KiSSFLOW has proven to be a versatile tool for streamlining business processes in a variety of industries and organizations. Users have found that by digitizing forms and automating workflows, they can eliminate paper trails and significantly improve efficiency. For example, local companies have been able to replace their manual approval processes with KiSSFLOW, allowing for cloud-based submission and approval from anywhere. This has not only saved time but also improved responsiveness to requests as users can easily track the progress of workflows and take necessary actions to move them forward.

One of the key strengths of KiSSFLOW is its flexibility in accommodating different workflows. An entire college, for instance, uses KiSSFLOW for approximately 25 different workflows ranging from new employee requests to new course requests. The integration with G-Suite has also been highly appreciated by users, as it allows for easy editing and the convenience of receiving workflow requests via email with reminders. This has made it approachable for users who may not be familiar with complex workflow management systems.

The benefits extend beyond administrative processes as well. KiSSFLOW has been effective in managing media campaign project proposals, ensuring form enforcement, centralized information repository, and streamlined workflow management. In sales teams, KiSSFLOW helps submit prospective client credit and setup information, reducing reliance on multiple emails and expediting the account setup process.

Overall, KiSSFLOW proves to be a valuable tool for businesses looking to automate their workflows and improve operational efficiency. Its ability to handle various use cases across different departments and industries makes it a versatile solution that addresses issues such as lack of information, operational control, and improves overall efficiency and service quality.

Clear and Intuitive User Interface: Users have consistently praised the clear and intuitive user interface of Kissflow, making it incredibly easy to use and navigate. Many reviewers have expressed their appreciation for how easily they can see workflow tasks assigned to them, as well as workflows they have participated in or are pending approval from others. The user-friendly interface allows for quick and efficient completion of tasks.

Cloud-based Accessibility: The cloud-based nature of Kissflow is highly valued by users, with many expressing their appreciation for the ability to access the software from any internet-connected device. This eliminates the need to be on a specific network and makes it convenient for users who are always on the go. The accessibility ensures prompt response to tasks, avoiding bottlenecks.

Automation Capabilities: Users have highly praised the automation capabilities of Kissflow, noting that it significantly reduces the need for paper in menial tasks and enables the automation of entire processes. This feature has been particularly appreciated by educational institutions as it eliminates manual paper-based processes such as obtaining signatures or initials.

Difficulties in Reusing Existing Tasks: Some users have expressed frustration with the lack of a copy-paste function when creating workflows in Kissflow, making it challenging to reuse existing tasks across different branches. This can be particularly inconvenient when only minor tweaks are required.

Limited Flexibility in User Interface: Reviewers have noted that the user interface of Kissflow lacks flexibility. They feel that having options to group apps under categories or customize the look and feel of the page would greatly enhance their experience and improve usability.

Learning Curve for Transitioning from Paper-Based Processes: Customers who have transitioned from paper-based processes to Kissflow have mentioned that there is a learning curve involved, especially for non-visual learners. Additional training and support may be necessary to help employees adapt to the change effectively.

Users commonly recommend the following:

Start with simple apps and gradually build skills. This approach allows users to develop the necessary skills and understanding of the platform without overcomplicating workflow processes.

Set up a proper step-by-step flow from the start. Ensure that all necessary users have access to approve, which helps maintain an efficient flow and prevents bottlenecks or delays in the process.

Utilize Kissflow's customization capabilities to create customized workflows tailored to specific business needs. This allows for more optimized processes and better alignment with company requirements.

KiSSFLOW is used in my company's operations and marketing departments. For marketing purposes, it's mostly used to submit tickets to graphic designers in order to receive artwork. The operations department utilizes it for employee bonus submissions and auditing as well as a couple of other accounting processes. If your business has certain processes that are poorly organized or difficult to track, KiSSFLOW is a potential task management solution that you may want to look into.
  • You can design your own workflow by determining what information is required, who a ticket routes to, and who gives final approval.
  • Interact with other involved parties, easily answering questions and delivering feedback throughout the entire process.
  • Access your complete ticket history. If there's a file that you need from a past ticket (that perhaps you can't find on your own desktop) it's easy to find in KiSSFLOW.
  • KiSSFLOW functions completely adequately, but I have fairly high expectations when it comes to software. In terms of interface and user-friendliness, it's somewhat average.
KiSSFLOW is well suited for a small to medium-sized organization that requires some amount of back and forth communication in its business processes. If you don't require as much communication and don't have to monitor your team quite as closely, something like Asana might be a better and more cost-effective task management tool.

Kissflow has been able to streamline the invoice for vendor approval process. Additionally, it has allowed us to cut costs and analyze in detail our AMEX purchases. it is being used throughout the entire organization but for accounting purposes. It's made purchase owners accountable [not only] to themselves but also higher-ups within the company.
  • Streamlines invoice approval process.
  • Holds people accountable for their purchases.
  • Keeps us on budget and helps in getting answers on purchase orders quickly.
  • Difficulty exporting reports to personal email
  • Slow response to technical issues
  • There is no ability to get into older POs to clear out or investigate. It would be nice to have access to anything over 3 months old.
if you're trying to cut costs and be on budget, Kissflow enables you to analyze purchase orders at a more detailed level so that you can find purchases that are not necessary and end them. I think when an invoice is paid on a monthly basis and the cost is typically the same, it isn't necessary to have in Kissflow.

It is mainly used to launch/activate new products, a process that touches most departments. It helps keep track of all the steps required to be completed by different individuals across the organization in order for us to be ready to sell a product.
  • I appreciate the automatic email notifications when it is your turn to complete a task. This keeps everyone on track.
  • I appreciate being able to "reassign" a task as well--leaving flexibility for some folks to cover for others when needed.
  • I appreciate the personal check-ins from our rep, asking how things are going. That makes me feel like someone is paying attention and wants me to be happy with the product.
  • I would like to see the option of having two different people assigned to a task, and whoever gets to it first can accomplish it instead of an administrator having to reassign in some cases.
  • It would be nice if a comprehensive record (spreadsheet?) could be kept, capturing and codifying the data input into KiSSFLOW forms along each sequence of tasks.
We use KiSSFLOW for purchase requests and product launches, and it works well for those things. We have not fully explored all the other applications KiSSFLOW might help with.

I consulted with a local company that was having trouble with their workflow. As a small company, they were having the kind of issues you get when you have few employees, a lot to do, and little time to do it in. The kinds of activities huge corporations tackle with 50 employees and a fully stocked breakroom. The school I worked with had no idea how to approach their organizational issues and my current position recommended I consult with them for a short time to help resolve the issue. At the moment, KiSSFLOW is solely a workflow solution for them and they use it strictly as such. This is why the program works so well, too -- it doesn't pretend to be anything else. It is a workflow process program and it knows how to use its strengths for exactly that.
  • They know what they are. You aren't going to get a Workflow program that also wants to be a CRM. You will get the equivalent of an electronic assistant going from station to station, taking care of business and giving you the end result.
  • Paper. It reduces the amount of paper needed for menial tasks tremendously. You can automate an entire process. As an educational institution, you may still need paper copies, but you aren't waiting for John Doe to sign Line 3, then Jane Doe to initial, and so on and so on with a paper form.
  • Tracking. If you need to know where things are in the process, the fact that this program is dedicated to workflow makes it incredibly easy to identify where people are in the sales flow.
  • Customer appreciation. When your workflow is stronger, faster, and better, the customers feel it. They feel like you are right there with them and getting things moving.
  • Learning. If you are coming from a 100% paper process and have employees who know nothing more, then there is definitely a learning curve. You will need to bring someone in to help you train employees on the core concept of the change (the "Why are we doing this" questions). KiSSFLOW does have support, but this is more getting down to the details in your own work environment.
  • Visual learners will love it, but not non-visual. If you are an accountant, and your brain works like an accountant, then this program will be difficult to learn. It is very visual, and I have seen more success with visual learners than any others.
  • Bugs. A few years ago, there were a lot of bugs. There are not that many anymore. This is to be expected with any program, so if you are training an impatient staff who doesn't do well with error messages, you will want to be sure to pad the training sessions. I have not seen error messages in a long time; however, the nature of the beast is that you won't see one until you actually find one...
Workflow. I would absolutely, 100% recommend it for a school, in Admissions, and I would recommend it to any small company who has an issue with workflow. The best thing about the program is that it knows what it is, and knows what it wants to be. You aren't going to sit down to work with KiSSFLOW and end up being sold an HR program. To make it work just right, find the person who truly understands how your business works. Have them build a workflow which takes care of the tedious tasks, and then let them train others on the process. You will find that your productivity increases, and that your paper costs decrease.

We use KiSSFLOW throughout the organization. KiSSFLOW helps organize the decision-making process by making sure all the steps in the process are followed the right decision-makers and taskmasters get the materials needed at the right time in the process. KISSFLOW has really reduced the decision-making time and the entire process function time making us more efficient. we use KISSFLOW for several multi-step decisions and multi-step processes.
  • Process - Course changes, additions, and cancellations.
  • Decision-making - Program course substitution requests
  • Decision-making - Course prerequisite waiver requests
  • Decision-making -Approval of intern site requests
  • Perhaps an easier way to breakdown content areas for the assigning tasks.
  • I really can not think of any additional recommendations. KiSSFLOW really does a nice job of routing the materials.
As mentioned, KiSSFLOW really excels with the routing of questions, decision-making, and the execution of tasks when those entities are not in close proximity. KiSSFLOW instantly delivers the question or task to the next decision-maker or taskmaster using the internet. Thus distance is not an issue, snail-mail does not apply. KiSSFLOW does a nice job of tracking and archiving all activities for complete control and verification.

  • Better experience on the app
It works excellent for an automatized process.

We use KiSSFLOW across multiple departments to streamline our business processes. The way our company is structured, administrators have forms, emails, and paper coming from every direction. KiSSFLOW allows us to generate a form containing all this information that is then digitally passed along a chain of approvals, while also retaining the information acquired and making it searchable.

From Capital Purchase Orders to Travel Requests, we've found a multitude of ways to automate our processes. Instead of leaving a paper trail from desk to desk among offices, to having a cloud-based platform that allows users to submit and approve from almost anywhere and keep track of the progress, KiSSFLOW allows us to focus on other aspects of our business.
  • Ease of Use: It's easier to use and see workflow tasks that are assigned to you, workflows that you've participated in, or workflows that are pending other peoples approvals. From a development side, it's easy to pick up and begin creating processes if you know Excel formulation, which is easily researched as well.
  • Ease of Access: Since KiSSFLOW is hosted in the cloud, you can access the site from any internet connected device. All you have to do is sign in with your account, as opposed to needing to be on the network to access like our previous system.
  • The App: This is a feature we really hope to get a lot of use out of. With the way our business is structured, there are a lot of Regional positions that are always on the go. Because our current system requires a user to be on the network to access, this makes it hard for these roles to respond to tasks, causing bottlenecks. With an app available, along with push notifications, we can keep these tasks responses on pace with the associates required in that task.
  • Workflow Design: There isn't a copy/paste function when creating the workflow, and you can't move a workflow task between parallel branches. This becomes a pain point when an item has 98% of what you need, but you can't copy it and place it in another branch to make the last tweaks. Instead, it needs to be completely recreated
  • Interface: While I like the current design features, which make it easy for an end-user to find their tasks and items, it would be nice to also have some flexibility within the platform. Things like being able to groups apps under a category or tailoring the look and feel of the page a little more would be a welcome addition.
KiSSFLOW is very flexible to company size, and with webhooks and Zapier functionality built-in, it's great if you want to run automated or manual workflow processes, or a combination of both.

With our company structure, there are many paths a workflow can take that get funneled up the chain, which would be a mess of paper (and desks) trying to approve, track, and retain. With Reporting features built in, it's easy to do all 3 of those, while streamlining the processes and being able to retain the approvals behind them.

The KiSSFLOW platform is being used at our school to manage purchase orders and check requests.
  • We had been looking for a way to streamline an approval process for expenditures and found this company. Over the last few years, this tool has made our workflow seamless.
  • The support team from KiSSFLOW is also first rate. They respond very quickly to questions or concerns if or when they arise. We have been online with this service for several years with little problems.
  • The tool is extremely powerful and easy to customize. In the past, they helped us set up our first few forms too.
  • There are very few cons to using this software. In the early days, Google integration was problematic due to permissions. We contacted them and they customized and improved the file upload tool.
The best use we found was for setting approvals for spending. The user selects the administrator needed for approval and after submitting the request and email is sent to the admin automatically. Once approved it moves on to the business office to be reviewed and implemented. This workflow is very effective.

It was being used to organize tasks and in new hire processes.
  • Clean interface
  • Good support
  • Customization
  • Slow
  • Clunky at times
  • Mobile app
It was good in general workflow, but it fell behind on unique processes as the customization on it was good but not quite good enough to get us where we needed to be.

KISSFLOW is used by the sales team to submit prospective client credit and setup information for review. It assists and streamlines the workflow process to set up an account, so all stakeholders can view and respond accordingly to pertinent documents. It eliminates the need for multiple emails to multiple parties.
  • Great value
  • Simple and easy to use interface
  • Integrates easily into workflow
  • Doesn't integrate with Oracle Cloud CRM
  • Inability to skip sections if it's a required field
  • Error messages at times
The system is worth it if you are looking for a digital workflow management software. It has most functionality to address workflow problems in any size organization. Reporting and lack or data lag can be clunky at times, but overall much better than a paper process.

KISSFLOW is currently being used for reimbursable items. We put in an approval request for reimbursement of housing fees, tolls, etc., and get it authorized electronically through KISSFLOW.

We also try and use KISSFLOW to automate the approval process for certain documents.
  • Interface is easy to understand
  • Creating a workflow in KiSSFLOW is fairly intuitive
  • Easily accessible on your personal devices through the World Wide Web
It is well suited for getting electronic approvals. I haven't come across a scenario where it it is ill suited.

It will be used across our entire organization. Our department is currently getting it to a functional capacity for our use and then will add other departments. This will ease our workflow process with objections and get rid of the multiples of emails that we may have to save. This program will help keep the responses organized and clean for our later reference.
  • It is very easy to use.
  • Our users up to this point are impressed by its clarity.
  • The benefits it provides, such as comment space.
  • Quick helpdesk support.
  • Adding additional users to a workflow, assigning a dynamic user.
  • Ability to change form font size.
  • Ability to change form font style.
  • Adding additional people that are active users, but may not be on a workflow.
It is very easy to use and even though it wasn't specifically designed for what our company wanted to use it for, I found ways that we can make it work for us. Once that was figured out, coding different variables and testing added spots was easy to figure out. They have great help desk support and quick turnaround times.

Currently we are implementing Kissflow across the whole organization to address business problems such as lack of information of the operation of the business, control of the operation and to improve efficiency and the quality of our services.
  • Reports of the business process
  • Assurance that employees comply with the different business processes
  • Communication and data flow across the different departments of the organization
  • A development and test environment for the processes that are under design but not in production
  • Capability to add, change and delete master's data through a process
  • Actions and triggers in Zapier for masters tables
Until now I have found Kissflow appropriate for scenarios where companies need better control and information of their business processes.

Our organization is using KiSSFLOW to manage our media campaign project proposals. It is used mainly for our sales team but touches on other departments as well. Prior to using KiSSFLOW, we had issues with workflow management, enforcing forms to be filled in, who to activate once the form was filled and having a standard centralized repository of information.
  • We love how customizable designing the form is. We're able to add a variety of input texts and conditional logic.
  • The biggest feature that we would like to see is being able to dynamically assign users to a task.
KiSSFLOW is a great tool for streamlining processes. I wish it was a bit more flexible in handling communication amongst team members involved in particular tasks.

KiSSFLOW is being used by one group in our organization. Software is being used to track the full lifecycle of our product from managing requests that come into the queue to developing the product and then operationalizing it. This tool adds a tremendous amount of transparency to our production and research process and successfully manages the hand-offs that occur between the different teams.
  • Adds transparency to our research and development process
  • Successfully manages hand-offs between different teams
  • Is very easy to tweak a process, allowing for users to easily optimize flow
  • No development environment to test process on
  • Frequent bugs encountered, especially on the back-end when building out the process (though bugs are typically quickly addressed)
  • Slightly confusing layout leads to many questions from new KFlow users on my team
KiSSFLOW is very well suited for business units that follow a defined workflow (or that should be following a defined workflow). Additionally, the software is useful for any organization that requires the following of a standard SOP (be it for expense reporting, contract sourcing, etc.).
This software is not well suited for business units that want to complete one-off projects. There are other software that do this (i.e. JIRA).

KiSSFLOW is being used globally at McDermott. It is a great self service solution for many business processes such as CAPEX requests, housing reimbursement, travel requests, etc.
  • The user interface is very easy to use.
  • Chat support is very helpful.
  • Reporting is a huge benefit.
  • My only complaint it that the system sometimes requires a lot of refreshing.
KiSSFLOW is well suited for most workflow needs. We at McDermott don't use it for any workflows that require data connection with other internal applications.

Kissflow is a great tool for designing our internal processes but it has some failures/limitations that can be improved - especially in the reports. But it´s a good tool and has a fair price.
  • Organizes workflow
  • Saves time
  • Lets you control late tasks
  • Automatically create metrics (some)
  • The reports module can be more customizable
  • Kissflow should have a feature for automatically starting daily requests
  • Kissflow should have a feature for automatically starting conditional requests
Kissflow helps us a lot to organize the work routine and makes it possible [to have a] home office, but it lacks integration with other systems.

KiSSFLOW is used by our entire college. Faculty and staff access it for about 25 different workflows. These range from New Employee Request to New Course Request. Since it is integrated with our G-Suite people find it very approachable. People also like the fact that when we create a new workflow, it can quickly be improved with the ease of editing. The people that are in the workflows, i.e. the approvers and inputters, really like that fact that the requests are emailed to them along with reminders. All in all, it has really allowed us to be a lot more responsive to people's requests. This is especially true since they can simply click on the status pop-up on a particular workflow and find out where it is stuck. They can nudge that person in KiSSFLOW, email them, or just call them to move their request along. KiSSFLOW has really improved our processes because we had to think about them in-depth for once.
  • The status tracking of a work request is done well allowing people to see where their form is in the workflow.
  • Form creation and workflow creation are super easy.
  • With the G-Suite integration, user management is a snap.
  • The reporting could use some improvement. The actual reports are OK, it is access to the reports that is the problem. This is related to the permission schema. It really just has user, admin, and nothing in-between. There really needs to be something like report admin or something. Excel exports for data are needed as well.
  • The user workflow selection UI is not the best. There is a big red + sign in the lower right of the browser window that is not labeled. That is not clear. Also the selection list is just a pop-up window, it really should be a full page.
  • The mobile app does not have all the features that the browser version has, especially admin tools.
KiSSFLOW is well suited for any information heavy paperwork that multiple people approve and have access to complete work. It is less suited for processes that require a lot of back and forth with a form initiator. The workflows like to be very linear without much back tracking. It can do that but it prefers to be forward linear.

KiSSFLOW is being used by our HR department for employee change management, including new hires, change of status, terminations and leave of absence. We have replaced paper forms being emailed from remote offices to the home office and replaced multiple email communicatons back and forth for employee changes by using the workflows within the forms. KiSSFLOW has increased our efficiency, eliminates redundancy and steps getting missed, also accuracy of information flowing to the correct people.
  • Eiminates emails
  • Eliminates paper forms
  • Workflows
  • None at this time
I wouldn't recommend KiSSFLOW with private information.
