Strategic Portfolio & Project Management: Planview PPM Pro is used to manage our strategic project work intake to evaluate project requests for strategic alignment and ROI before we spend real dollars investing in a project. Last year we avoided over 4 million dollars on a single request by identifying unnecessary requirements.

Work Intake: Planview PPM Pro work intake module is World Class. It's allowed us to consolidate our Strategic & Non-strategic Project Intake as stated above. We also have over 2 dozen department-level workflows that provide teams a single entry-point (& single source of truth) for their most critical processes. Teams have been able to strategically remove unnecessary resources, or add resources that provide easily identifiable value.

Dashboards & Reports: This is what truly provides value for our (or any) organization. We're able to provide a 500-, 5,000-, and 5,0000-ft view of the ongoing project and department work taking place. We use high-level dashboards/scorecards for executives, mid-level operational dashboards for directors & managers, and tactical dashboards for teams. These provide a clear, strategically aligned view of the work taking place within our organization.

Planview PPM Pro is best suited for Portfolio, Program and Project management. From evaluating project requests through capacity & demand management, Planview PPM Pro provides an organization the ability to strategically align their work. It's dashboard & reporting features allow a drill-down view into the work taking place at any level. Planview PPM Pro is less suited for operational/agile work management. However, it integrates very well with Planview's LeanKit application. LeanKit has a Kan-ban UI that allows teams to visually manage work, allowing them to get more of the right things done and less time managing the process. The integration allows Planview PPM Pro to be the reporting engine for the rest of the organization.

Planview PPM Pro integrates all of the PM features of other applications and then adds features on top of them. Other applications tend to offer a solution around as single "need", forcing users to "build their own solution".

Any co-work in our organization (14,000+) can submit a variety of work requests. We have about 700 advanced, regular users of the application. They are clinical teams working on projects, teams that use a project "plan" as a department planning tool (to track business objectives), and specific business units in the organization that have special use-case needs for project management.

System admins should have both technical/analytical skills for configuring & maintaining the application and personal/"soft" skills to help internal customers identify the requirements needed from the application. While Planview PPM Pro is a portfolio & project management application, we've been able to configure it to support many teams in their ongoing operational work. In these cases, a project management background is needed to understand how the application is designed and a process improvement background is required to adapt it to a team's use case.

Yes, with the caveat that timeliness is relative to the magnitude & impact of the bug. We have yet to experience an issue that stopped us from using the application. Minor bugs (UI issues, minor unexpected behavior) is fixed quickly. Larger bugs are addressed monthly.
The support team at Planview is phenomenal and I have too many instances from which to choose. Planview PPM Pro is a vast, highly customizable application. Even though I consider myself an expert in using Planview PPM Pro, there are times when I forget a little thing that causes a behavior I don't expect and I can't tell what's missing. The support team is very quick in finding my issue and they help keep me moving.

Innotas was used by our Project Management Department for portfolio and resource management across the creative portions our organization. It helped us get a grip on the quantity and variety of projects we were undertaking, as well as which resources were committed to which projects. It gave upper level management insight into how their creative workforce was being utilized. Shining a light on that data helped the company to have more confidence in the status of projects, and plan the future direction of projects and resources more effectively. It also helped expose where resources were over-committed, particularly when managers and salespeople were manipulating software developers into doing work for their pet projects under-the-radar.
  • Gives insight to the breadth of your project portfolio. When everybody has their wishlist of what they want done, Innotas shows what is being achieved, and by whom. That is crucial data for management.
  • Exposes resource over-utilization. When a developer is committed to more than one project, it drags down both. Every additional project reduces a developer's productivity.
  • Provides visibility to the project timelines. Management doesn't just want their wishlist completed, they need to know how long it will take. Innotas helps provide the high-level view they need to control the flow.
  • The details of projects, resources and time can be tedious to manage. Innotas does not alleviate the tedium. An intuitive interface for manipulating projects and resources that breaks out of the MS Project mold would go far to make it a better management tool.
Innotas is best suited for management of large portfolios with medium-to-large resource pools in a waterfall style of project management. It is less flexible for agile projects, but it does work well in tandem with agile project tools. In that scenario, it provides the high level view of projects and resource utilization while the agile tool(s) handle the give and flex of the tighter details in the project.

No alternatives were actively evaluated. Previous experience with Basecamp in the runup with Innotas, but I was not involved in an active evaluation of alternatives.

Innotas is used exclusively by the Project Management Department. Its data and reports, however, are communicated to upper level management across the organization.

Innotas is used and supported by the Director of Project Management and people under her/him. It requires a lot of data gathering and some diplomacy to get insight into all the projects across the enterprise. The actual input and management of that data was handled by me, with assistance from a Project Coordinator, and support from the Director.
  • We needed to understand the breadth of our portfolio so that we could track our progress against management's wishlists.
  • We needed to understand how our workforce was being utilized so that we could identify where our inefficiencies from overuse or underuse were.
  • We needed to understand what our high level project timelines looked like so that we could set expectations and plan accordingly.
  • We used Innotas in tandem with an Agile project management tool. Innotas allowed us to get the high-level, structured view of the projects, while the Agile tool helped us coordinate our efforts in Scrum.
  • As the Project Management Department expands the aspects that it is able to monitor and control, more of Innotas can be integrated to give the insight into those functions we will need.
Because I never evaluated other tools, I would be open to considering others. Given our establishment with Innotas and the value it has provided us, separating from it would cause some organizational discomfort. However, if a tool existed with a more intuitive interface for manipulating the data and factors of projects and resources, I would be very interested.

Innotas was solely used by Information Management to manage its entire portfolio of projects. The PMs maintained the work plans inside of the tool. All staff recorded their time in Innotas. Managed conducted resource management using the tool.

I couldn't envision an enterprise solution of Innotas that would incorporate Information Management projects and other business projects. In other words, I think an Enterprise PMO would struggle setting up Innotas to meet the needs of ALL players.
