SciQuest Spend Manager was used by the whole university campus for contracts, purchases, punchout suppliers, central invoicing, payment, and interfaced with our ERP financial system. We had it running smooth as silk. But the powers that be at central headquarters, made the decision to bring in another product and rolled it out to all of the campuses system-wide. We were very satisfied with SciQuest, but we did not get a vote down at the university level, even though at the flagship campus it was running great.
  • Source to settle: Although we did not purchase all the new applications in the suite SciQuest made, what we did use, worked and worked nicely. With SciQuest you can get a turn-key system.
  • I love the way SciQuest rolls out changes, measuring customer feedback, and rolling out major changes 3 times a year. Like clockwork you know what to expect ahead of time, deciding whether or not you need a particular enhancement (if optional), having plenty of time to make adjustments in business processes if needed, and/or user-base announcements.
  • I was always astonished to see both clients and potential clients come to the conferences. SciQuest would allow the "mixing" of clients and potential clients, apparently unafraid of any negative commentaries the potential clients might get. That has always been impressive to me as a techie myself.
  • In the beginning the technical help desk was great, fixing problems quickly. But as we got down the road a bit I feel there was not enough management of outstanding tasks as there should have been. Please do not misunderstand: I would still give their support help an 8 out of 10. But I just feel they lost their edge a bit in the support area as they began to grow. This also could have been due to emerging products that grew out of the initial offerings where focus was more put on the former.
  • I did not like the idea that they were going after the gambling industry in some way, personally speaking. I did not think it was a professional decision. I understand related markets: education, scientific, pharma, health, etc. But gambling?...not so sure it did much for their image, and I think it will eventually hurt them rather than help them.
SciQuest is well suited for a bigger institution. Where I think they are lacking is being able to offer a stripped down version of their offerings to make it affordable for the smaller customers, e.g. community or private colleges.
  • SciQuest definitely helped turn-around efforts on non-delegated orders, i.e. those purchases which had to be approved by the purchasing department at our institution.
  • SciQuest definitely alleviated a lot of conciliation processes across campus due to the integration with our ERP system, tracking all accounting for each purchase.
  • We were able to centralize our billing using the initial AP module offering. We also were taking in 20% of our invoice volume in as electronic invoices which lowered staff.
  • Contracts were easily accessible by our buyers like never before, having reminders for renewals and customer searchable, accessible, and order-able.
  • I found the search features in Spend Manager incredible. You can slice and dice the data like no other app. The only think I found lacking is the ability to search on fields for NULL values. So, for instance, if you wanted to find all POs having xyz, but where there was no account#, you couldn't always do that kind of search. The ability was there on some fields, but needs it on all or most fields. But again, I'd give search querying a 9.5 out of 10.
  • Great set of folks at SciQuest. They were all so great to work with. I don't know of one person I worked with that was not the most professional and courteous. Well, maybe one person was a bit stuck on herself, but that's just one out of the many that I worked with at SciQuest - exceptional!
We conducted a one year RFP. No one, not even Aribi, was able to do what SciQuest could do in the higher educational space. Granted that was seven years ago, but in my opinion no one could touch them.

So we had several areas where different people got involved, and also most were not full-time support. This is my best guess.

Areas:

AP - Mainly one manager that handled all issues for AP, but not considered full-time support for SciQuest; but maybe half-time.

Purchasing - 2.5 FTE persons, one eProcurement manager, one IT techie, and one .5 FTE clerical who did a lot of the testing and training.

ERP and interfaces - 10-15 folks who did IT work for all financials including app integrations.

  • One-stop shopping for the campus community, with interfaced accounting with invoicing.
  • Contract management.
  • The controlled workflow of documents, each order receiving the proper approvals for compliance.
  • I think we took workflows past the basics. Although the algorithms got rather complex we were able to get document routing solutions to fit our specific needs.
  • We also had SciQuest develop an interface to our campus' AiM system, a system our Utilities (and initially Facilities) departments manage work orders for the campus' infrastructure.
  • We have purchased the SpendRadar and will be using it to view our historical data, that was once in Spend Director. This product also allows other sources for input for accumulation, slicing and dicing the data to see where the spend is for our organization.
Well, I put it in the middle because I hope someday we will get a chance to put eProcurement suite of needed products out for RFP one day. It will not happen anytime soon due to the current administration. But I'm hopeful, and if and when it happens, SciQuest no doubt will be a strong contender.
24/7 support. Never send you to India or some foreign country support line. Always get an answer, even if it's an answer you did not want. Always well formed conclusions/solutions to problems. They genuinely seem to care about the service they provide.
  • Searches - awesome!
  • Had the ability to modify document workflows. For basic functionality it was a cake-walk, allowing even custom fields not native to the system to be referenced to route documents to different work queues.
  • Admin-ing documents in the system: When a document had an error or issue it was easy to know where it was in the system, and manually push it through if need be.
  • When it came to setting up workflows in the system, when the logic got a bit complicated the SciQuest tech had to make the changes. I feel more could be done to to dole out Admin functionality for workflows to the client Workflow Admin. I would still rate their workflow capabilities an 8 out of 10.
  • SciQuest has a tool for getting feedback for their products from the customer. Although it's a great tool it fails short when changes are completed and your "votes" not automatically given back so you can put your vote on the next wanted enhancement. I would still rate this tool at an 8 out of 10.

SciQuest is used here at University Hospital in Newark, NJ for ALL purchases that go to outside vendors. In addition, we also use the supplies manager module for our in-house warehouse, which is used to bring consumable supplies to the various nursing stations throughout the hospital, and also to the OR. We also store our contracts within the system, and use the Spend Director module to keep track of our spend against our various contracts. All of our approvals, at the department, budget and purchasing levels, are done within SciQuest. It addresses the whole procure-to-pay cycle in an exemplary manner. We are in the process of renewing our deal with them.
  • Supplier relationships, in terms of setting up supplier catalogs and keeping them up-to-date, are handled by SciQuest in an exemplary fashion.
  • The approval process, using Advanced Dynamic Workflow (ADW), is extremely powerful and allows you to create approval workflows which will exactly match your needs.
  • The Compliance Tracker module, part of Spend Director, is a great tool for capturing spend under contract. It is also a very good tool for storing contract information and documents, and tracking and disseminating through email notifications information such as expiration date and contract budgets.
  • SciQuest customer service is, overall, excellent. We have always had a good working relationship with the company and feel as though they listen to us as we voice our needs and wants.
  • Unable to directly access SciQuest data through a report writing tool such as Crystal Reports or MS Access, so we have to build a shadow database if we want to run any ad-hoc reports (reports that are not part of the "canned" SciQuest package). This is, by far, my biggest gripe with the SciQuest product.
  • Would be nice for users (especially very knowledgeable users) to be able to upload a worksheet into the system and create a requisition from it. Our users who order for the OR frequently get a spreadsheet with a long list of items. They then have to manually enter those items, one by one, into the system.
  • The Supplies Manager module is fairly rudimentary.

As a purchasing app, it is excellent. I cannot speak to its usefulness in the AP area. it may be less useful in a different environment, such as manufacturing. For research and healthcare use, it is excellent.


Also, we use Banner as our ERP. SciQuest is well versed with integrating with Banner. Users with a different ERP may experience less pleasant results.

Although the base costs for Oracle were cheaper, by the time you added in all the additional charges for oracle, it ended up being significantly more expensive. In addition, we felt the SciQuest product was better suited our needs. It was geared more towards a science/research environment, and the contract mechanisms (both for storing contracts and for recording spend against contracts) were much better.

Everyone from department heads to lab workers uses SciQuest here. All of our requisitioners are on SciQuest (over 200 users). In addition, all of our departmental approvers, and all of our budget approvers use the system. We also have our internal warehouse users on the system. Lastly, we have3 contract administrators who are responsible for setting up and maintain the contracts within the system.

The SciQuest admin should have a strong technical background, and understand how systems work, but also have an understanding of the business needs of the institution you are working for, and how procurement and accounts payable work, both together and towards the user population. If you are also serving as a customer service rep, you should have strong interpersonal skills and the ability to explain processes in a step-by-step fashion.

We formerly used the purchasing module in Banner for our users to create requisitions and perform approvals. We would then manually turn those approved reqs into purchase orders in our purchasing department. We are still using Banner, but now we do reqs and approvals strictly in SciQuest. Once the reqs are approved, the SciQuest PO gets sent to Banner, turned into a PO there, and then gets returned to SciQuest with a proper PO number, and gets distributed to the vendor using the SciQuest system

Product features were the most important. SciQuest provided an easy-to-use interface for our users, and enhanced functionality to the purchasing department. The price was lower than the other bidder for this function, and the product is relatively easier to use, certainly MUCH easier than our previous method of entering requisitions and purchase orders.
Although we would have liked to have had more than two vendors respond to our RFP, I don't think we would have changed much if anything of the whole process. We felt we saw at least one other similar product, and SciQuest was cheaper, had more features, more functionality, and was easier to use than the competition.

There were various segments of data that needed to be added to the system. These included vendor data, user data, contract data, and chart of accounts data. Additionally, we went live with about 15 vendor catalogs, which all had to be set up. Finally, approval workflows at various levels had to be created.
Change management was a big part of the implementation and was well-handled
It was good to include the Change Management group in the implementation process. There were some areas which involved departments other than purchasing (IT, accounting, fixed assets, accounts payable). These areas needed to be brought into the process to make sure we didn't do anything that would adversely impact them. Change management not only helped to integrate these areas, but they were able to record and keep track of any changes we did make.
  • Setting up approval queues; more specifically, converting existing approval queues from our old purchasing system to the new one.
  • Getting a handle on, and creating and importing, contract data. Our old system did not keep track of contracts in any fashion.
We had an internal project manager who was well versed in PMI methodologies. I think the implementation would have gone far less successfully, or may even have failed entirely, without her. She was able to do all the things a project manager is supposed to do, and in an ordered and organized manner.
They usually respond to medium-to-low priority issues very quickly, and high priority issues almost instantly. Their support team is knowledgeable and responsive. Their Supplier Enablement team is very good and is a feature that most of their competitors don't have. The company makes a serious effort to maintain good relationships with their customers.

Yes, there were a few times we found bugs in the application. We have found issues in the Production environment, which were handled extremely quickly. We have also found bugs during the pre-release testing phase of upgrades, and these too were handled and responded to in a very quick and timely manner.
We implemented the Supplies Manager (inventory) module in 2011. When we went live, we found that some of the reports were wrong, or were based on faulty logic. SciQuest worked with us to understand the issues we were seeing, and worked to resolve them in a timely fashion. Similarly, in the same module, there were at least two occasions where we felt an improvement was needed to make the software work in a fashion we deemed acceptable, and again SciQuest was able to bring in those feature requests in the next upgrade.

Sciquest is being used across the organization as an e-procurement system. The system helps faculty and staff get state contracted prices for goods purchased for research and administrative purposes.
  • Sciquest integrates well with vendors and POs get dispatched to vendor quickly which helps in faster delivery of goods.

SciQuest Select Site is a good B2B system with friendly user interface. The system is easier to use for catalog, hosted and punch out vendors. Integrations with other systems (financials) may become a challenge during upgrades to your in house systems or SciQuest upgrades.

The university I work for uses it as a central hub for procurement. We use punchouts, hosted catalogs, and non catalog PO's. We also use use it for creating check requests. Our P2P process interfaces with Oracle as our ERP.

SQ works very well with larger vendors that have experience creating B2B relationships. Our vendor list includes not only business vendors, but Mom&Pops, and individuals for reimbursement. Managing the differences between vendor type is challenging. Using SQ for all the one-off payments can be challenging.
