Use Cases and Deployment Scope

We use Paylocity for our payroll, HR, and recruiting platform. Paylocity has streamlined our process by making everything available in one platform. This is very helpful with new hires as the Recruiting module allows candidate information to flow directly in the HR Onboarding module. This helps save time and entry errors. Also having one platform to keep all HR and Payroll related documentation is helpful as we are not toggling between different ones.

Pros

  • frequent improvements/updates to the software/ features
  • phone customer service is quick and responsive
  • communication of issues and updates so the customer is aware

Cons

  • email customer service can be slow to respond and follow up
  • inputting schedules - allowing for a one screen entry with breaks and notes. Currently two have to be navigated as entry of time is required and then to edit that to add breaks and notes.
  • allow employees to call in and retrieve information and/or make changes on their own account. I recently had an employee call in about his W4 form and was told he was not authorized to obtain any information or make changes as he was not an authorized user. I don't want him having access to the company information, but he should have access to his own without any additional authorization. It's his own pay.
  • allow for multiple supervisors to be assigned to an employee. We have a situation where two managers oversee different aspects of an employee's job, but I can only allow for one of them to be assigned as supervisor. Thus the other is limited as to what they can see as their security roll.
  • allow for a supervisor or administrator to see PTO balances with pending PTO approved. When I look at an employee's PTO it shows their balance. However, when they look, it shows their balance and any pending. I don't understand why both sides don't see the same.

Our organization uses almost all the modules in Paylocity. The notable ones that have save my Supervisors and Managers time are the Performance module and Time & Labor.

The Performance module allows for the Supervisors and Managers to keep track of their employees review schedule. The system automatically assigns the review and sends reminders to the Supervisor and Managers of the event. The reviewer will rate the employees performance and that will flow over to the Compensation module. Which then will give the review the ability to give their employee a pay increase and get approval by the next level manager. It's a very useful feature when it works correctly. There are some limitations that Paylocity is working on correcting!

Pros

  • Keeping our business up to date on enhancements!
  • The Data Insights module is my go-to for different WC reporting and OSHA reporting.
  • The Dynamic reporting is easy to use, and it's nice to manipulate reports to fit our business needs!

Cons

  • The high turnover of Account Managers is tough because they never really get to know our company!
  • Releasing enhancements without thorough testing. For example, the new Home module made all my policies and company documents unavailable to change, and I couldn't update them with the new 2026 policies and documents. This should have been a key feature that should have been tested before releasing the module to businesses.
  • I am not sure why the Account Managers don't have more abilities to fix issues! We always have to wait for the "Team" to fix it on the back end. I used Paylocity with another company 8 years ago, and I don't remember there having so many steps to get an issue fixed back then!

Return on Investment

  • Our process of timekeeping and payroll has been streamlined, which has saved all involved time!
  • Using Insights in Time & Labor has helped Supervisors track overtime vs. what was scheduled.
  • Even though Paylocity isn't the cheapest, the time savings and reduction in errors have reduced our wage costs for HR and Payroll.

We have four entities that use Paylocity. We have always found that if there are any issues that do arise, Paylocity easily works us though the problems very quickly. We love the ability to put in a ticket request and have an answer within a few hours. They always follow up to ensure the problem has been resolved.

Pros

  • Being able to process payroll easily and seamless
  • Being able to make necessary updates when needed
  • Being able to track PTO / Sick hours
  • Onboarding is very easy for the employees and admins to complete
  • Mobile app seems to be very easy for employees to use

Cons

  • I think when there is an update like the BBB, that update should have automatically been completed.
  • I wish there was more capabilities to have Spanish for onboarding
  • being able to tab through the payroll entry instead of using mouse to move through.
  • When entering payroll, making it easier to toggle between employees.

Return on Investment

  • Paylocity in a whole has had a positive impact our company to achieve processing payroll effectively and timely
  • The onboarding process is a huge time saver, we do however wish they had a Spanish version that is easier to follow for those employees
  • What would be great is having an ERP system within Paylocity, I don't believe there is one. Especially tracking job costing.

Our company uses Paylocity for Payroll, Employee Records, and Timekeeping. Paylocity has helped us by giving us one unified place to keep track of employees. The time keeping has made it much easier than our old paper method of tracking employees time, having the pay roll system import the time and then send us the paper checks next day has saved so much time. We no longer have to manually enter times and manually print checks and worry about the printer jamming over and over. Now having digital copies of employee records has also made it much easier to look up past and present employees without having to get their physical files.

  • The knowledge base can be out dated
  • Mapping the general ledger can be a pain

Paylocity is used to provide payroll for a group of seven different companies. In addition to the provision of accurate wages to employees, they handle several business administration tasks - tax filing, child support, garnishments, etc. In addition, this platform provides accurate and timely information to employees as well as managers and accounting staff for additional recording.

Pros

  • Tax filing
  • Accurate payroll with thorough reporting
  • Online access to both employees and staff for hiring and multiple other area
  • Accurate deductions for insurance, garnishments, child support, etc.
  • Elegant interface yet easy to maneuver, both for staff and employees

Cons

  • I'd like to see a forum in which users could discuss the platform, raise both questions and concerns. I feel that changes are done without enough input from users.
  • Improving hold time recently with customer service.
  • Accuracy of new 'graphic' payroll report - the new report is not complete when payroll is done, so it is unusable from my perspective. I rely on the preprocess payroll register. This is one of those 'improvements' that have not been positive in my experience.
