What is Notion?

Notion blends everyday work tools into one. Use cases might include a product roadmap, a company wiki, meeting notes, and other use cases.

With Notion, they're all in one place, and customizable to meet the needs of any workflow. It is designed to be a workspace for teams, or entire companies. The goal with Notion is to make it possible for everyone to shape their tools to suit the use case.

These blocks allow users to add various kinds of content, like text blocks, checklists, graphs, etc., without needing to code.

Notion is a hub for asynchronous communication. Collaborative docs make everything go faster. Notion helps users to never miss a message, always know what's next, and edit docs without stepping on each other's toes.

Notion can be tried free, and is available on a perpetually free plan for personal use. When we talk about Notion, I love to use the book analogy. Notion is like a page that is easy to manage thanks to the block content. We can arrange those blocks based on our needs, and also, we can have a full search across other pages.<br><br>We basically use it for our internal documentation, like the HR handbook, to explain how the recruitment and onboarding process goes and technical documentation about our software development process. But when you're familiar with the <a href="https://www.notion.so/guides/types-of-content-blocks" target="_blank" rel="nofollownoopener">Database block Type</a>, you can turn Notion into anything. For example, some departments use Notion as task management because the database block type can be viewed using Kanban, Calendar, or Timeline view. You can always look for inspiration on how to use Notion from their <a href="https://www.notion.so/Notion-Template-Gallery-181e961aeb5c4ee6915307c0dfd5156d" target="_blank" rel="nofollownoopener">Template Gallery</a>.<br><br>Another cool feature is the sharing options. You can easily manage other users to view only, comment, or edit on specific pages.

Notion is currently being used across the majority of our Product, Research & Development, and Solutions teams. It allows us to seamlessly create, manage, and store multiple different forms of content specific to each department in one easily accessible location. Prior to Notion we used to have several privately owned instances of knowledgebase repositories, notes, Google Docs/Sheets, etc. that were impossible to query for the information we needed.

Notion is a versatile and convenient software for note taking and general organization. In my company we've used it to implement a Kanban methodology and keep track of different meetings in the week, plus having a centralized point to access important documentation that is presented better here than in a word document.

Positives
  • All device sync: whether you use Notion on your laptop or on your phone, the content you create is automatically updated and available on all devices.
  • Notion API: The software distributes documentation to connect your Notion content via an API to other services you might use.
  • Tutorials and templates: Notion comes with default templates that you can use to create pages suited to certain needs. The Notion webpage also has different tutorials to become a power user easily and quick.

Negatives
  • Free use limit: Notion allows users limited access to premium features by counting the "blocks" used by the user. The problem is that there isn't a clear definition of what are "blocks" and how are they measured.
  • Random freezes: When changing between Notion and other apps on my laptop, it would freeze and show a blank screen for a couple of seconds to a minute.

The major business problem Notion addresses are being able to communicate information and resource lists to our external members/students in an efficient and visually-appealing manner. Another major business problem is being able to communicate and amass other information to be used internally. All this can be done in Notion without building a website. Notion is used almost every day by our coworkers and members.

My org uses Notion as a collective knowledge-base, wiki, and brainstorming tool. Each dept keeps track of their ways of working as well as project tracking, interview tracking, and product specs. It's a very flexible, collaborative workspace-- you can use it as a kanban board, a regular to-do list. You can embed documents, Figma files, YouTube videos and other multi-media content to share your ideas.

Notion is a great tool to save and organize all important information about work processes & material, company information, etc. It solves the issue of having a million different files, saved in different places and employees accessing outdated information or work materials. Notion is the place to go if you need more information about a certain topic if you look for a specific file or want to learn more about a work process. We use it in our company by creating different workspaces for each team or topic, giving access to those to who it is relevant.

2 years ago I started using Notion to structure my personal notes and materials. However, I now use it already in working processes with colleagues as an inner wiki, if we are free in the choice of instruments. Notion helps [me] and my colleagues track meeting notes, spreadsheets, events, and other documents in a comprehensive one-screen platform. It's been much more coherent to manage projects and efforts than Google Docs since it has a nice sidebar directory and easy-to-organize sections. Anyone can use Notion very quickly, there isn't a large effort needed to train or learn about it, it's usable out of the box for any teammate at any level.

We use Notion for a variety of purposes. Our company OKRs, personal OKRs, project management, directory, employee handbook, requesting days off, etc. It's our home base for all aspects of our company. Notion is really helpful for storing all of our HR-related items and is a great place for us to host things like time-off requests.

I came aware of Notion when preparing for a complete update of my course material as a university guest professor. In this capacity, I share from experience as consultant in the construction industry and bring this into the broader subject of "Building Information Modelling" (BIM). As the previous course has evolved from a Bachelor to a Master's Course, I needed to rethink the whole course content and structure.

While I had been planning to write a course text, I was initially reluctant on how to organise and publish it. Having had experience with traditional documents mostly (Word and LaTeX), those were the first attempts, but as the main concept of BIM is situation in digital transformation of the industry, I felt I could do better.

After a series of tests with a variety of dedicated writing tools (e.g., Scrivener), a blog-oriented writer tool (MacJournal) and some preliminary tests with Markdown platforms (Gitbook, Docsify, ...), I discovered Notion. And it had the incredible balance just right between an accessible Markdown-style writing environment, an open flexible structure (pages in pages) and integrated tables with database behaviour, this fit really well.

So its main use for me are in the form of a course (wiki-style) and as knowledge management. Being able to embed interactive content and having no barrier between writing and online publishing, I decided to adopt Notion for this purpose.

Notion is being used in many ways in my daily workflow. Including but not limited to project tracking, research, resourcing, issue resolution and notes. It has provide a centralized workspace and dashboard for workflow items. Features such as task tracking and relational databases are a strong suite of Notion that make it a go to application.

This is the tool that my organization uses for the bulk of our team and client communication outside of email and Slack threads. It is our note taking app that we use to help manage client meetings and keep the internal teams cognizant of what is going on and what was said in the client meetings.
