What is Mailbutler?

Mailbutler is an email plugin used to make the inbox smarter with productivity-boosting features that can be accessed in the inbox. It improves on the native features of the email client by offering smart functionality through an artificial intelligence powered email assistant that can write emails, Cloud Delivery so scheduled email can be sent even while offline, advanced email tracking which doesn't require approval from the recipient, and a Contacts feature used to improve customer relationships, among other inbox-enhancing features. These include:

• Smart Assistant: An AI-powered email assistant that writes, summarizes and improves messages, finds tasks and contacts, and responds to emails.
• Smart Send Later: Smart scheduling functionality to optimize email delivery times.
• Recipient Optimized Scheduling: Suggests the best time to send an email to maximize the chance of it being opened.
• Email Tracking: Find out when, where, and how often emails or their links were opened. For those using iCloud or IMAP email addresses, displays who has opened the email when it has been sent to multiple recipients. It can also send tracked emails from a mobile phone.
• Snooze: Snooze less important emails temporarily and they’ll reappear at any chosen time.
• Contacts: Get essential insights into your contacts to maintain peak customer communication.
• Signatures: Beautiful and professional email signatures with extensive creative control.
• Templates: Message templates to increase productivity and efficiency.
• Tasks: Tasks can be attached to contacts and emails to keep to-dos organized.
• Notes: Notes can be added to contacts and emails for important information.
• Collaborators: Contacts, notes, tasks, signatures, and templates can be shared with team members.

Mailbutler integrates directly into the user's email client, and its cross-platform functionality means if other team members are using other email clients, Mailbutler still works. The vendor further states that all messages are secure and never accessed or read by Mailbutler. Mailbutler comes with a 14-day free trial with no credit card required and offers dedicated customer support that responds to all queries within 24 hours.

Mailbutler has become a time-saving solution for users by offering various features to streamline their email management tasks. Users have found it beneficial for email templating, allowing them to send pre-designed emails quickly and easily customize them when needed. The built-in email tracking feature has enhanced productivity by providing insights into recipient engagement, enabling timely follow-ups and reminders. The integration with CRM systems, like Hubspot, automates the process of logging email interactions and tracking deals. Additional features such as delayed sending, scheduling, adding notes, setting reminders, and scheduling follow-up tasks contribute to better organization and efficient workflow. Mailbutler's compatibility with Apple Mail has been appreciated by users who prefer using their preferred email client. While some users have reported issues or concerns, the overall sentiment towards Mailbutler remains positive with users valuing its time-saving features and improved email productivity.

Detailed email tracking: Users highly recommend Mailbutler for its detailed email tracking feature, with many reviewers expressing their satisfaction. It has greatly enhanced their email productivity and made them and their team more productive.

Great features: Users appreciate the many great features of Mailbutler, including Send Later, Email Tracking, and the new AI features. They find these features valuable for efficient communication and credit Mailbutler with making them and their team more productive.

Ability to schedule emails: Users liked the ability to schedule emails to be sent at a specific date and time, as well as the feature that provides reminders to follow up on certain emails. This functionality allowed users to stay organized, ensure important tasks were not forgotten, and reach customers at the most appropriate times.

Clunky User Interface: Some users have found the user interface to be clunky and not always intuitive, suggesting that the organization could be improved. They feel that navigating through the software can be challenging at times, leading to a less-than-smooth user experience.

Limited Signature Features: Users have mentioned that the signature feature is lacking, especially in terms of support for custom HTML signatures. Many users would like more flexibility in creating and customizing their email signatures. Additionally, some users find the current pricing of the software slightly expensive considering the limited signature options it offers.

Lack of Email Tracking Dashboard: Users expressed a desire for a dashboard to track open rates and analyze the effectiveness of different messaging. Currently, there is no built-in feature that allows users to easily monitor and evaluate their email performance metrics.

Users commonly recommend the following actions for Mailbutler:

  • Trying out Mailbutler to track, add notes, tasks, and follow-up in the Mail app or Outlook. Several users suggest testing the available options and note that while the apps for Apple Mail are limited, Mailbutler is a good application for these functionalities.
  • Considering lifetime access offers or at least opting for the Professional Plus tier. Users recommend not being afraid of the cost, as even the free version of Mailbutler provides extensive functionality and features.
  • Giving Mailbutler a try to schedule emails, send mass emails, and automatically confirm receipt. Users think that Mailbutler is worth every penny when considering its productivity savings. Furthermore, they recommend trying the free trial to see if it meets personal preferences and needs.

Mailbutler is a plug-in for Apple's macOS Mail client that adds some very helpful features that I use regularly. Most notably, I use it to add a delay to the sending of emails (currently ten seconds) and to be able to determine whether an email has been opened by its recipient(s).

Having a short delay when sending can be very helpful as I occasionally think of something I meant to add after clicking "send". In these cases, I'm able to cancel the send, make the required changes, and then initiate a new send.

Being able to track recipient opens can be very helpful for making sure that important emails have been received and not lost in a spam/other filter or buried in the recipient's high email volume.

There are some other features that I make use of, albeit less frequently. For example, if I mention the word "attachment" and don't attach anything to the email, Mailbutler will ask me if I intended to include an attachment.
  • The features that Mailbutler introduces blend seamlessly with the Mail app's own features.
  • The iOS/iPadOS app can be used to monitor email opens and can be configured to send emails with delivery tracking on iOS/iPadOS.
  • Mailbutler occasionally conflicts with other macOS Mail plug-ins. Though, in most (if not all) cases the issue tends to be with other plugins.
  • The Mail app for iOS/iPadOS doesn't support plugins, making it necessary to use Mailbutler's own app to access a limited subset of the functionality on macOS/iPadOS.
Mailbutler is well suited to people who predominantly use their Mac for email. It adds a rich feature set to macOS Mail's native features.

Mailbutler is less useful to people who frequently process email on iOS/iPadOS. Only a limited subset of Mailbutler's functionality is available on iOS/iPadOS as Apple doesn't currently provide a way for third parties to extend the iOS/iPadOS Mail app.
  • The Delay Send feature has improved my email communications by allowing me to add details or make corrections before the email is actually sent to the recipient.
  • Being able to track emails has been very helpful and, in some cases, has prompted me to contact people through an alternate communication channel (e.g. phone or text).
I'm not aware of any other products that provide the same functionality within the macOS Mail client.

There are some third-party email apps for macOS and iOS/iPadOS that have some of Mailbutler's features, but my preference is to stay with Apple's Mail client, partially for security reasons.
Support is generally very good. Occasionally the response time is a bit slower than I'd like.

I am the only person in my organization, to my knowledge, who is using Mailbutler. It helps me address the ever-present "overflowing inbox" problem by helping convert emails to tasks, "snooze" emails for later response, see if my emails have been opened, cancel a sent email, and avoid the dreaded "forgotten attachment" symptom.
  • Snoozing emails for later response or followup
  • Reminding me to add attachments
  • Allowing time for me to cancel sending an email
  • I really have no suggestions for improvement. Mailbutler does exactly what I need it to do.
Mailbutler is great for people who want to practice "zero inbox," because you can "snooze" emails for later response or action. The task feature is also very useful, as it allows me to make note of what action needs to be taken in regards to each email. In general, it helps me be far more efficient in my email communication.
  • Mailbutler's effect for me personally is unquantifiable - but it really helps me stay on top of the myriad emails that pass through my inbox each day.
  • I would imagine that across a larger organization, Mailbutler's impact on overall productivity has the potential to be immense!
