What is Shift?

Shift is a desktop app for streamlining accounts, apps, and workflows, available for Windows or Mac workstations. Once downloaded, it enables the end user to simultaneously access and interact with multiple email accounts, enterprise apps, and integrated collaboration tools. It provides a search tool, notifications, and a customizable workspace interface to keep all necessary tools managed. Users can also create and share focused Workspaces with mission-critical tabs, bookmarks, and apps for personal or individual use, or for team use.

Its most basic functionality enables the worker to see and manage multiple email accounts in one place (e.g. Microsoft 365, Google Workspace, Outlook, etc). Also, users can include extension. Some among these are: Boomerang, Grammarly, Dropbox, Gmelius, GoToMeeting, HubSpot, Mailtrack, Lastpass, MixMax, Todoist, Zoom, and Streak.

The vendor states their focus with Shift is on providing logic and beauty, and that it ultimately aims to drive efficiency flowing from improved organization and end-user comfort while managing multiple apps from a single workspace.

Shift is perfect with anyone with busy digital lives and multiple accounts to look after. It makes you more efficient with your work since every app you need is available just one click away and the workspaces help you stay focused on the current task.

It’s awesome when you have multiple emails and want them to all maintain their appearance and function of the native inbox (Outlook, Gmail, etc).

It isn’t the greatest at times with calendars in certain scenarios and Microsoft teams app is atrocious to begin with and especially on the Shift app version.

I use it every day, and it is so lovely to have a clear desktop and only have one app running with everything I need. For example, when I am creating YouTube content, I need to be able to check analytical data on my YouTube channel, then open up Canva and create additional differences to the thumbnails that Land is making for the following video. I also need to be able to open Google Sheets to update my team and keep track of everything on Trello so we know what project we are currently working on our project. Workflow for content creation is spread across Trello Canva, WhatsApp, and Google Sheets, so to have all of these simultaneously open, I can switch between them all within shift is absolutely a godsend. Also, the fact that it integrates with Microsoft To-Do is beneficial as this is how we keep track of all completed tasks that we, as a team, create.

When on the road, I can often download the Shift client and login from any business center desktop computer or colleague laptop. Since it is self-contained, I can securely access all of my email and tools (integrated Google Workspace and 3rd-party plug-ins) without having to re-configure and setup each time. Once done, I can delete Shift without any trace of my session or accounts. Super useful for a mobile global executive.

If you are an entrepreneur I highly recommend it. There is basically no job or task that I don't think is simplified by using Shift. Even being a parent would be a little bit easier because you can easily keep an eye on everyone's emails and social accounts without having to be over them all the time.

For work, I get a lot of emails and messages daily so It makes everything easier since I don't have to have multiple devices open. It improved my time management skills and made me more efficient. It prevents me from getting any distractions as well with a click of a button.

It is well suited when you use two or more programs on a daily basis (e.g., Asana, email, time tracking, project management, Slack, Discord, browsers...). The only scenario I can think of where Shift wouldn't be appropriate is when someone's entire workflow remains with one single app, e.g., those in employment on specific platforms.

When you have multiple email accounts on Gmail, it is paramount to have a system like Shift. Also, when you have several accounts scattered between Gmail, Office365, and Yahoo mail, Shift's commitment to safeguarding my information is reassuring. With features like passcode protection and end-to-end encryption, I can trust that my emails and sensitive information remain secure.

Shift is best suited for multiple Google accounts. I can manage my personal and business accounts in the one program, Shift. Using shift allows me not to have to sign-in to different accounts in my internet browser. For this reason, I can use my browser specifically for other purposes.

If you manage multiple inboxes like I do for clients, it makes toggling back and forth between them super easy. No need to have multiple Chrome windows open for different accounts, it's all in one place. Manage each of their apps in each siloed workspace. I was tired of flipping back and forth between Gmail, Docs, Sheets, Drive, and more. Shift solved that issue.

Shift is well suited for folks that are using multiple tools in their daily role/responsibilities. It may not be useful or appropriate if the user only has 1-3 tools they use or need access to on a daily basis.

The most important part for me is having everything I use under the same application. I don't use the browser's capability, as external browsers give you more flexibility. I prefer to have that in a separate window, but it is great to have everything unified for the rest of the applications.

I think it's great if you have too many tabs open, and like being able to seamlessly manage more then one inbox plus Slack all from one window. It's also nice that you can mute all notifications at once. Works specifically well with Gmail. I don't think you would need Slack if you are already very organized and systematic about how you manage your email/Slack or if you don't use Gmail.
