Use Cases and Deployment Scope

We use Mimecast Cloud Archive as a secure, scalable, and compliant email archiving solution across our entire organization. It plays a critical role in our data retention, eDiscovery, and compliance workflows by providing a tamper-proof repository of all inbound, outbound, and internal emails. It helps enforce retention and deletion policies automatically across the organization. The archive is searchable via Outlook and the Mimecast web portal, allowing employees to retrieve historical emails quickly without needing IT support.

Use Cases and Deployment Scope

Long-term email archive, Mimecast allowed staff to keep all emails in the vault while being able to reduce their live mailbox size. This has also helped for auditing and legal reasons, being able to produce proof of emails in their original format. I also took advantage of the Exchange M365 cloud Backup tool, which allows mailboxes to be granularly restored.

  • Reduce M365 total email storage with the use of Mimecast and retention policies.
  • It paid for itself in one use case where a supplier paid the money to the wrong account and had access to the secure email archive. Able to prove how the emails looked when leaving our organization, which meant we were able to claim the money back.
  • Fast and easy interface to be able to search for items. The tool built into Outlook allows users to have direct and easy access, saving time.
  • Reduce IT support effort and risk due to not having to manage PST files for users.

Use Cases and Deployment Scope

We started working with Mimecast Cloud Archive almost a decade ago to solve two main problems. The first was long term data archival for compliancy purpose, and the second, more important problem, was an easy and efficient way to search that archive. Mimecast Cloud Archive fixes both of those problems with ease. Their cloud portal has advanced search functions that make it easy to find what you are looking for and has many options to search for.

  • Allowing users to see their own email archive as well with a user portal
  • Setting up retention policies

  • Easier access to support from within the portal
  • Easier to find menu options that are not buried so deep

Return on Investment

  • Mimecast Cloud Archive has allowed our users we support better access to their own emails quickly. That makes them more efficient
  • The tool allows our legal team to search through emails for different legal reasons which has saved us countless hours in court litigation
  • It has allowed managers easier access to past employees emails to better train replacements and knowledge transfer which has helped new employees get up to speed much faster.

Use Cases and Deployment Scope

We needed to replace our previous on-prem e-mail archiving solution (Barracuda) with a could-based solution and do it in conjunction with our move to Exchange Online. After speaking and demoing all of the current best players in this space we decided to go with Mimecast as it just odes what is meant to do with no fuss and it works. The migration was seamless and the users took to it in no time. We use it across the whole Company and users rely on it as it allows them to keep records of all e-mails and also helps us when we need to retrieve messages from employees no longer at the company.

Pros

  • Easy to search.
  • Easy to manage and deploy/migrate to.

Cons

  • The search interface (in the Admin panel) could be improved and made more intuitive.
  • The search period in the Outlook Plugin can't be changed from the default of 1 year, this needs to be customizable.
  • Add the ability to send messages from the web Interface.

Return on Investment

  • We needed a product that would allow us to keep at least 7 years worth of emails as required by the business and Mimecast, with its unlimited archiving, meets this requirement perfectly.
  • Being a cloud-based solution allowed us to save on hardware, infrastructure, and maintenance costs when compared to our previous on-prem appliance.
