OpenText has proven to be a valuable tool for record management and object tracking, allowing users to easily access and refer back to previous scenarios and recorded files. This functionality has been particularly beneficial for organizations with strict document and records management policies, such as the 13 departments within the Western Cape Government that have implemented the software. These departments have successfully utilized OpenText to ensure compliance with regulations managed by archive services.

One global customer, a hospital gas provider, has also found great value in OpenText LiveLink. They have used this platform to effectively store and manage various documents, including invoices, payment proofs, cargo/shipment documents, as well as general use documents. The integration of OpenText into their workflow has streamlined their document management processes and improved overall efficiency.

In addition to record management, OpenText is employed by the AP department to post Marketing Department collateral on an internal website. Users have reported that the interface is user-friendly and easy to learn, with no technical issues encountered during implementation. This has enabled seamless collaboration between departments and improved the accessibility of marketing materials.

OpenText's Content Suite, particularly Documentum and ECM versions, has been adopted for handling business content across different organizations. It ensures the security and integrity of important documents while facilitating financial tasks like invoice management, verification, and automation. This comprehensive solution has been successfully deployed across multiple departments with different versions tailored to their specific needs.

Furthermore, OpenText Content Server is widely used enterprise-wide for managing client project data and internal administrative information. Its integration with SharePoint has enhanced data collaboration and streamlined communication across teams.

Lastly, OpenText Content Suite Platform is primarily utilized for records management and physical object tracking. The ability to integrate with other systems and applications further enhances its utility for organizations seeking efficient record-keeping processes.

Overall, OpenText has been highly versatile in addressing various document management needs across different industries. Users have reported positive experiences with its functionality and ease of use in managing records, facilitating collaboration, and ensuring the security and accessibility of important documents.

Great Document Organization: Many users have found the document management system to be excellent, allowing them to easily organize their documents into corporate folders based on the tasks they are working on. This feature has been praised by multiple reviewers for its effectiveness in keeping files structured and accessible.

Easy for Non-Technical Users: Several reviewers appreciate that no knowledge of HTML is required to navigate and use the system, making it user-friendly for non-technical users. This ease of use has been mentioned by a significant number of users, emphasizing the software's ability to cater to a diverse range of users with varying technical skills.

Comprehensive Solution for Physical Objects: A notable number of users highlight the ability of the document management system to manage physical objects, providing a comprehensive solution that meets their needs. This functionality has been commended by multiple reviewers as it allows them to seamlessly integrate both digital and physical assets within one system.

Confusing and Daunting User Interface: Several users have found the user interface of version 10.5.2 to be confusing and daunting, particularly for non-technical users. They have expressed difficulty in navigating the system and understanding its functionalities.

Difficulties with Forms Maker: Some users have mentioned that the forms maker bundled with the product is not easy to use. They would prefer a better application for creating forms, as they find the current one challenging and time-consuming.

Lack of Easy Reports Creation Application: Users have pointed out that creating reports and getting usage statistics is challenging due to the lack of an easy reports creation application in version 10.5.2. This has hindered their ability to analyze data effectively.

We use OpenText for record management and object tracking. It also offers great content management options for staff that are less experienced in technical backgrounds. Our organization uses it as it offers great retention schedules where you can be able to go back to previous scenarios thus benefiting from the files that are recorded.
  • Great document management where you are able to put them into corporate folders depending on the tasks you are working on.
  • No knowledge of HTML is required thus making it easy to use.
  • You can manage physical objects.
  • Reporting can be quite tasking as no applications for this come with version 10.5.2
  • Lacks flexibility and modern tools on some versions user interface.
Great for content management and records even for organizations whose staff are not much experienced in the technical backgrounds as it's easy to use and no previous knowledge on HTML is required. It is great for storing invoices and payment proofs and for organizations dealing with global clients for general use documents.

OpenText Content Suite Platform is used primarily for records management and physical object tracking. We also have several integrations with other systems to make the data available from other applications. We currently have OpenText Content Suite Platform, OTDS, OTTeamSite, and OTMM in-house. All are managed on-premise. We currently integrate with other COTS software, as well as internally developed applications.
  • Records Management
  • Physical Objects
  • Search/Indexing
  • Version Upgrades
  • User Interface (not all functionality is available in the smart UI out of the box)
  • Patching
OpenText Content Server does an excellent job with managing content in mixed electronic and physical data scenarios and excels at Records Management for retention/litigation purposes.

I have used two versions of OpenText Content Suite namely Documentum and ECM OpenText. We have three different versions of the software depending on department and professionalism. The Documentum version is amazing when it comes to handling business content and it is very secure. As for the ECM OpenText, I have used [it] in the finance department where I work. It makes it easy to handle some financial tasks such as invoice management, verification and automation.
  • I like that OpenText Content Suite [has] many versions and therefore every department can get a version that meets their needs.
  • Documentum version is very secure and makes content management seamless.
  • ECM OpenText also makes many processes easy, more so in the finance department.
  • The software is easy to use despite being very resourceful.
  • OpenText Content Suite is not the most affordable option
  • Long learning curve
  • Integrations are not flawless
OpenText Content Suite is ideal for many businesses since it offers different versions and there is a version for almost every department. I would therefore recommend it for business[es] more in the finance department where they deal with invoices among other accounting needs.

We have deployed different versions of OpenText across several departments and I have used two different versions. For instance, when it comes to non technical use, such as document management and storage, I have used OpenText Content Suite and it works really well. But since I work in the accounts and finance department, I have widely used ECM OpenText version. It offers features such as invoice automation, invoice verification, and management all of which makes handling workflow easy.
  • ECM OpenText version is secure and easy to use
  • The different versions makes it easy to accomplish different tasks . We have more than three versions deployed in our company
  • The software is highly scalable
  • There are many customization options
  • The software is relatively affordable
  • Integration with other products such as Microsoft Outlook is not easy
  • Few document types accepted
The good thing about OpenText is that it offers different versions which therefore means there is a version for different needs and any business can find a version that suits their needs. Whether you need OpenText for non technical use for instance for general document management and storage, OpenText Content Suite works well. But for handling accounting issues, you need ECM OpenText version. Therefore most businesses can benefit from OpenText. You just have to know what works for your business.

My team supported an ECM solution for a global customer provided by OpenText. Our customer was a well-known hospital gas provider/seller which has units all around the globe. We used OpenText LiveLink to store invoices, payment proofs, cargo/shipment documents, and general use documents.
  • The OCR system is really good with high accuracy (>99%).
  • Worldwide support from OpenText.
  • Vast documentation and knowledge-base for troubleshooting available on the web.
  • The installation and configuration steps need to be made by someone from OpenText due to the difficulty of the process.
OpenText Livelink is the perfect ECM tool for big companies such as our customers. It covers the whole archiving process including scanning, separation, rendition, OCR, storage, and customer-views through an SAP (in our case, R/3).

OpenText content server is used enterprise-wide to manage client project data as well as internal administrative information. ECM is now evolving using the AGA toolset to become the archive and Records Management solution. This includes integration to our SharePoint solution.
  • OpenText handles high volumes of data very well and is stable when handling large volumes.
  • OpenText provides a solid security model that is intuitive to users and easy for them to grasp.
  • OpenText integrates well to he transitional file/folder based models that many end users prefer.
  • The user interface and configurability of that interface lack a lot of flexibility and modern tools.
  • There needs to be stronger and more powerful integration to electronic forms and workflow capabilities which are core to modern ECM.
  • Management of audit and content history needs to be modernized and made more dynamic and sustainable.
Very strong in high volume management of content but anywhere that user interaction and interface is critical, the application makes strong adoption very difficult.
Applications where security and audit are necessary are well suited but pure 'website' design for collaboration is not well suited.

We have implemented it in 13 departments within the Western Cape Government. It is being used through the whole organisation for document and records management. The file plans of the various departments as well as the retention schedules are being used to manage the documents. A strict records and document management policy are being adhered to within the whole organisation managed by archive services.
  • Document Management is being done well since it allows you to put in a corporate folder structure that applies to the business unit you currently work in.
  • Records Management works well in this organisation as it allows you to classify the document according to the file plan, as well as manage it according to the retention schedule for tat file plan.
  • The ability to collaborate on files works really well. You can share with users within your group, as well as allow other users access to the files for either read access to read/write access.
  • Access control of the folder and even individual files allows you to ensure only necessary people can have the right type of access. This is especially welcome in the government environment where document management is of utmost importance.
  • The forms maker that comes bundled with the product is not always that easy to use. I would like to see it come standard with a better forms maker application.
  • The user interface of version 10.5.2 can be quite daunting when you first start using it. Once you get to know it, it becomes easier. Also for non-technical users it can be quite difficult to get going with it.
  • There are no easy reports creation application that comes with version 10.5.2. So getting usage stats can become quite a difficult task and a database administrator is need to write the necessary queries to get the reports.
Your organisation has to support the type of document and records management needed for this to work. In an organisation that only needs to store documents and maybe share with many different parties, this might not be the best-suited software. In a large organisation with stringent document and records management policies, this suite is well suited. It makes management of documents across business units easy to manage and control.

I used OpenText when I was at AP to post Marketing Department collateral (mainly PDF versions of sell sheets) to an internal web site. I found the interface ease to learn and I didn't experience any technical problems along the way. OpenText is a good choice for content management by a staff with a minimal amount of technical background.
  • Easy to use interface. The toolbar is similar to MS Word, so non-technical users can learn it quickly.
  • No HTML knowledge required. Other CMS's require at least some HTML knowledge, so the learning curve is steeper.
  • Easy linking to SharePoint archives. Clink on the link and you're done.
  • I think the interface's simplicity is its strong point. I wouldn't change anything at this point.
OpenText is great in a scenario where you have non-technical admins. It is great for handling an internal web site (that's mainly text and simple photos), but might not have enough functionality for say, an commerce site that requires a lot of media integration.
