Exclaimer helped us solve the problem of centralized email signature management in our company using Microsoft 365 Exchange Online. It removed the pain of chasing our staff for their signature updates across all devices, especially mobile phones. It is now possible to easily set seasonal email signatures, e.g., a Christmas greeting or a trade show banner. It saves administrative time and is a good value for money!

We use Exclaimer to provide consistent signature content for each employee. The financial services industry is heavily regulated. Simple things like what you describe yourself as need to be accurate. Also, since we are client-facing, providing a consistent look and feel helps our company to appear more professional. Exclaimer has been very useful for both situations. Also, it takes a new employee precious time to play around with signature settings, also something that Exclaimer eliminates. Exclaimer allows one central person to maintain the look and feel of employee signatures while pulling all the unique fields from Office 365 such as job title and telephone number.

While you have some freedom to make different signature categories in Exclaimer, if you need almost unlimited custom attributes then Exclaimer wouldnt be the best fit at the moment.

We use Exclaimer as our main email signature system for the entire company. We needed something that could accommodate multiple brands and a variety of different needs for various departments with fairly intricate conditional formatting.

  • Ability to "nest" conditional statements within one field, versus having to "stack" them all in the template
  • Better explanation of how conditions for policy management is actually applied. Right now the folder assignments don't seem to work, which creates redundant work for the user when they need to use the same assignments for multiple signatures in a folder. The folder assignment feature shouldn't be offered unless it's fully working.
Exclaimer works as a baseline software for email signature management. There are multiple areas of improvement that need to be addressed in order for me to give it a higher rating including:
  • Policy tester for non-cloud users
  • Improved conditional statement approach
  • Clarity on folder assignments and exclusions. Right now there is a folder assignment option that doesn't seem to work, and when you "remove" someone from a policy under the assignments tab it does nothing. These features are big bugs that need to be addressed to cause much less headache, especially when a policy tester feature is not available for client-side users.

Signatures in E-Mails may or may not lead to be sued in an individual country if it is used for a business transaction where company information is missing. However, If you are required to, or want to provide evidence of a business transaction using mail, and the signature does not contain the correct business information, then the E-Mail is not legally valid as evidence in any country. Stop wasting time working who can sue you for what, and just ensure that all mails have a signature, working out which one’s cause costs that are relevant to a business process is just wasting time and money. Exclaimer isn't inexpensive for what it does. It takes away, the need for every user to ensure all the time on every device and application, that they have a correct and actual signature. 500000 Employees doing this with completely different signature styles and data quality and time taken is wasting time, money and reputation. One central solution, that doesn't need to be installed on a computer or device or application that grabs the mail after sending guarantees the correct signature. Also, each individual receiver of the mail gets the signature from the sender that is correct, not one mail sent, one signature to all. This is done in far less that a second, even with very high volumes of outgoing mail. This company meets the European data protection requirements as well. Regarding usability in making the signatures used, and who can make them, Exclaimer still has work to do, but its core function is excellent. Their customer support for Large Companies is excellent, their willingness to improve user experience noticeable.

  • User interface for editing signatures is poor, after saving you are presented with a wizard of what to do next instead of just saving. There is no "just save button", their is no "just close and go back to last screen".

  • If you only have 50 Signatures then this point is not relevant. I have more than 1000 Signatures in the portal, this is a very high load for the portal. Content in portal is generated after the fact in the browser page by page which means menu's are not fully loaded when the page is loaded. Signatures are loaded after the fact in the portal browser side too, which leads to time outs, not showing all the signatures.
  • They are still working on role based access rights, either you are an admin that can do everything or an editor that can only edit content that the admin has released for you. This is fine with only 1 Admin and 10 Editors with 10 folders, but with many admins and editors, and folders is an issue.
Any company which conducts business using mail should have clean, correct, signatures, using this tool makes sure this happens. It reduces costs by it being done once rather than poorly by every individual user in your company.

Their is no scenario where you should ever allow a user to decide what is legally acceptable in representing your company in transactions for every single mail. CI CD is not possible without a tool, correct address and contact information is not possible with out a tool. Ensuring that a change in signature is updated with one change is not possible without a tool.

We noticed an issue with the appearance of signatures in emails that were being sent by our user base so we needed to look for a solution. We found that a lot of employees had customised their email signatures in some way which we thought created a non-uniform and unprofessional look. We've seen different fonts, colours, images, etc. So, we started to use Exclaimer to resolve this issue and give us more control over how our users' outgoing emails looked and it does the job perfectly so far.
  • The ability to synchronize user information with the Exclaimer system from our AD is especially useful for us and it handles this very well. We haven't had any issues with this since we started using it.
  • The signature designer is very intuitive and easy to use. It makes the process of designing a new signature a much smoother process, especially when you can see a preview of it on the same page!
  • The signature tester is a very useful feature for me when I am creating and applying new signatures to users. This feature allows me to see which signature will be applied when a user sends an email to a specific user, which is especially helpful when you've got a different signature setup for internal and external recipients.
  • Although the signature designer is very easy-to-use, the image resizing feature needs fixing or removing. I've had a number of issues in the past with images duplicating and changing sizes in emails where I have changed the size of the said image using the integrated feature within the Exclaimer signature designer. You can work around this by importing the image at the correct resolution instead of using the resizing feature, but if this is required then the feature shouldn't be available as it can cause unprofessional-looking emails.
Exclaimer is especially useful for users who aren't very IT-literate. Before, we would send out guides to employees on how to change or add email signatures and some people wouldn't quite understand what to do or wouldn't follow the guide correctly. With Exclaimer cloud signatures, this issue is completely avoided and the IT department now has full control over any email signature changes.

I have to manually set signatures on each individual user, which makes it a lot quicker to update when needed. We use it across the board and find it very helpful.

It allows all of our employees to have a standard but personalised signature at all times no matter where the email is sent from, whether it be desktop/tablet/phone. Signatures are managed from the online portal allowing us to manage everyone’s signatures with ease.

We currently use Exclaimer as our Cloud Signature service for outbound emails. Branding is very important in our business. Exclaimer was instrumental in helping ensure consistency in our communications with clients and residents we support on a daily basis. We are looking forward to evaluating and implementing the newer features that Exclaimer has added to their service.

Exclaimer's signature manager is a joy to use. We have multiple O365 tenants as well as a G-Suite tenant. Exporting and importing signatures to use as a starting point to customize for specific business units was a breeze. The design interface can feel a bit clunky at times, but we never had any issues achieving the desired look for our signatures.

Standardization of signatures provides a consistent company image. The ability to use Exclaimer with mobile devices is essential for this standardization. Most mobile device applications do not allow for a graphic signature that includes all the links and information connections for our company. It is a great presentation tool and therefore a professional image we provide in every email we send.

Exclaimer is well suited for consistent signatures where the company has several website connections, such as LinkedIn, FaceBook, Twitter, etc. In my opinion, Exclaimer is not very user-friendly if you are using a 3rd party email security application such as BitDefender or Proofpoint.

Exlaimer is a great way to create and roll out professional email signatures for all users within the organisation. We can create custom signature depending on specific attributes in active director or office 365.

We currently use Exclaimer to apply signatures to our user's email addresses. This gives us customizability and also the ability to track clicks and interactions with each user's email.

Exclaimer is good for giving recipients details about our business such as website, socials, and contact info. If you have it to apply to all emails it can make an email with lots of replies fairly long as it will keep applying each signature to each email. Overall it's quite good at what it does but there are just a few issues with signatures not being applied at the right times.

We use Exclaimer to apply email signatures to employee emails to maintain consistent branding and compliance.

  • Allows rule customization for when signatures are added
  • Exclaimer should allow users to hide AD fields when the field is empty. For example, not all users want their mobile phone number displayed. Rather than hide the mobile icon/row when there's no number, I have to create a whole separate email sig, without the icon/row. This complicates rules.
Exclaimer helps maintain a consistent brand look/feel for all employee signatures. It allows me to add company-wide marketing messages, notifications about office closures, etc. Being able to push email signatures for employees who have limited technical skills makes implementation and changes/updates easier.

Exclaimer Cloud allows us to ensure all signatures are up to date an inline with company branding. It removes the hassle of creating a new signature for new starters and then installing this on each device required. The ability to have signatures added to emails sent from mobile devices has allowed staff to work flexibly whilst also looking professional.

We use Exclaimer to centrally manage our signatures in the company. We used to have many employees not adhering to the companies branding and changing their signatures on Outlook to be whatever they wanted it to be. Exclaimer stopped that for us. Having multiple signatures for different levels of management and having it change depending on if it's sent to externally or internally is great for us.

  • Improving bit map signature sizing on a wide variety of devices

In business that get above 100 employees central management of signatures is needed to ensure the brand is carried properly by each employee. That is where exclaimer shines. Having signatures change depending on who the recipient is, is another feature that Exclaimer is very well suited for. For very small businesses it wouldn't be as effective since control can be maintained without the need for a central signature program.

Exclaimer resolved an issue where each user had a different version of signatures, not allowing for uniformity across the whole company this was sometimes confusing for the recipients of the emails as they did not believe that the emails came from the same company. In addition to this, Exclaimer allowed us to attach multiple marketing campaigns to emails dependent on the recipient or domain name or who was sending the e-mail. This was good for the companies to standardise signatures across all subsidiaries and departments to give a single-facing front to our customers and suppliers

I was tasked with finding an email signature solution which would be company branded across all employees and maintained centrally.
There were a few providers that I ran trials with but none of them were as easy to use as Exclaimer, the trial was so simple to start and there were easy guides through the setup process. Once created I could apply signatures to emails sent from mobile devices as well as PC's and Laptops with real simplicity. I can also roll out timed signatures for seasonal events to add extra interest, while having the option to keep signatures standard for certain users if required.
  • Centralised maintenance of company signatures.
  • Ability to have timed signatures for seasonal events.
  • Ease of design and maintenance of signatures.
  • We have some mailboxes accessed by multiple people and this means their username doesn't get added, perhaps this could be pulled from the default mailbox.
  • Feedback options are still in trial phase, and we found it difficult to stop being spammed with ratings from invalid addresses.
Exclaimer is great for applying company branded signatures across all devices that are sending emails, signatures are applied in the cloud when the email is sent and just works a treat.
Occasionally there are users who do not wish to send a customised or seasonal signature, but they can still choose which signature to use from the drop-down option in outlook and it is very useful.
