As a service business (marketing agency), our time is our work product, so it's essential to keep accurate records. We started out with FunctionFox when we had just two people, so this was one of our first and most important paid applications that we added to support the business. Today we have grown to 7 users, and the system has effortlessly grown with us.,With only a couple clicks I can still easily pull reports by employee on a weekly basis which provide the information I need to run payroll. I pull reports by client each month for our monthly client billings, which we have broken down by project so I can easily see how our time was spent on their account. We set a budget for the approved number of hours we can apply to any one project for the month, and the system provides the project manager with a warning as the limit comes near. That function has been fantastic! FunctionFox's Help Desk personnel are wonderful, providing an exceptionally personalized experience. They take their time, and will even schedule a call to go into greater depth, such as an entire account review just to ensure you're able to use all the product features to your company's best advantage. But I must admit, leaving FunctionFox has been a very difficult choice.,8,FunctionFox has been our very first time tracking application for the business, so it's helped ensure we're billing out for all the time worked on our client's behalf. Or at least we are able to see how much time we consciously decide NOT to bill. With greater visibility of our data, we're able to track employee efficiency. For instance, we are able to see the # of hours that are billable vs. non-billable per week, so everyone now sees their billable % stats with each paycheck. As a freelancer, professionalism is vitally important in establishing and maintaining trust with clients. FunctionFox supports its software with above-and-beyond customer service. I used to create invoices based mostly on what sounded fair, rather than on accurate time & cost records. I'm sure my clients loved it, but it wasn't healthy for my business. Now I base invoices on actual time and expense records, and end up with more money in my pocket. It's not tangible, but FunctionFox has improved my ability to communicate with clients, and with freelance partners when I'm involved in a collaborative project. I can anticipate and discuss potential budget or delivery deadline overruns before they occur. The goodwill this builds has had a tremendously positive impact on client and partnership relations. I fell into freelancing without a lot of experience running a business. FunctionFox has been a great teacher, helping me think through many issues that I wouldn't have even recognized as important. We use TimeFox for both our time tracking and project tracking. We are able to manage the status and tasks associated with each of our projects, as well as track time for each employee of our entire organization. It has been a very valuable tool.
  • Project Management.
  • Employee Time Tracking.
  • Task Management.
  • Searchability could be improved a bit.
If your organization manages multiple projects (internally, not like a basecamp), and you need to assign tasks and track hours -- this is the software for you!

If you are trying to track time across teams or functions, that is really what FunctionFox is designed for. I think this would work better for individual, smaller teams with similar tasks and activities, instead of for larger companies with more complex organizational operations. If you are just getting started with time tracking, this could be a good place to start.

FunctionFox seems particularly well suited for tracking time where there is one billing rate for each individual rather than the scenario where one person is billed out to clients at different rates. It would seem to be most appropriate for smaller organizations (< 10 people) since those with more people would certainly need the ability to have it integrate with QuickBooks. For the price though, it's great for those smaller companies. As we've grown, we've found other applications that are more expensive and more highly adapted to Marketing Agencies in particular. Plus, we now track our expenses directly in QuickBooks vs. using that FunctionFox feature (since the two don't integrate, there's no reason to track them in both places).

FunctionFox was designed by and for smaller creative companies. For those companies, it hits the spot - the terminology is right, features and processes are bang on, and the focus is appropriate. This means however, that it is not as well suited to large organizations, or to companies that are not in the creative industry.

FunctionFox is a great platform to track all of our project's hours, record design hours and tracking a project lifecycle. It also provides an easy method for billing to have project numbers, names and a breakdown of hours billed throughout the weeks or months it's ongoing. FunctionFox is especially well suited for really small businesses where there are NOT a lot of people to track, and manage. It really requires people to communicate with each other in order to track projects and communicate all other aspects, but serves as a useful tool to track actual costs over the lifecycle of the project.

TimeFox was used to track project milestones, deliverables, and deadlines. We used it to assign designers to certain projects and tasks to help them be more aware of what was going on with the project. We also used TimeFox to start tracking billable hours on a project which was huge for us. Before this we were not using a time tracking device and this made a huge impact on the company.
  • Tracking billable hours
  • Tracking projects
  • Scheduling
  • Resourcing
  • More robust calendar
  • Task tracking system (% complete, % of budget spent)
  • More thorough reporting regarding budget
  • Resource allocation (showing if someone is overbooked)
For us the calendar needed to be more robust. There were a lot of different deliverables that we track and that calendar didn't meet our expectation. Also, it would have been helpful if the designers had a queue of tasks so they knew what to work on and what was most important. I feel like Workamajig excels in that area.

I used TimeFox within the Marketing department at the university I worked for. I don't know if other departments at the university used it. It helped keep the timeline and due dates of our projects in order.
  • TimeFox downloads clean Excel spreadsheets. Not all technology systems do this particularly well.
  • TimeFox has the ability to store a lot of data from many, many years ago. This is helpful when trying to find old marketing jobs completed.
  • TimeFox is pretty intuitive. It isn't particularly difficult to understand the tool and become acquainted with its various functions.
  • TimeFox was unavailable for use for at least a couple of days during the two years I used it. But the customer service support was excellent during that time.
I used it for scheduling, so in a situation that requires a lot of data with different dates and broad time periods, this is a great tool. I would ask, "Do you need a tool that shows you when projects are due? Do you need it to be simple, clean, and user-friendly? TimeFox is a good tool for that."
