Companies can't remove reviews or game the system. Here's why

We use the software as our primary estimating tool to procure work for our company. There is still one user with our firm who uses excel spreadsheets to estimate projects. The In-Eight program has helped our firm to bid more work which has given the company more opportunities. When I started with the company four years ago they were biding just over 100 million dollars in our market sector. That number has steadily increased over the past four years. This year we have bid almost 300 million in contracts, I don't think we would have achieved this without In-Eight.
  • Ease of tracking cost throughout the estimate - The software enables the user to quickly pull up reports and verify, crew hours, equipment hours and the total cost of these items. We can look at our labor and equipment budget on a project in a matter of seconds.
  • Pay item and Proposal Screen columns - This enables the user to quickly look at the overall estimate from a cost and margin standpoint. There are a lot of features to choose from in the columns which give the user choices to share in a group setting when reviewing the final bid proposal. some key elements that we like to use are: Total Cost, Margin, Forecast Qty, Subtotal Amount, Subtotal Description, Lock Price, and Rounding Precision.
  • PBS Screen - This screen is a great resource for quick snapshots at direct and indirect costs on a project. We also use subcontractor and vendor status frequently.
  • Job Properties - This is ultimately one of the best features in the software, it lays the groundwork for each project and gives any user the background for the project.
  • It is hard for someone who does not use the software to understand. I have found over the years that if you do not use In-Eight on a daily basis it is very confusing to show a non-user what is going on.
  • It takes a long time for someone to be proficient in the software, I have a college graduate from USC who has a high learning capability and he struggles with it.
  • Understanding the information on the screens, a lot of people have a hard time digesting the information on most of the pages.
The In Eight software is best suited for large business models that require a lot of information at your fingertips. The program enables larger firms to adequately bid complex projects that require multiple estimators working in the estimate at the same time. The software would be less suited for smaller firms that can put an estimate together in a relatively short period of time by just using an excel spreadsheet. My advice would be that if your company is going to grow above $20 million per year in gross revenue, you should be looking at using some type of estimating program.

The program exceeded my expectations when I first came over to Orion Construction. The company was using excel spreadsheets for their estimating needs and although it was working for them, I knew moving forward the In-Eight software could prove more useful. We have been able to bid larger and more complex projects using the software.
I was proficient in using the software before I moved over to Orion four years ago, once the program was set up there has not been a huge need for support. getting the software set up and continuing to install updates have been easy with your customer support. There is not a lot more for me to offer.
I haven't used any other similar products.
Yes
The company was using excel to estimate projects when I came on board. Part of my job was to set up and integrate the Ineight software in estimating. Excel is still used by some of the project managers for budgeting and time and material sheets. One senior estimator is still using excel but he is retiring in 2023 and does not have the capacity or desire to learn the Ineight program.
All of our large projects are estimated using the Ineight software. It has streamlined the estimating process and replaced using excel sheets. The Ineight program dwarfs the capabilities of excel for functionality. There are too many benefits to list here.

I might have looked into other softwares given the opportunity. Ineight and excel were the only estimating softwares I had used prior to coming over to Orion. It was more streamlined for me to install and integrate Ineight for Orion's needs. It would have taken a tremendous amount of time and resources to look at several different estimating softwares with the executive team. It might have taken a full year to make a selection, install it and integrate into the company.

You can use Ineight remotely through a VPN from any computer that has the software on it. I use it from my laptop in various locations, you just need a good wifi source.
I would give it an 8 out of 10 because the software can be a bit cumbersome to new users. It also takes a long time to set up the library and input all of your companies needs so that the software will provide the level of service required to estimate projects. However, once the software is set up it is a powerful tool. We only use a portion of what the software is capable of delivering.
  • Excel Spreadsheets
  • Accounting Software
Ineight works well with excel, I believe most Ineight users use the excel features built into the Ineight estimating software. We use these functions to generate reports for estimating meetings, labor and equipment reviews and to generate cost budgets. These tools enable our executive level staff as well as our management staff to promote sound business decisions on projects as well as analyze the current market trends.

From an accounting standpoint the software can be integrated with certain accounting functions. At my previous employment, we were able to write code and export our cost estimate budgets from Ineight straight into our accounting system. This provided a streamline directly from estimating to accounting.
  • File import/export
This was a challenge when I started with Orion, only I and two other peers are using the software, however, we have five individuals in management reviewing bids in the In-Eight program. Now, with more time under our belts the system is gaining more traction as a whole from everyone. We recently hired another individual who is familiar with using the Ineight software.
My advice would be if you are going to use the Ineight software, make sure everyone who will be reviewing estimates from your firm is trained in some way shape or form.

InEight is our document control platform for issuing documents to clients. It is being used across all departments where documents are required to leave the office. Since there is a built-in review feature within InEight's software we are able to ensure that a document has been through the appropriate channels and been reviewed by the staff before it is issued to clients. This ensures that correct documents are being sent out of the office.
  • Customer support for all queries.
  • Navigation of the platform.
  • Help tutorials with instructional videos.
  • Focused training on particular issues rather than a generalized overview.
  • List of customizations available to the platform with estimated costs for implementation.
  • Revision setup with the review process could be automated further.
When using InEight as a document issuing tool it is well suited for that application as it has tracking features embedded. However, the review of documents can be quite cumbersome when documents are to be reviewed over and over again requiring the assistance of a review coordinator to step in and fix any possible errors.

The business outcome we hoped to achieve with InEight's TeamBinder software was a streamlined document review workflow with the ability to issue accurate and correct documents to clients and contractors. The issuing of documents has met the objective as we are now able to issue documents in an efficient manner. The review workflow, on the other hand, requires a workaround with our current system and could be further improved.
InEight TeamBinder support staff are quick to respond to email inquiries and phone calls often directing the inquiry to appropriate staff for further follow-up. They also are willing to work with us until the issue has been resolved. They have also offered further training for staff that would require it.
The review workflow was easy to set up with InEight's TeamBinder however, integrating the platform with our internal document revision scheme proved a bit tricky. Since different roles within TeamBinder are required to be used to enable a document to be issued at the correct revision, it is just a matter of training personnel to do the right thing.
As an issuing tool, InEight's TeamBinder is on par with Aconex. SOLIDWORKS EPDM creation of review workflows and revision numbering is better placed with handling multiple versions of the same document with the ability to revert to older versions if required. InEight's support and technical help desk are available on call and the features it has for document control are an advantage to using the system.

Engineers, drafters and office administrators are the main users of TeamBinder in our workplace. They are required to upload documents that are created internally for client or contractor review. The Engineers are then required to check the contents of the document before it is issued to client or contractors. The Engineers also have the added responsibility of rejecting a document if there are errors and the document is amended before going back to TeamBinder.
4
There are only 4 administrators with varying roles within our company that provide support to all other staff members for InEight queries. If these members are unable to provide an answer then it is recommended that InEight support is contacted. The Administrators have done the required training module that has enabled them to be able to support staff therefore their skill set is expanded.
  • Trace ability of documents sent to clients
  • Transparent communication with clients
  • Review of documents by relevant staff members
  • Creation of a review workflow that allows multiple reviews of the same document
  • The ability to be a paperless company with all activity being digital
  • Searching of documents using filters as we have gone away from a folder based structure
  • As a replacement of internal document store
  • For proposals that get sent out
  • As a reporting tool for project analytics
Some features with InEight's TeamBinder are worthy of single use, however the review feature and subsequent revision and version numbering could be improved. We will be aiming to roll out the package to encompass our internal documentation in the near future and will be in a better position to judge the usability after that point in time.

  • Product Usability
Product usability and features was the most important factor in the decision for the product. As we did not have a formal document control platform in place use and ease of ease was a deciding factor. As documents are able to be reviewed from anywhere with an internet connection and a formal transmittal is able to be sent easily with trace-ability.
We would ideally change the evaluation and selection process to include details and features that align with the current and existing document coding procedures. As the changeover has proved a bit laborious with a bit of negativity from personnel within the company. As our hope would be to replace our existing internal documentation system.

  • Release statuses and meaning
Since the original inception, I have been required to overhaul the system so that it is more user friendly and combines both aspects of our business, documentation and drawings. Being able to control revision and version numbering has been a key struggle that only staff training has been able to mark this as complete.
No
Just recently we had an internal review of how we use InEight's TeamBinder. One of the outcomes was to have a digital stamped placed on documents after a document has been released. As the primary administrator I made queries to InEight's support staff and they were very efficient in directing my query to the right personnel. On follow up this query is a common upgrade to the software and it is only a matter of choosing our customization features at the moment. InEight's support staff was very knowledgeable about the situation and what were trying to achieve which made the process that much easier.

Yes, but I don't use it
InEight's TeamBinder is a cloud based service and is therefore accessible from anywhere with an internet connection. All staff members are able to perform any duties required from the office or at home, in the review workflow to get documents to clients and ensuring that the document meets our internal standards for document presentation.
