Quickbase is well suited for many use cases [and] in particular, help desk ticketing. . We were able to create [a number of] table-to-table relationships, notifications and forms for each type of user. Quickbase [has made it easier] to get what we [want] when we [want] it. I have yet to find a scenario where Quickbase [wasn't an] appropriate solution.

[It's] well suited to standardized tasks, and systems. Things like recruitment or HR where there are very specific needs and wants that change slowly [over time]. It is harder for things where you have many different needs for similar but not exactly the same groups. It also makes it difficult when you want to simplify for the [end-user] by removing some of the native features.

Most of our team used Quickbase as a glorified password manager. It performed this task incredibly well. The rest of our team used Quickbase for tracking new project statuses, which it didn't do particularly well. It's not a proper project management tool (or at least our implementation of it wasn't) so we found it lacked the robust tracking we desired.

Whenever the team needs to organize data this app is a must is better for database tables even than excel or access, but it is not the best well suited for report customization and report generation in that aspect the platform becomes hard to use and sometimes a little bit plain.

Well Suited for:
  • Quickbase is great for a company that is drowning in Excel files and has to dig through tons of folders to find what they need.
  • Quickbase is great for anyone who wants better control over their data and reporting:
Example: We were recently audited by Microsoft for our licensing, and we were able to close our audit case, one hour after receiving the initial email due to the extremely detailed report that we were able to immediately provide them.

Less Appropriate for:
  • A company that doesn't really have a business process that is well known, which would make it hard to implement a Quickbase application for their needs
  • A company that doesn't have the budget to spend a minimum of $500 / month for the Quickbase platform.

Workflow and project management [are] where Quickbase excels. However, the more complicated workflows can require someone that knows how to code JavaScript to get it done. Custom forms are great to provide a wonderful user experience but can be hard to control if different forms are needed by users of the same data.

To this day, I have not found a use case where Quick Base was not a contender. If someone asks for a solution, I find a way to make it work in Quick Base. The true challenge is to ensure documentation is always created for every application. Data Dictionaries are extremely useful for future developers when application ownership is handed off.

I would recommend if you want to automate your work and migrate from Excel. Everyone can build the app an Quick Base if you don't know how to code. There are several users which don't know how to code and they are building applications on Quick Base and added Quick Base to the skill sets.

It's much better than Excel for multiple users within the company. If your company has a lot of clients, contracts, or data in general, then Quickbase is a great way to keep track of that data. It allows many users in the company to input information and also access the information without the worry of deleting it.

For us, Quickbase is an end-to-end software with limitless possibilities. We are able to create applications that suit our business, rather than some construction software that tries to treat all businesses the same. Every business has different processes and procedures and having a platform that can adapt to this is key. Quickbase is an enterprise platform which is great but it does not suit smaller businesses (1-10 users) as the cost could outweigh the benefits.

QuickBase is well suited for a department that has multiple users and has a need to store and share documentation across that department. It also is very good for departments or organizations that need to measure and report on specific activities and customize apps to make those measurements. It may not be the most appropriate for users who have a need to store or share large files.

If you want to track something, such as a business process, use QuickBase. For all other type of business applications, where you might want to have a custom user interface, you should still use QuickBase, because you can't find a better product that can act as a Backend-as-a-Service.
However, due to the limitation of the amount of data that you can store in QuickBase, avoid using it for applications that involve large transactions processing.

I genuinely can't think of a business scenario where Quick Base is poorly suited as a solution because it's so flexible and powerful. The specific situations where Quick Base is going to help you is a business situation where you have a workflow or process that you want to codify, customize and create a single source of truth about. What isn't in that category?

We use Quickbase successfully for everything from tracking time to submitting invoice requests to keeping track of all event logistics. It is robust and has scaled nicely. It may be possible to adapt it for an enterprise solution, but so far I've seen the most success with small department processes and one-off projects.

It is useful for very basic ticket tracking and assignment, but for smaller teams, it does not have advanced real-time collaboration features needed for bigger cross-functional teams that need to interact quickly and often. There is no ability to drag and drop tickets to different teams and categories, and no ability to drag and drop files or view screenshots without download. It is a very primitive interface and technology compared to today's standards of functionality and design.
