What is Notion?

Notion blends everyday work tools into one. Use cases might include a product roadmap, a company wiki, meeting notes, and other use cases.

With Notion, they're all in one place, and customizable to meet the needs of any workflow. It is designed to be a workspace for teams, or entire companies. The goal with Notion is to make it possible for everyone to shape their tools to suit the use case.

Notion can also be customized by hand using a drag-and-drop workflow builder. Everything appearing on a Notion page is a block. These blocks allow users to add various kinds of content, like text blocks, checklists, graphs, etc., without needing to code.

Notion is a hub for asynchronous communication. Collaborative docs make everything go faster. Notion helps users to never miss a message, always know what's next, and edit docs without stepping on each other's toes.

Notion can be tried free, and is available on a perpetually free plan for personal use. The Notion Enterprise plan includes additional security and access features (e.g. user provisioning, audit log, SAML SSO, unlimited version history), as well as a dedicated customer success manager for entities with more than 100 seats.

If you're looking for an app to take notes, documentation, handbook, then the answer is yes, Notion suits you well. But if you need to extend this functionality using automation or custom API, you need to wait a little longer as Notion API still in the beta stage.

There are a plethora of scenarios which Notion is well suited but the few that come to mind immediately are structured organization of content, assigning roles and permissions per user, and integrations to external platforms within your business tech stack. Notion is designed to be a work-flow management nor visualization tool, such as Miro, but where it excels is through creating a centralized/unified environment to store and structure content.

Notion is effective when we need to increase efficiency in work teams that make daily implementations in multiple companies, since it facilitates the follow-up of each person, regardless of how many projects they participate in.It also allows each field engineer to report progress, issues and attach supporting documentation for evidence.

We leverage Notion as a knowledge base which has really helped with onboarding for our company as well as a note-taking app that allows us to easily share with fellow coworkers. I leverage it in marketing as a project management tool for our content. It easily allows us to gather research, organize it and then write our content, all in Notion all while helping us keep track of where every piece of content is in the process.

Notion is good for a plethora of use cases. The templates that it offers give just a few established pages for common uses but these are some of my favorites:
  • Kanban board: we use it a lot in my company to manage tasks and meetings
  • Note taking: whether in a professional or academic environment, Notion is well suited to take notes of everything regardless.
  • Software documentation: the "code" component to insert code snippets is perfect for creating tutorials and documentation for software development.
  • Finance control: I use the "my finances" template to have a proper following of my monthly transactions, which allowed me to be more responsible with my money.
  • Inventory management: Since I own multiple peripherals and general equipment, being able to have a portable inventory of all of it that includes their original value, warranty length and current state has been perfect to know when clean, maintain or straight up replace everything.

It is very well suited for teams that want to sync up on ongoing projects and need to share information in real time while also working on different parts of the projects they are assigned to. It is less appropriate for teams that work in silos or that don't collaborate as much.

Notion is well suited to eliminate million-word documents, different excel sheets, or PowerPoint presentations with different information on them. It's great to save everything relevant at the same place and update the information directly there. It is important someone is actively in charge to actually update the info, so it's accurate and not everyone can just edit. It's a pretty straightforward tool with a positive impact on the organization of information but not much more.

Great for complex project management and task tracking. I don’t see that it has been very useful for simple daily to do’s or projects, because it requires a lot of work to introduce to the tool, which is definitely worth it if you want to take full advantage of the tool.

Notion is well suited for scenarios like:
Personal Notetaking, Project Management, Product Roadmaps, Creating web pages (Like Resumes, Blogs, etc.), Roadmaps, Workflows, Notes, Minutes of Meeting, Project Planning, Personal Planning, Journals, Blog Posts, and so much more.
Notion has a library of free and paid templates which can help in getting started quickly and working on any of the use-case scenario.

If you need in an hour or two to make the knowledge base with the structure that can be changed on the fly, then Notion is the perfect tool. If you want to conduct projects on Agile methodology - please select a specialized tool for this.

Notion is well suited for efforts ranging from taking notes for meetings or making kanban-like project boards tracking the progress of various efforts. I love making tables or spreadsheets in Notion, they have made it so easy! Where I feel like I am fussing with features to make tables elsewhere, it is super easy in Notion. Saves me time and makes information easier for other teammates to read.

Very well suited for a large company that has a lot going on. It helps to segment parts of your company and teams and to track what's going on. It's well suited for a company that has many moving pieces because it allows a company to focus and organize OKRs and not get lost in the mundane. I don't think it's well suited for a smaller business (less than 10 people).

It is well suited in situations where group work is required because it is a one access point that can keep track of tasks and info. It's very easy to collaborate there because of the comments feature. Although it has a database feature, it wouldn't be appropriate for handling large datasets - it's best for simple spreadsheets.

I think notion brings a tool that you can use for everything, from a personal note, organization folders, calendars to client meetings, kanban board and team setup.
I personally use for studies, to plan my activities during my day-to-day, i think it's the first tool that really helps me be organized and stop procastinate on hobies or personal projects that i want to build.

  • Turning a basic spreadsheet (I have countless of those scattered around when researching subjects) into a database with views and filters, in a clean layout.
  • Embedding interactive tables inside a document (no duplication of information required)
  • Clean and friendly minimalistic styling
  • No additional steps required: everything you write is "live". You only have to decide whether to make a doc public or not

If you are generating a lot of content and working in a team environment, Notion is a clutch way to make sure that every member of the team is working on the same draft or version of your document. If you are in a process chain, it also becomes quite useful being able to drag the content card from one person's to do list from another's when it becomes their responsibility.

Project management. From project planning and ideation Notion is great collecting resources such code snippets, web bookmarks and other inspiration or mood board type elements. Assignments of sub tasks to ensure completion of major tasks. Each task can contain even more resources, notes or simply monitor progress. Similar tasks or resources can be easily referenced from any other project.

Notion is very good at allowing you to arrange data and relate different information in the way you want. You can model the way your organization works with data or projects. You can have notes, tasks, and properties that are all related to each other in one place instead of in separate systems.

It's so open that it's good for anything, honestly. Because it's so flexible, you can use it for task management of varying complexities. Less appropriate if you need visual design control over your notes, and collaboration is really only possible with someone who also has a paid account, keeping it relatively closed off.

Notion is one of those platforms that is really good at helping you close out other platforms that do some but not all that it does. One of the best things that it has done for us is allowing us to stop using so many project management platforms. The only thing that I would not use Notion for is an in house program; it is set up perfectly for agencies though.
