I am using Google Vault at my current organization. Since we are investment advisors, hence daily we need to deal with lots of data. Vault is helping me organize and save all types of data securely. It makes my life easy at the time of audits as data searching is very much easy.
  • Searching data is very easy, even you can use complex filters to find what you are looking for.
  • Exporting only required set of data is easy.
  • Since Vault is by default included with Google Workspace hence cost effective.
  • Exporting Chats in different format can be improvised
  • Sometimes mail exporting takes too much time even for small number of emails.
  • Help documents are very boring instead can provide short videos on various help/understanding topics.
If you are in a domain where data compliances are strict, this product is a must-have. At the time of audits, you may need data even from archived emails. For less data-generating companies not much useful.

There are lots of compliance problems within my team like sharing confidential content from production to non-production or outside production to maintain compliance Google Vault helps and if there is any breach of compliance it can help track records and starts an investigation procedure where we can retain emails that are pending for investigation.
  • Compliance check.
  • Export emails chats for any breach of compliance of organization.
  • Can improve speed though it's good sometimes it a takes hours for export of contents in investigation.
There had been a production confidential details shared by a user to nonproduction which was strictly prohibited by the client so while route keywords search there had been an instance that user shared multiple times production details in non-prod so we started an investigation as a lead and exported all details and communicated with the client which saved from miss-use of client data.

For my job to be done, data retention and compliance are the main reasons and areas where we use Google Vault. Audit of the reports is also one of the final steps of the process for us to be able to be laser-focused on matters that are of the most importance. Google Vault also helps our company comply with data retention agreements with clients after the contract ends.
  • Data retention
  • Audit process
  • Data removal
  • API access
It's great for small businesses like ours when everything is on the cloud and is managed by GSuite. We also value the amount of automation the service provides to reduce spendings on valuable time that can be used for other priorities.

Google Vault provides a huge amount of cloud space therefore we use Google Vault at our organization for archiving data. It has the Google UI which makes it easier to use and navigate. We at our organization use Google Vault to search through data and find strings of emails using keywords.
  • Data archiving
  • Searching through data with the help of keywords
  • It has a data retention policy which is very useful
  • The export tools needs to be improved by leaps and bounds.
  • Provision to add more strings, and keywords needs to be sorted out.
  • The pricing is too high and needs to be lowered.
Once. my organization gave me a task to find out all the data related to complaints that we had got regarding pricing and video playback. So I used Google Vault with the keywords 'price' and 'playback issue' and a string of emails appeared with all the data related to the issue. IT was a real-time-saver and helped a lot in that situation.

We use it to reliably archive all our email, chat, and Google Drive information. For our organization, it supports our archiving and eDiscovery needs. For us, the search functionality is the best feature as it allows us to find things with ease and allows us to feel confident that we can access our history.
  • Easily integrates with G-suite
  • Quickly find strings of emails based on a set of criteria
  • Easily access
  • Easy search
  • Full PDF download would be helpful.
  • Exports can take a lot of time.
  • Better export capabilities
Good for searching through your data efficiently. Can not access information of a deleted account. Although it does a great job of searching, there could be much better export options. It is really nice to have the email and document retention be automatic so you feel confident that you aren't losing anything that is important in your history.

A very secure platform that integrates with other Google tools and makes it simple and straightforward to retain data. I use it for emails, team drives, documents, etc. Searching for your data/docs is fairly simple, not the easiest but simple, and allows you to efficiently store it all in one place.
  • Saves files in email and Google Drive
  • Search feature
  • Organization
  • Export feature- took me a while to figure this out to the point where I could be efficient with it.
  • Searching can be confusing at times- again, takes time until you can get efficient.
  • Not the best for confidential material.
Really helpful to export data from Gmail and others- makes it simple to store it when you don't have enough storage elsewhere. Searching can be confusing and to my knowledge, you aren't able to export data efficiently so it's not the best for that. Can be difficult to pick up from the start, aka I don't think the user interface is the best in my opinion.

We used Google Vault for compliance and Data Discovery solution in our organizations. This was used to retain official communications in Gmail. Privacy and data security is our topmost priority.
  • Google Vault is very efficient to retain critical data.
  • Can be used selectively on single accounts or even for a group.
  • Easy data export
  • Stores data of deleted users.
  • Dashboard can have more data for effective usage.
  • Doesn't support Google Calendar data.
The feature to create custom roles for Google Vault is very important in our case. It is well crafted for our audits.

Google Vault is being used in one of our research sectors, along with G-suite applications. This has provided us with great efficiency in data archiving, and organizing required data for specific clients. We have a highly secure environment for storing confidential data. We have eliminated the burden of storing data in on-premise servers with high-security maintenance.
  • Highly secure data storage.
  • Good amount of features when integrated with G-apps
  • Has a high storage capacity to store organisation data.
  • Budget is a concern for big enterprises.
  • Technical knowledge is mandatory to use all the features.
  • Advanced integrations with 3rd party apps is required more for customer satisfaction.
It has a free version which can be tried for personal users, from an enterprise point of view, the budget is a little bit high. But as usual with Google services, we can expect the same transparency in the Vault service and is extremely trustworthy to implement in any organization irrespective of any parameters.

We use Google Vault in our organization primarily for archiving and storing important email communications, relevant chats, and other related information wrt to at-risk projects.
The business problem the Google Vault solves is -
1. Provides an easy way to archive emails and chats etc.
2. Helps in eDiscovery of said emails and chats with much ease.

Scope is -
1. Org level - eDiscovery of important at-risk emails, convos, chats, attachments, etc that might be required for reuse or any legal purposes.
2. User level - Works as a backup option for users for their important attachments, chats, etc.
  • Archiving - Archiving of emails, chats, etc, Pretty easy to use and have some amazing features wrt to duration, access, etc.
  • Search - Post archival, Google Vault makes it pretty easy to search for relevant content and eDiscovery.
  • Auditing - Workspace manager can easily audit user activities. Helps security at the org level.
  • Export - Area of improvement for export features. Limited options that could be improved.
  • Storage - While the storage is easy, it needs to improve on the amount that can be stored. Very less and quite expensive at an org level.
  • Customer support - Not a very good customer or post-sales support making the learning curve very steep.
Well suited -
1. Quick archival esp in Google workspace apps. Very easy to archive and store important conversations, chats, etc.
2. Search and eDiscovery - Very important feature.

Less appropriate -
1. Export - Very limited options and sometimes a cause of concern due to limited options post eDiscovery.
2. Integration - Very limited integration options and leads to the use of multiple alternatives or workspaces.
3. Archival post deletion - No option for this that leads to missing important elements sometimes.

We use Google Vault for information governance and eDiscovery. It allows us to retain, hold, search, and export users’ Google Workspace data (which includes Gmail messages, drive files, Google Meet recording, polls logs, and Google Sites). It's super useful when employees leave or when someone is changing their name and wants to use a new Google login while retaining data from the old account.
  • Holds Google Workspace data
  • Allows searching through retained files and data
  • Easy data export
  • More export options are available to the user, specifically allowing exported data to be imported into a new account easily
  • The interface is very basic and easy to use, but the dashboard could show more information to make it more usable
Google Vault is an important G Suite feature. You can use it to search your entire G Suite account for relevant data. And the search isn’t limited just to your account. The main purpose of the Google Vault is to help you get important data and information related to your company/business. This data can then be used to settle important company matters and for any legal purposes.

Google Vault creates an effective, secure environment for multiple data management and its archiving functionalities are effective and the Cloud performance is very excellent. Google Vault has the most effective Cloud capabilities for multiple data protection, the encryption functions are very effective, and the real-time data analytics capability is also the best.
  • Easy to manage data.
  • Easy on data modeling.
  • Data security is excellent.
  • The new people can have issues on first implementation of Google Vault.
  • To protect multiple data is sometime not easy.
  • To provide many data reports can be tricky.
Google Vault is easy on starting and the Cloud capabilities available are the best and most reliable for data protection and the issue management through the tool is effective. To visualize multiple data through Google Vault is easy and quick to pull huge amounts of data across other Cloud platforms. Also, the access control tools are the best.

Connect and collaborate with customers, partners, and suppliers whether it’s a video call with a client, chat room with your supplier, or shared drive with partners, and stay connected with everyone who is important to our business. Easily manage your tools and simplify costs. Also to protect our business with enterprise-grade security.
  • It helps us in encryption at-rest and in-transit
  • It does automatic protection against sophisticated phishing attacks and emerging malware threats
  • Gives an ability for admins to streamline authentication, asset protection, and operational control—all from one dashboard
  • They can work more on their security, as there are some flaws, definitely at a very low extent, BUT there are!
  • IT Administration is also a bit difficult, especially when setting up new users
  • Sometimes I personally face problems while editing common file formats
Helps us to keep all our work in one secure place with cloud storage. Access and share with teammates whenever we need it, from our computer, phone, or tablet. We can now collaborate on documents, spreadsheets, and presentations across devices. Real-time co-editing helps us get to the final version faster.

Google vault is essentially document retention and search indexing software tool. We used it to primarily vault all the important documents for safekeeping and managed retrieval later. Also, there were emails, drive files along with google group messages and even google sites, production code at times which was in put in the vault for safekeeping.
  • document safekeeping
  • search indexing
  • document retention
  • managed document retrieval
  • providing vault access and democratizing the usage
  • implementation documentation
  • cost is a bit high, it can be lowered to make it usable for everyone
Google vault is good to use when you have large document files which needs to be put in cold storage or turn cold storage to hot storage in case the documents need to be retrieved. I t works well on automating tasks around till how long one needs to hold on to the data and then retire the documents as well. Some areas where the Google Vault would be less useful is if some documents needs to be used frequently and they are put in the vault as Google Vault is expensive to use very frequently.

I have used it for compliance and Data Discovery solution in one of the organizations 2 years ago, there was a need to retain Gmail data.
  • Google Vault retains organization critical data in efficient way.
  • You can use it to apply to individual accounts, organizational units or groups.
  • There is possibility to keep track of activity within audit reports.
  • It will be great to have a support for Google Calendar events.
  • Have ability to save data of deleted users.
  • It also will be great to have hybrid version of Vault to sync with on-premise storage.
We have used the solution not only for legal purposes but for occasional cases. The Solution works as it should work, for retention and discovery.

Google Vault has been our go-to software when it comes to archiving important company data. The software is very secure and effortless to use. It easily integrates with Google products and accessing files is seamless whether on mobile or web-based devices. In addition, archiving as well as retrieving files/data is easy which makes operations easy. It also comes with lots of storage space and is scalable whenever need be. The software is deployed across the company but not everyone has access.
  • Google Vault is very secure
  • Integration with other Google products is easy
  • Understanding and using it is easy
  • The software is mobile in that it is easy to access files on both PC and Mobile devices.
  • So far I have had no bad experiences with Google Vault
Google Vault is a great software when it comes to archiving business data. It is therefore suitable for any business that needs to keep business files and data secure. Whether it is hospitals, real estate companies, accountants, lawyers, and list goes on and on.
