this is due to hardware on our end or software issues.
  • Regional customer groups are a good idea for us to take part in. This would allow us access to best practices of others

EMS software is being used across our whole organization. Our company has over 10,000 employees, different teams and locations. EMS helps us by allowing users to book room spaces for meetings or workspaces.
  • I like that EMS has the ability to create different templates for different types of rooms.
  • I like the ability to customize a templates experience for users such as allowing specific users to use the template as well as if room needs to be checked in to we can include this feature.
  • I like the Platform services service, which provides most of the functionalities EMS has to offer to our custom applications.
  • Platform services sometimes needs a little improvement such as compatibility and features that the web app has and platform services does not provide such as room types.
  • Platform services needs to include the ability to include favorites rooms that you can find within the web app.
EMS platform services is well suited to be included in custom applications. Some features are not offered in this service that you would find in the Web app but the service itself is great!

I use EMS to book rooms in our conference center and it is also used throughout the whole organization to book rooms in other parts of the office. Helps us book rooms more efficiently.
  • We rarely run in to any conflicts while using EMS which is great for an organization that uses conference rooms regularly.
  • There are numerous reports you can run to keep organized. Reports for catering, AV equipment needed, more tables, chairs, etc...
  • Adrienne at EMS is always quick at responding and helping us troubleshoot any issues we may run in to.
  • Although the reports can be very detailed, sometimes we need them to be more simple for quick and easy reading.
  • We had issues with our panels with people checking in and it kicking them out of the room regardless.
Well-suited for a large conference center area with many requests from users. It would be great to 2-way sync in Outlook and EMS. I could see that being an issue in some companies.

EMS is a technological solution to centralize academic scheduling at WSU. We also use for event scheduling.
  • It works well with scheduling events and has many features to execute events on campus
  • EMS provides a central location to see all academic events and nonacademic events happening on campus
  • EMS has a robust report tool
  • It is difficult to implement and learn how to use the system. The user interface could be improved.
  • It only optimizes location, which is only part of developing an academic schedule. I would like to see it optimize time as well.
It is well suited for event scheduling but struggles with the academic scheduling. There is a much simpler system that could be used to schedule academics.

EMS is used across our institution. We use it for managing all classes and event spaces. We also use it to communicate needs with service providers - catering, event and classroom tech support, facilities, card services, guest housing, public safety, transportation, and card services.
  • EMS allows us to communicate with our campus partners in a number of ways - via auto reporting, notifications or reminders, depending on the preference of each user/group.
  • The customer service team is always well versed and extremely helpful in knowing the software so they can help us tailor the system to best suit our needs when we have questions.
  • Reporting options are really flexible. Having the option to create queries outside of the canned report options is truly helpful.
  • One area that needs to be better developed or looked into is the Master Calendar. As universities continue to looks for ways to provide one-stop shopping, it would be helpful to have a place that easily streamlines event data and event marketing in one place. Students want to go to one place to see events and plan events. Master Calendar was a good start but it is ancient and very disjointed from EMS.
  • We would love to have the webclient back. We have several users that use an ipad or apple computer and the webclient allowed that functionality.
  • One area for improvement is managing system changes. As the EMS administrator for the university, it would be great to be able to add a new building or category to EMS and add those items to all existing templates, reports, etc in one place.
EMS is a great tool for managing campus space and events. It is also well suited to manage service providers as they relate to events (though there are some restrictions for catering). It is however not the easiest to use to market those events, even though all of the event data is stored there.

Our organization uses EMS to book meeting space across the United States and abroad. We use it for reoccurring meetings, multi-site meetings, town halls, and everything in between. The integration with Outlook allows all of the employees to seamlessly book meetings in calendar invites and adjust the locations as times or needs change.
  • EMS seamlessly manages time zones, so when booking across multiple time zones you do not have to do any conversion or look at any charts to book in the correct time.
  • Manages inventory, so if you only have a specific number of tables for example, it will inform users when the max has been reached and it will set out a sheet detailing where the inventory is booked so it can be managed appropriately.
  • Overall, customization is very nice with EMS. You can create your own views to group rooms together. You can pull a lot of different reports, or run queries to gather other information. You can change room names easily. You can add a pop up to individual rooms if there is information pertinent to users before they book that space. You can add features to rooms so someone can search for rooms that include only that specific feature. There is just a lot that can be done with the program to customize it to your needs--which can even be done differently from user to user, administrator to administrator.
  • Catering reports could use some improvements. There is not a way to customize the catering reports to have it not only itemize the orders per booking, but also include tax. We have to pull multiple reports to be able to complete billing with our caterers.
  • Adding a new Item such as a new building or a new catering menu can cause challenges because there are so many little areas that MUST be updated for the new item to be seen by all users at all stages. Not only do you have to create the building and all the rooms, but you also have to add those rooms/building to each individual template, add it to the CONFIRMATION of each individual template, add it to the custom views created, ensure Web Users can view the rooms/building, and a few other places you didn't realize you had to update until you receive communication from end users that there are challenges. It would be nice if there was more of a one-stop-shop for adding new items.
EMS is great for Outlook integration for the end users because it allows them to book and edit within their calendar. however, for Desktop users editing something made from Outlook it can be a challenge. We have had to cancel all rooms and rebook them if one room isn't available at a specific time but the others are. Or if someone wants to merge two different reservations from 2 Outlook invites into one large invite, we have to again cancel one and add it to the others. If the cancellations are not done correctly from the desktop client, then the entire invite can be cancelled accidentally and the end user has to start over again. These are more exceptional bookings than standard that cause problems. Most of our events booked in Outlook occur without challenges.

EMS Software is used by our campus to manage most academic spaces and other event spaces. We use it as a risk management tool as well as to avoid event conflicts with classes. It has enabled us to be prepared for multiple large events on campus as well as to mitigate anyone who is advertising an event on campus without reserving the space.
  • EMS is user-friendly. The program for both the administrators and the end web user is pretty straightforward and easy to use.
  • EMS is very customizable for all of the different entities who use the software.
  • EMS has useful reports, and even custom reports can be created.
  • EMS has almost too many customizable features. Some of the custom functions can be done at different levels, but do the same thing, so it's hard to determine what part of the process to customize.
  • EMS Support isn't always the best for the end user who does not have access to the back end database or knowledge of the database functions.
  • The custom reports are missing a feature to pull a report when the status of the booking has changed.
EMS is well suited for academic, corporate, and office sharing spaces. It has many different integrations that can be made, including locking doors and controlling HVAC units. It is useful for booking rooms on demand and also for requesting rooms.
