We have integrated ProcessMaker with Google Workspace, Azure, and Netsuite to monitor requests from our over 500 retail locations to identify trends in real time. ProcessMaker is then used to delivery various reports to the management teams at each of our locations.

Robust product for task mining could do with some updates to the dashboarding features

Use Cases and Deployment Scope

We are currently using the Task Mining component from ProcessMaker to evaluate our business processes and identify inefficiencies, opportunities for streamlining the process and to implement automation. We look at processes which have a very significant number of manual process steps which involve activities outside of our core system landscape, or when there are many different applications involved.

Pros

  • Connecting activities across applications which are not part of the core landscape (e.g. Excel, MS Teams)
  • Being able to identify activities being performed such as typing into a form, reading content on pages, or navigating between pages in an application.
  • Identify copy / paste events, including the source system / application being copied from and the target.

Cons

  • The maturity of the Task Mining dashboard is quite low
  • The process for managing the invitation tokens to a team is quite challenging
  • The knowledge curve for configuring, especially with moderately complex system landscapes, is very steep.

Return on Investment

  • For the use cases we have deployed, the ROI has been negative - without a significant business impact.
  • We did not do a good job selecting cases with a strong burning platform to deploy the capability into. Therefore, despite obtaining some interesting insights, there was no desire to make changes to the process - thus not having a business impact.

We use ProcessMaker within our organization in many different ways. We use it for creating forms, executing and managing processes through platform's interface, reporting and improving processes based on data and performance and designing and automating business process using its Business Process Model and Notation (BPMN) modeler.

ProcessMaker is used to run various applications in our organization. With the goal of cutting cost, our organization has moved over 15 applications that we use to patronize from third-party's to the platform. We have now created Document management, Reimbursement , Vendor Contract Management and many other applications on the platform

Pros

  • It handles libraries very well. you can input various libraries during the development of a process
  • ProcessMaker runs scripts efficiently and the error codes are very clear to understand
  • Onboarding a process is not too cumbersome

Cons

  • Needs to improve with Integrations with other applications
  • Improve on resource consumption

Return on Investment

  • We have saved organization cost of $12000 from moving Document management from previous vendor to ProcessMaker
  • 15 applications have currently been moved to ProcessMaker, which is a cost saving for us
