What is OpenAir PSA?

NetSuite OpenAir is a cloud-based Professional Service Automation (PSA) product which includes resource management, time management, and billing capabilities. More specifically, it allows an administrator to create projects and book resources for them, populate tasks with assigned resources for their completion,create billing and revenue recognition rules for invoicing clients, track time and expenses across events and projects, create custom time ranges to match fiscal periods, report project benchmarks on key measures and build summaries and use charts to visualize results. It also integrates with Microsoft Project.

Pricing is variable though a free demo is available. 24/7 live support is available to help with implementation, and paid courses and consulting are also available.

The ability to facilitate contract documents, update billings, submit applications and back up is quite sufficient. There are some glitches in the regularity of requests for additional documentation or required document expiration dates, however, notifications are provided and corrected as needed.

It is well suited for the up-and-coming business looking for a data management and account tool that will help their business excel and minimize user errors. Implementation takes a while when migrating data from a company CRM, but once this gets up and running, it's a powerhouse for any workplace.

Our users complain about many aspects of their workflows within OA and the tool is not flexible enough for me, as part of the Admin team, to accommodate their requests. Reporting allows you to get the info out of the system, but except in rare circumstances does the reporting display in a useable way in OA. I recommend to pretty much everyone to export their data to a PivotTable friendly-format (which is something that doesn't happen by default but must be selected on each report individually) and then use pivots to display the data how they need it.

It is a straightforward project and resource management platform. It is easy to create and manage projects.

It is a little bad for billing clients so we use a different tool to integrate that.

It's well suited for smaller PS companies, that have minimal project complexities, and can integrate easily with many applications. It's completely customizable to fit specialized service companies. You need developers that understand this tool inside and out.

NetSuite OpenAIR PSA is well suited for time tracking and project/resources management. This is what we use it for and it does it well. As it happens with such systems, it is as good as the data it has, so if the team members are not entering their hours, it can be useless. Some mechanisms to notify/"force" users to enter their data will always help.

As a growing company/agency that is striving to reach a broader scale, Netsuite is a good tool to manage a broader team and a team that sits across multiple offices. Internally, we see the most value from a budget, expense reporting, personnel management and time management standpoint (including monitoring time off and billable project hours).

OpenAir is right for your organization if you want to track time and expense reports and need a project management solution. OpenAir can help determine the appropriate resourcing your organization needs.

OpenAir is not appropriate if you don't know your goals when it comes to resourcing. I would suggest determining these goals before digging into OpenAir, so you can make something of all of the data it accrues.

Reporting was a big factor when choosing this system. It was very important to be able to leverage the data being submitted by 1000+ resources and leverage it to tell us something useful about our company.

Depending on your size, if you use OpenAir, you will need a full-time administrator who can provide documentation, training and support. I think it is a choice to be considered for any services business who want a single system that can manage projects, POs, expenses, and invoicing all in one platform.

I would recommend it for a business where basic project management without too much field customization is required. It is very good for recording time and reporting on these details. However for a business where robust reporting or resource management is required, I would probably not recommend as highly.

Our company requires us to track a large number of detailed project milestones, leverages complex invoicing scenarios, and reporting outputs that have calculated fields. We described our complex scenarios to various vendors when searching for a PSA solution. Every competitor talked a good talk, but when we asked them to demonstrate how the scenarios would be handled inside the application (not powerpoint screenshots), they all fell short with the exception of OpenAir. Specifically when compared to SAP's PSA solution, OpenAir won hands-down due to fast implementation, quality and timeliness of support, flexible configurations, scheduling capabilities (yes, even as a weakness, this still beat competitors), and overall user-friendly/straightforward design. We have a one individual supporting the product globally full-time, and a coordinator supporting the product half-time (20 hrs/week).

This product is well suited for an organization that is focused on client services, project delivery, time tracking, expense reporting, and revenue recognition. From a pure project management perspective, this product is not as feature rich as say Microsoft Project Server. For organizations that are looking for detailed complex project plan and resource management (along with resource leveling, etc.), this is probably not the best suited product.

I would only recommend OpenAir if you are a company of 100+ with complex business processes and have a need to integrate into multiple external systems. I think most project managers find it cumbersome and irritating until they are trained on what not to use. It needs a more simplistic obvious approach rather than having every feature exposed all at once.

While the solution wasn't perfect and had some areas of improvement in regards to the UI, it was still a solid application that did help us achieve our overarching goals. The integration between the various modules is key to provide a clear ROI once implemented.

If someone is looking for a PSA solution that integrates with Salesforce.com and their ERP seemlessly, OpenAir is not the recommended product. If someone is looking for a standalone PSA solution, I think OpenAir does a really good job at time and expense, project management, resource management, management reporting and client invoicing.
