SAP Business One is an ERP system ideal for small to midsize businesses. It is sold only through SAP partner companies, and offers both on-premise and cloud deployment options. Users have access to core accounting features such as journal entries, AP/AR, cash flow management, fixed asset management, bank reconciliation, and financial reporting and analysis. SAP Business One also includes a host of other ERP features including procurement, production planning, warehouse and inventory management, CRM and sales process management, and business intelligence tools. Vertical-specific features for manufacturing, retail, and wholesale distribution are available as well.

It is currently being used for accounting and finance and will also be used by manufacturing when we get to that stage. Entire organization will use it. SAP consolidates everything onto one platform and will help us manage our inventory and manufacturing processes better than QuickBooks.
  • The user interface is easy to navigate.
  • Reports are easily created in order to analyze data.
  • Inventory is tracked in an efficient manner.
  • SAP doesn't allow for there to be updates to inventory items once they have been created. It would be ideal if updates to items could be made.

The team provided great support and continues to assist with any questions we have with SAP.

We use the product for our complete sales and purchase process, meanwhile, it is fully connected with the finance module and it creates automatically a journal entry for every transaction that affects the general ledger. The reporting module has many options and is really customizable, and you can create your own reports once you get familiar with the structures of tables and fields in the database.
  • All the modules are connected. A document you post on the sales or purchase modules gets an immediate journal entry on the finance module.
  • The system is very customizable. You can add extra fields to almost every document in the system.
  • The reporting is very good. You can create your own report via the Query Manager and then even add some layouts to the reports.
  • The Software Development Kit (SDK) has some errors that haven't been solved from previous versions of the system.
  • The Print Layout Designer (PLD) is somewhat tricky to work with.
  • The cost of each user license could be pretty expensive for some companies.
The license cost per user is a little expensive, and then annually you have to pay approximately 20% of the total cost of your licenses for the support from SAP, but what you get in return is totally worth it. You get a world class ERP for your company and the support is really good. The main benefit of the system is that you have all the departments in your company connected in real time.

  • The possibilities for the users to make their own reports (at least the simple ones), reduces the cost of the consulting you will need, although some consulting will always be needed at the start of the project if you don't have an in-house team.

The implementation was performed using the SAP's methodology called ASAP (Accelerated SAP). The methodology is broken into 5 phases: Project Preparation, Business Blueprint, Realization, Final Preparation and Go Live & Support. Each phase of execution focuses on documentation, recommendations, and implementations of SAP systems. After each and every phase executed successfully quality check is carried out that will help the monitor to deliverables and also focus on vital factors which are crucial for success.

  • It's important to have a very well defined business blueprint.
It is very important that the internal team that will participate in the project, can have dedicated time to spent on the project. Usually most of the delays on the projects occurs because the assigned personnel don't have enough dedicated time to the project, and are always focused on their daily tasks.

As SAP Business One is an ERP System, all the processes of the company are integrated onto it, so most of all of the staff have access to SAP B1. The areas that currently work within the system in our company are finance, sales, purchasing, marketing, inventory and IT.

To support the SAP Business One software we have an in house team that perform the centralized support from one country to all the countries the company has operations on. They are usually systems or computer engineers, are very high skilled with ERP systems and are certified on the SAP products.

SAP is the software leader for the ERP industry according to the gartner magic quadrant for ERP vendors. The usability of it's products is well known in the industry and the scalability of their products and its ease to connect with other programs let us to decide for SAP Business One as our system of choice.
If we had to the selection process all over again, I think it will be exactly the same. As the time has gone by, and even though other softwares can certainly be very well rated as well, we are pretty sure we made the right choice by selecting SAP Business One as our ERP software.

When implementing a system like SAP Business One, it is very important to let people in the organization know that they are not going to be replaced by the new system, but they will perform better at their jobs and have a new tool they can rely on for performing the job a lot better and more efficient.

The training I get was a consultant level training, so it's basically a 6 weeks training covering every aspect and every module of the system. It covered most common use cases and exercise training so you can get along with the software, as well as examples so there culd be a better understanding.

When we were implementing the SAP Business One software, we perform most of the implementation with our in-house team, but then we ran into a few questions that we do not know how to answer, so we requested some help from our partner software support and it was very helpful for finishing the implementation without any extra troubles.
Even though the price of the support for SAP products in general is a little expensive, you really get what you are paying for. The support team is really well trained and mostly they will get to the root of the issue really fast and will always try their best to resolve your issue ASAP.

SAP Business One lets you connect to other systems and you can also create your own applications inside the main program, which lets you create anything the standard software doesn't do. The vendor is constantly releasing new updates based on user requests and making better certain modules and processes.
The SAP Business One software is up and running every time you need it as it was planned. In more than 6 years that we have been using the product, it has never been unavailable and if it ever was, it was because of a planned maintenance window scheduled in the company.
SAP Business One performance depends mostly on the speed of your internal servers, should you have the solution on premise as we do. Sometimes the system tends to be a little slower for some users when others are executing really big reports of performing some batch loads, but generally, the performance is acceptable to all the users.

We perform most of our integrations of SAP Business One with the local tax authorities via a XML file exported directly from the database and then sent to the tax authorities via a FTP or SFTP. We can also configure the selected method to be a web service if the other end requires it.
SAP Business One offers a lot op options to integrate, but it's important to know that if you are importing data to the system, you have to use the provided SDK (Software Development Kit) or use an application that it is based on the mentioned SDK, so the system can recognize the objects being added.
If you are planning to integrate SAP Business One with another software or application, keep always in mind that you cannot perform modifications directly to the database, In other words, you cannot perform UPDATs or DELETEs statements directly onto the DB, because SAP's warranty can be voided if the DB gets corrupted.
We performed the implementation of SAP Business One with an in house team of consultants, we only rely on the partner for the purchase of the licenses and the yearly maintenance. Our partner has been really helpful with all the inquiries we've had regarding to the license aspects of the implementation.
We performed the implementation of SAP Business One with an in house team of consultants, we only rely on the partner for the purchase of the licenses and the yearly maintenance. Our partner has been really helpful with all the inquiries we've had regarding to the license aspects of the implementation.
When we were on the negotiation process for acquiring the licenses for SAP Business One, as we have operations across multiple countries, our partner recommended us to acquire all of the licenses only in one country, because of the bigger volume we could get a bigger discount and still be able to use them across all our locations.

The use of the tool allows to have an ERP which is implemented, in general, in all areas of the company, integrates in a coordinated manner in the areas of Marketing, Production, Marketing Channels, Inventories, Administration, Accounting, Finance, Portfolio Management of Customers, Accounts Payable and Charged. Allowing the control of all these functions in a single integrated application.

It is ideal for small and medium businesses, since it is a complete application, with a good technical service, and with accessible costs for the benefits received.
  • It allows making a real follow-up of the state of the company, without the need to wait for periodic reports. This provides a corrective tool for situations that deviate from the standard.
  • It prevents the business areas from working separately so the information is not duplicated and is managed effectively by all involved. thus avoiding conflicts and optimizing resources.
  • It allows the proper management of the client portfolio, accurately projecting the inputs and outputs of resources, products, orders, and invoices. Therefore, the inventory and cash flow are properly managed.
  • By correctly managing cash inflows and customer requirements, a real plan of goals can be established that is adjusted to the company's capabilities.
  • It is a standardized program in its use, with a parent company with decades in the market and renowned, which provides adequate user support to the tool.
  • The learning curve is greater than other programs of its type. You need staff who previously worked with the tool. The learning time is going to be high. Being a more developed tool, the user requirements are high compared to other similar ones.
  • Visually, it is a sober program. I believe that the presentation could be improved by adjusting it to the user level with which it is worked. In order to make it more user-friendly, we must not forget that a tool such as an ERP will be used by all areas of the company, which includes inexperienced personnel up to senior levels.
  • They should improve the integration with other tools that do not belong to the SAP family. In today's world, emphasis should be placed on emails, social networks, mobile applications, applications of calls and messaging, as well as providing adequate storage access on the cloud.
  • The implementation of the tool is in accordance with the type of program, however, for people who have not worked with programs of the SAP family, it will require more implementation time, as well as intensive user training courses.
As we have already described, it is an ideal tool for small and medium companies, with a well designed ERP system and adjusted to the reality of the business. It is a sober, reliable tool with extensive experience in the development of administrative tools. The cost-benefit ratio is appropriate for companies of this size. The points of improvement are the integration with other platforms and the visual interface for average users.

Therefore, their programs are reflections of all the experience accumulated over the years, which allows us to improve previously presented errors, in addition to adapting to the new needs of our clients.

Investigate in the written reviews of the program, make free tests of other similar programs, in order to determine which is the one that adapts to the size of the company.

Involve the end users in system tests, evaluating their reaction, as well as, a survey to poll their impressions with the program if they have worked previously.

As a consultant for SAP Business One I recommend, sell and implement it for many companies, the majority of which are in distribution and manufacturing. SAP B1 addresses the business processes required to manage inventory - straightforward distribution inventory, and complex manufacturing environments. Examples of companies that are using SAP B1 include: a capital equipment company in Woodstock Ontario that has BOMs that are 11 levels deep and average 3,000 components / sub-assemblies; a distribution company in Toronto with 6 distribution locations and salesmen throughout North America; a steel stamping company in Toronto making complex file cabinets and desks that are sold throughout North America; an automotive aftermarket distributor in Florida supplying parts to large retail chains such as Autozone; a manufacturer in Indiana that captures labor by operation in real time on the floor.
While these companies have different specific needs, the individual SAP B1 implementation is tailored (using SAP tools) to their individual needs.
  • SAP B1's technology is superb. SAP provides user tools to quickly add fields to a screen, re-arrange fields on a screen for optimal user interface, and create SQL queries to verify data as it is entered.
  • SAP B1 is tightly integrated. This is a product developed for this millennium - all of the modules are tightly integrated and the flow from one module to another. Even third party add-on products use the same technology platform for development -- making it seamless integration.
  • SAP B1 has integration to phone technology as an integral part of the software, allowing user's access to their data not just from their office but from anywhere they have network access.
  • The look and feel of the software is the same no matter what module you are using. Training is simplified - if you are trained on the sales order --> shipper --> invoice process, the same user could easily manage the purchase order --> PO receipt --> A/P invoice process because the screens are so similar.
  • SAP's education is superb. They have literally hundreds of hours of on-line training available for their customers. If you need to brush up on a process or train a new employee, you simply direct them to the appropriate video and they can learn at their own pace.
  • The software is robust. There are many 'wizards' included in the software. For instance their is an A/P payment wizard that leads you through the payment process.
  • SAP includes approval processes as an integral part of their software. For instance, if purchasing requests could be entered by any user but all (or some) could require approval by the head of purchasing.
  • There are alerts for out of condition processes. For instance, you can define an alert for the sale of any item below 10% margin, or an alert whenever a major client shipment is near to missing on time delivery. The alerts are all SQL queries that look for conditions that you define as requiring an alert.
  • No payroll module.
  • The initial implementation of the dashboard is overly complicated. Once it is set up it functions well, but it takes more effort than it should to get operational. And it takes lots of computer expertise to get operational.
  • Few customers use the Outlook integration with SAP. The ease of use between Outlook and SAP B1 could be improved.
  • Few customers use the CRM module heavily. Mostly this is because of the Outlook integration and the discipline it takes to use it properly.

Since I mostly implement distribution and manufacturing systems, let me address those areas. In those companies the accounting functionality of SAP B1 is very complete and there are no holes.

Inventory handling of bins, warehouses and items is superb. The system handles serial controlled items (1:1), batch controlled items (1:many) and normal stock items. The number of SKUs is not an issue - I have one customer with 150,000 SKUs. Hand held devices for data collection are third party add-ons, but there are several options available. The inventory is set up for discrete parts handling. There are few distribution industries where SAP B1 would not be a good fit.

The manufacturing functionality was weak until the latest release of SAP B1 in 2014. Now the BOMs support routers and processes - as they should have. Plants making discrete products that follow specific routing steps are excellent candidates for SAP B1. The MRP functionality is very good and allows for quick creation of POs and production orders from the results. New functionality in SAP 9.1 allows for import of transaction data to most SAP processes - so integration to data collection functions on the floor have been streamlined.

  • As a consultant implementing SAP B1, I can only give examples of SAP B1's affect on clients.
  • Capital equipment company heavy user of manufacturing functions: full cost rollup functionality eliminated errors in knowing the full cost of a machine (11 level BOM, 3000 plus parts). Let to proper pricing of end products and improved profitability.
  • Automotive aftermarket company - using SAP enabled them to quickly add and manage 600+ parts to their product mix for a major retail customer - doubling their business with that customer.
  • A manufacturer of arts and crafts products integrated SAP to Amazon and generated an incremental $60,000 in revenues per month.
  • A distributor with sales employees all over North America integrated the sales employee portal to SAP and now allows these employees to have up to the minute real time information on orders, invoices, stock, etc. - on their i-Pads, while at the customer.
I was a consultant for several other products in the 80's and 90's and early 2000's. The support I get from SAP far exceeds any support or assistance I ever got from Microsoft or other vendors. Specifically, I have worked with: Microsoft CRM; Microsoft Solomon; Microsoft Dynamics; Macola; BPICS;
None of the products were developed from scratch and fully integrated from the beginning. SAP puts more effort and dollars into R&D than any of their competitors - combined. And it shows in the products being delivered and the continuous improvements being made.
The key thing - I have no doubt that the SAP will continue to improve upon functionality and the underlying technology for SAP over the next 10 years or more.

  • Added a surcharge handling function to a customer that has a high percentage of copper within their product (solenoids).
  • Added hand held units to collect physical count information and pass this to SAP Business One - eliminating the need to hand write the data and face transposition errors.

  • Many ways - I am a consultant, so whatever the next customer requires.
I cannot run my business without SAP Business One in place. I only consult on on product and that is SAP Business One. Business volume goes to zero if I don't use SAP Business One.
It is the best product on the market - head and shoulders above other ERP packages I have looked at or implemented in the past.
For most small businesses, the only way you outgrow SAP Business One is if the nature of your business changes radically. Going from 1 to 50 users is quite easy with SAP B1. Going beyond 50 may require moving to the Hana SAP B1 platform to maintain or improve performance, but the path is there.
Add-ons to SAP B1 can also be added as specific needs are encountered that are not closely met by the standard product. These may be required early in the product life because of the nature of your business, or as you expand the use of SAP B1.
