What is Smartsheet?

Smartsheet is an online project management and collaboration tool from Smartsheet.inc in Bellevue, Washington. The software has a characteristic spreadsheet like interface but contains the full panoply of features expected of project management and collaboration software, such as automated alerts, instantaneous updating and sharing across team members, resource management facilitating budgeting and task allocation, nested tasks organized in a hierarchy, a Gantt chart view, the ready production of exportable reports (e.g. Excel), and integration with email. Across spreadsheets cells can be linked allowing the creation of master spreadsheets that provide ready summaries or automated reports. Smartsheet's capabilities can be expanded with a multitude of apps (e.g. Dropbox, Google Apps) or integrated into combinatory solutions (e.g. with Salesforce) to tailor fit business needs. It supports full mobile access.

Three tiers cover Smartsheet's pricing options. The Basic level provides core features for small groups of individuals, while the Team level is recommended for groups of up to 50 people and supports more user features, allows multiple sheet creators, and has reporting functions. The Enterprise level is a custom fit tier for groups of greater than 50 individuals or companies, and may include dedicated support personnel if desired.

Smartsheet is used by our Project Management team to manage our project plans for our many clients. Smartsheet's easy-to-use UI will instantly feel familiar to anyone who has used MS Excel or any similar database tools. This interface allows new users to easily dive right in, without relying on tutorials like some of the other leading PM tools in the marketplace that are less intuitive and perhaps even overly-complex. I track project plans down to the task level in Smartsheet, and all of our project budgets are managed within the tool itself, as well.

  • Parent / Child relationships at the 'sub-task' level could be easier to use. Sometimes i have issues 'rolling-up' data / numbers when I get below one level or two of sub-tasks. However it may just be user-error, as I have not had the time to investigate further or reference user manuals or tutorials.
  • Nothing else. Smartsheet works quite well and does not leave much to be desired.
Smartsheets is very well suited for building and managing project plans, no matter how simple or complex they are. Budgets are easily managed and maintained, as are scheduling dates and assigning users 'action items' and permissions, with cell-level security features available out of the box.

Smartsheets is well suited for collaboration. Multiple users, if given admin or editor privileges have the ability to make changes at once, avoiding issues that often can materialize regarding versioning errors typical, as a result of multiple authors or editors.

For project managers, smartsheets has multiple 'views' available, which can come in handy depending on your specific purpose. For those interested in seeing all of the details, the standard view is a table/spreadsheet type of view. For a more agile approach, or a simplified user view, their 'task-list' type view can help to easily view in a card-type of format and classify those tasks that have been 'completed' versus 'in-progress' , 'in qa' or other relevant category / classification. Other views include the Gannt chart view, which is helpful for seeing things in a calendar-like view, helpful in showcasing things like dependencies.

Overall it's a decent app. We found quite a bit of an issue trying to use their gaant template when it comes to functionality and what this tool can and can't do. Some aspects of this tool are limited (even to the more advanced accounts). Their support agents were not able to help us when it came to templates.

Smartsheet is a software as a service (SaaS) platform for collaboration and project management. It is used to assign tasks, track project progress, manage calendars, share documents, and manage other work, using a tabular user interface, similar to Microsoft Excel. We use it to manage web builds, app builds, content and social projects.

The Smartsheet platform is extremely similar to Microsoft Excel, so if you are familiar with Excel, you will pick Smartsheet up quickly. Even if you aren't Smartsheet has a relatively simple user interface, meaning just about anyone can learn it. One thing to note is that the interface is that some may consider the interface so simple that they feel the need to look for more robust platforms. If you have a small to medium project that needs to be manages in a central hub, Smartsheet would be a great fit. If you have a very large project, I might consider looking into more advanced platforms.

Smartsheet is used as a Project Management tool to track the implementation projects in real time. Our employees are able to stay up to date with project timelines while easily sharing the status of a project with our clients. The majority of our company are daily users of Smartsheet which saves time on project task communication.

If you're using Smartsheet as a replacement to Microsoft Project and then Smartsheet is a no brainer. It works great as a tool for Project Managers to effectively manage their team and keep projects on track. If you're in need of reporting and overall dashboards to keep track of more than one project you'll have to upgrade to the much more expense Business License. Wish they were more supportive of their legacy 'Teams' license.

Smartsheet is being used by our Operations team's Project Managers to provide a collaborative, transparent plan that both the customer and vendor can execute. Smartsheet solves the gap in communication which is one of the primary reasons projects fail.

Very well suited in the Healthcare environment. Many times healthcare has 'lock downs' on computers and networks due to HIPAA concerns. Therefore, other solutions such as Google Sheets and even Excel isn't an approved solution. I have never run into an issue with our customers using and viewing Smartsheet.

Smartsheets are used to help manage product launches. Since so many teams across the organization are involved in the full product launch process, Smartsheets helps us keep an organized list and status on each item. It keeps us on task, and on time.

We use Smartsheet primarily for creating full project schedules and Gantt charts. We also create project status summaries, key milestone summaries and are looking into the full project management capabilities of it. It is being used for a particular client only at this time but may be useful in broader applications across our studio, and even our company. So far, Smartsheet has been very useful at communicating the full project schedule and breaking down the process into smaller steps, and identifying not only the critical path for the projects but also the interrelationship between tasks. This capability allows us to get on the same page as our client while also maintaining accountability on our end to hit our milestones.

  • Exports a clean looking PDF for client presentation and deliverable.
  • Allows filtering of information for easy focusing on certain parameters.

Smartsheet is great for: Project schedule management such as creating Gantts with a breakdown of tasks, understanding processes with many steps complexities and interdependencies and creating simple reports

Smartsheet may not be the best suited if you: want similar control and advanced capabilities such as Excel offers, want ultimate control over editing reports and output of information, all users to be licensed, and full ability to create sheets from nothing.

It is being used across the digital side of our business. Campaign projects are using ClickUp. They both have their strengths and weaknesses. I appreciate Smartsheet because of the similarity to Project or Excel, and that makes its usability and transition to the tool much simpler.

We use Smartsheet to create schedules for various construction projects. We create both detailed construction activity schedules as well as more high-level milestone schedules. We also create hot-lists, to-do lists, AR logs, clash management logs, and a variety of other logs/lists/projects that we can easily access online and link together.

In the construction industry: Great for straightforward, more simple projects. Great for smaller projects. Great way of allowing multiple users to edit schedules and easy to share. Very similar to Microsoft project but does not have all the features to produce more complex projects. Not good for large, complex projects that you need more complex logic for. Cant edit dates/calendar/bar chart like I would like to.

We adopted SmartSheet to handle project planning for our engineer to order products. From there, we have expanded it's use to other areas of the business. It has transformed our ability to track work progress and resource allocation.
It has delivered significant value in the following areas:
  • Visibility into task status.
  • Ability to manage resource loading and easily reallocate.
  • Get frequent and reliable updates on project tasks.
  • Track project task status.
  • Make it easy to get accurate and timely updates on activities.
  • Automate common project management tasks.
  • I wish it had the ability to maintain drop down menus through tables.
  • There are some limitations on data entry on forms.
SmartSheet excels at:
  1. Project and task management.
  2. Managing repetitive workflows, especially those where approvals are required.
  3. Reporting on the status of tasks and projects.
It is not as well suited for:
  1. Information streams that require parent-child relationships.
  2. Situations where complex security requirements exist (for example where users need access to some of the information but should be restricted from seeing all of it).

We use Smartsheets across the whole organization to share information securely and to manage workflow. It instantly keeps everyone up to the minute, and also allows us to identify who made changes and when, and support those changes with attached documentation.
  • Exports to Excel are simple and attractive.
  • The ability to message other users in the same use space is practical.
  • Once dashboards are created, it allows for everything needed on a daily basis to be right at your fingertips.
  • Being able to have multiple Smartsheet pages open at the same time is crucial. Not all programs allow for this.
  • Once a system is in place, it's challenging to change or update something because each instance of that change has to be updated. We have 20 centers, so have to update things 20 times in most instances.
If you regularly have to share confidential information between locations, this is so much better than sending secure/encrypted emails all the time. If you need multi-level management approval for things, this is a great way to submit requests and track approvals.

We are pleased that the Smartsheet platform has so many tools that serve the direct extension of team collaboration, allowing us to stay fully focused on creating reviews and interaction sessions to address each other's work, which ends up creating a network where everyone involved can advise each other so that the work is of the highest possible quality. As far as customer service is concerned, Smartsheet allows us to maintain interactions during business hours, and it remains entirely online, which makes it easy for us to communicate simply by having a stable internet connection. In general, it has a good technical support, with employees well informed about Smartsheet's functions. Being able to count on so many tools, usability within Smartsheet becomes a bit limiting, not because it is difficult to work with, but because it requires a high level of expertise to cover all areas of the project in question, which would normally require several people with different levels of expertise in the areas that Smartsheet allows to deal with.
  • Smartsheet lets us create our own personal level portfolios, so each employee in the project group can present his or her ideas and resume in an organized manner.
  • Has a very extensive collection of templates for different types of dashboards.
  • Can be used to cover project operations that would normally depend on marketing agencies, making it possible to cover project marketing to a certain extent.
  • Lacks some clearly essential functions for working with business processes, such as a mapping system directly to the processes.
  • Workflows cannot be designed and modeled within the platform, which sometimes limits our view of the work.
Because it can be used in teams of various sizes, it has been concluded that Smartsheet is suitable for almost any kind of environment that requires group work. It does not work with certain types of monitoring, such as in treasury areas, or in terms of business process scheduling. It is excellent for agile project development.

We use Smartsheet to support project management within the company, giving access to specific project 'sheets' to the team members involved in its progress. We're able to provide each person the access type that matches their involvement in the project. As well as send them requests for information and updates directly from Smartsheet, which saves time from a management perspective and ensures all necessary info is added to the tool, rather than dispersed across an email. For a company that operates across different office locations, Smartsheet has been our solution to project management challenges that come up due to remote teams needing to work together closely.
  • Easy to use - as it follows the basic set up of Microsoft Excel. You can also upload Excel files to Smartsheet rather than starting a new sheet from scratch, which is very helpful.
  • Reminders and requests can be sent to team members directly from the tool, which is an enormous help and was one of the selling points for our company, specifically in choosing Smartsheet. The reminders/requests go to the team members' email addresses with a link to make the specific update to the required sheet, and once that is completed, the sheet owner is notified that their request has been fulfilled.
  • Smartsheet set up is similar to Excel, yet when you upload an Excel file, things like conditional formatting are lost. Smartsheet has its own conditional formatting, and you have to reinstate the rules. It would be great if those would apply automatically once a file is uploaded
  • Some Smartsheet management and access rules can take some tweaking to work properly. This may be a case of offering more info to admins so they can apply these better and with more efficiency
If you've encountered any issues managing a project with your standard tools, try Smartsheet. It's inexpensive and easy to use. Smartsheet is such a simple tool that I can't think of any situations where it isn't helpful to teams and beneficial overall to companies.

SmartSheet is used in several different aspects of project management. We track financial status as well as operational status in separate sheets, and use reports and dashboards to mash-up and report on the data in a consolidated view. It is used in a variety of departments, but not across the entire organization. Use is mostly centralized within project managers, account managers, and service directors. It primarily solves client-facing collaboration issues in project management. We have internal tools for tracking our projects, but SmartSheet gives us a simple, concise way to share and collaborate with our clients using data from our other internal systems.
  • Cross-team collaboration - Sharing with internal resources and external contacts is easy and permissions are clear.
  • Live on-demand reporting - If your data lives in SmartSheet, or in a location that is accessible from SmartSheet, your dashboards are always available.
  • Dashboard widgets are somewhat limited. There are enough options to be functional, but it is not an exhaustive list of widgets available for use.
  • Workspaces and individual files can't be used in tandem. You must choose one or the other for the storage of your sheet.
I often recommend SmartSheet to other colleagues. Its dynamic nature makes it very easy to adapt to your particular needs and style. Because it supports formulas, you can adapt many types of Excel sheets to use in SmartSheet, but it is capable of so much more than that. The collaborative sharing functions work great and the cloud-hosted platform is reliable and provides a consistent experience.

Currently, Smartsheet is being as an alternative to Microsoft Project. We use this as a simple tool to create workflows and timelines. We often find that this product is easier to teach and share across the organization then MS Project. We use this across the whole organization but its deployment is limited to those who are task managers. This fills the gap between Excel spreadsheets and MS Project.
  • Smartsheet is simple to use! The learning curve is small.
  • Smartsheet is cloud-based so the flexibility is very suitable for mobile management.
  • Add to its toolset and take a few more features from MS Project to help with making dependencies more formula driven.
  • Smoother import and export to and from MS Excel.
If you live in project management every day I still believe MS Project is the proper tool that gives you the most options. However, if you are team lead and lead smaller projects and project management is just one of many functions of your job, this tool is for you. It far and away surpasses MS Planner but is not as complex as MS Project.

We use Smartsheet company-wide to manage a variety of topics including project timelines, accounting, and documents. In our specific department I utilize it to track our annual goals, project documents, brokerage invoices and projects. I use the relationship with Salesforce to make sure deals keep moving and information is correct across platforms.

I prefer Smartsheet over Excel and it's hard for me to say when using it is less appropriate because it is really that great. A number of our departments use it in our company, Operations, HR, IT, Revenue Cycle Management, etc. I am relatively new to using it as an HR leader but I have started using it with my team.
  • I love how easy it is to add comments so others can be updated.
  • Easy to add other users and send to my team for their review.
  • I really haven't run into areas where I have had a problem.
  • There have been some documents we want to restrict and we are still trying to figure out how to do that.
It seems to be an awesome solution for a leadership team to keep each other updated on major projects. We have a Doctor Communication spreadsheet and have a goal that all leaders are connecting with our Doctors 5 times per month. We go in and add our name to the month of the conversation then add notes so others can know the issues. That way they can decide whether to follow-up. We also highlight the doctors that need more communication.

We use Smartsheet to collaborate between different departments, such as our recruiting, operations, and hr departments. It is cloud-based and updates its self in real-time. It allows you to set filters such as editors and or viewers. I like being able to look at it anywhere. Instead, it is from the office or off sight.

  • It works similar to excel spreadsheet but is more cloud based.
  • Applying better navigation thru Smartsheet.

Smartsheet would be well suited for an office/corporate environment. With its cloud-based technology, it allows the users to make changes and or edits in real-time so the rest of the office can see the updates. The customization is well maintained, allowing users to color-code certain areas within the worksheet. It also allows you to create filters to search for essential data quicker.

In addition to project management activities, we are also using it for procurement management, budgeting, keeping a track of employee training records, etc. We also maintain contact information, including emergency contact information for all our employees.

Smartsheet is suited for organizations of any size. It can be used to track projects assigned to team, tasks assigned to individuals, resource allocation, dependencies between tasks, notifications when a task is due, etc.
It shouldn't be used as an ITSM solution like Change Management since it does not support ITIL Processed. This is strictly a project management and collaborative tool.

We use Smartsheet primarily as a project management tool for managing individual projects relating to the development of learning materials or software development. This is an excellent tool for managing timelines and communicating those with the client. We also use it for high-level strategic alignment across projects giving a roll-up view of status and performance.

  • Creating and managing the dashboard can be a cumbersome and confusing process.
  • The product gets a lot of updates with new features that aren't always user-friendly.
  • The more features are added, the harder the tool is to use.
  • Smartsheet is excellent for managing projects. One way we use it is to create a baseline of project timing that we can measure against to know if we are ahead or behind schedule. The Gantt views are a helpful way to see timelines and get a high-level view of planned dates.
  • There tends to be a lot more manual manipulation of sheets than expected. Things can get out of date quickly if project managers don't stay on top of it. This requires daily interaction with the tool.
  • Licensing and permissions are a bit confusing. You don't know what features are unavailable to you until you try to use them.

We use it in the engineering department as a Piping Pre-Fab tracking log. We track piping from design and coordination thru spool drawing reviews to Fab Shop issues and ultimately final delivery to the site. Any member from our team knows exactly where each and every segment of the project is in its life cycle.
  • Multiple views available for each sheet like Gant Chart, Calendar, Grid and Card Views
  • Automation is the key, notifications to team members
  • The sheets can be viewed on PC's, tablets and phones
  • Ease of use
  • The interface changes frequently enough to keep you on your toes
  • Getting your automation set can be tedious
Smartsheet is perfect for live document and tracking purposes with multiple people involved at various levels within the project. When you are tracking multiple issues and/or tasks it is very powerful. If you are not collaborating with many people, it might be overkill however I think I would still use it.

Smartsheet is being used by the Technical Project Managers to manage both small and complex hardware (NPI) projects with multiple supplier dependencies. Due to its ease of reporting and sharing information across departments it became an important tool when it comes to creating transparency and giving visibility to other departments on upcoming milestones and deliverables.
  • Using excel formulas can be helpful when it comes to customizing the sheet
  • Start and due date based on dependencies, aka changing one date will waterfall into changing all dependent tasks
  • Strong reporting functions
  • Customizable dashboard
  • Kanban view and usability can use some improvement
  • Changes are not seen by other collaborators in real time, ie one needs to save the changes in order for them to be viewed by others
Any large projects with many dependencies and programs with cross project dependencies. It's less appropriate for geographically dispersed teams that collaborate real time.

We currently use Smartsheet in most departments. We use it for project management, scheduling, list management, and for some minor spreadsheet work. Sometimes we use it as a replacement for tools like Google Sheets, though it is not meant to be just a spreadsheet tool and does not work perfectly that way. It is much better described as a spreadsheet or data table version of Trello, JIRA, Asana, monday.com, etc.It is one of the most versatile and useful tools we have.
  • Formulas. While not as robust as Excel, the formulas offered in Smartsheet are quite good.
  • Team collaboration. Multiple teammates can access and work on the same sheet at once.
  • Templates. The standard templates meet all my needs, and are a great guide for what Smartsheet is intended for and the problems it is best suited for solving.
  • Project management. It is great for creating, assigning, monitoring, and tracking tasks and projects.
  • Project management. I wish you could assign multiple teammates to the same task/row.
  • It is much like a database. Columns are fields, rows are records. This is why formula capabilities are lacking.
The best uses I have found for Smartsheet have involved project management and content indexing. If you are looking to replace Google Sheets or Excel, this is not the right tool.

We use Smartsheet for project management, but also for tracking various processes internally, like equipment rental and use. It is used departmentally but any time we introduce it to another employee or team they end up adopting it for their own use. It allows us to stay organized and communicate effectively. We especially like the ability to set updates for changes as needed. It then eliminates the need for futher emails and other communication - it's all done via Smartsheet.

Several departments in the company utilize Smartsheet to track production and distribution of everything that we work with. It makes sure everyone is held accountable and everyone is up to date on information for every project that month. We also track assets that we bring in to work on these projects and share these sheets with other teams to make sure THEY are aware of what is in house, what is not and what to expect/when to expect it.

  • I sometimes have a problem linking sheets. This comes and goes, but is a hassle
  • I'd love to see a easy to use calender sheet that could be shared
I track 100s of projects every month. I also track the production of assets as far into the future as 2021. Smartsheet helps me do that efficiently and without confusion. It also gives me the option of coordinating these projects with others so that they are informed; but I can give them certain rights to my sheets so they can't edit or upset the project by mistake. For project management, Smartsheet is my go-to. However, to create a slate or a way to brainstorm I would potentially use something else.
