What is Filevine?

Filevine is a project management and workflow automation platform for law firms from the company of the same name in Utah.

Filevine allows us to keep and organize client information directly in its CRM.

Pros

  • Document management

Cons

  • Reporting- it's missing the ability to pull information needed for law firms to properly evaluate performance, and the information that is available can be difficult to put together in a report.
  • Time keeping- it does not allow variables by user and must be set by teams, and then you cannot set minimum time increments differently by user or by project/ case.
  • Support- the live support allows easy access, but, in my experience, their ability to solve problems is hit and miss, and when live support cannot find the answer, expect to wait many days and often weeks before getting an answer, and then sometimes you still do not get one.

Return on Investment

  • In my opinion, cost has become higher than its useful value
  • Filevine allows good organization of documents and client information, but not better than other competitors.

Use Cases and Deployment Scope

I use Filevine daily in my organization to organize our client files - everything from intake documents, discovery, pleadings, demands, insurance information, depositions and trial docs. Filevine keeps everything nice and organized!

Pros

  • Organizes client files
  • Easily edit and move documents
  • combine files into a singular document

Cons

  • The new Docs tab update is taking me time to get used to. I liked the old version much better.

Return on Investment

  • Filevine makes me more efficient, and makes my job on a day to day basis easier, which in turn allows me to create better work product as well as streamlining the settlement process.

Using Filevine has improved my teams work performance by leaps and bounds. Creating real time reports, and the way the cases are organized are top notch.

Filevine is a good place to start.

Use Cases and Deployment Scope

Filevine is our main software for managing legal cases. We keep track of client communications with it as well as expenses, contact information, medical records, and team tasks.

Pros

  • Filevine allows us to keep a detailed log of notes, with time and date stamps.
  • Filevine allows for quick transition through files and sections within a file.
  • Filevine has good calendar for managing deadlines.

Cons

  • The drop downs are finicky. If I am not perfectly hovered over an option the entire drop down disappears and I have to do it again.
  • A search feature within the client files would be amazing. Rather than scrolling for a specific conversation, I would like to be able to type in keywords and it pull up. But only in that one clients file.
  • More app compatibility. It would be nice if I could call/text/email directly from Filevine. But not all of my apps are compatible.
  • Texting and Faxing fail consistently. I don't know that I have ever been able to successfully send a text from Filevine.

Return on Investment

  • Switching from paper filing to Filevine has allowed the firm to grow exponentially. We are able to take on 10 times the cases as before.

I use Filevine to organize and negotiate medical bills. I like how it places everything in one place for medical information regarding each case. I also use the documentation tab to look up case information regarding liens and key case information that important in closing a case. Since I am in the closing department I also use QB accounting so that I can make sure case expenses are accounted for in disbursement of funds.

Pros

  • Vital Case information that right in front of me at all times
  • Quick Access to financial reports that are key to the firm
  • And great contact information that is found all in one place

Cons

  • Improving document tracking. I wish Filevine could automatically organize all files uploaded
  • Every time I log off, I lose the cases that I was working on for the next day
  • ChatGPT should be integrated into Filevine for more accurate analysis

Return on Investment

  • Tracking Settlements for each month and improved accountability and incentivized more settlements for the firm by 40%
  • Helping track expenses and reduced costs by 10%
  • Helped the firm generate better reviews by helping keep clients up to date improving client retention rate by 20%
