What is Smartsheet?

Smartsheet is an online project management and collaboration tool from Smartsheet.inc in Bellevue, Washington. The software has a characteristic spreadsheet like interface but contains the full panoply of features expected of project management and collaboration software, such as automated alerts, instantaneous updating and sharing across team members, resource management facilitating budgeting and task allocation, nested tasks organized in a hierarchy, a Gantt chart view, the ready production of exportable reports (e.g. Excel), and integration with email. Across spreadsheets cells can be linked allowing the creation of master spreadsheets that provide ready summaries or automated reports. Smartsheet's capabilities can be expanded with a multitude of apps (e.g. Dropbox, Google Apps) or integrated into combinatory solutions (e.g. with Salesforce) to tailor fit business needs. It supports full mobile access.

Three tiers cover Smartsheet's pricing options. The Basic level provides core features for small groups of individuals, while the Team level is recommended for groups of up to 50 people and supports more user features, allows multiple sheet creators, and has reporting functions. The Enterprise level is a custom fit tier for groups of greater than 50 individuals or companies, and may include dedicated support personnel if desired.

We use Smartsheet for project management, but also for tracking various processes internally, like equipment rental and use. It is used departmentally but any time we introduce it to another employee or team they end up adopting it for their own use. It allows us to stay organized and communicate effectively. We especially like the ability to set updates for changes as needed. It then eliminates the need for futher emails and other communication - it's all done via Smartsheet.

Which software we use for project management is often determined by the team we interact with or the client's choices. I prefer Smartsheet for process management due to the ease of setting up alerts and attaching necessary documentation. It was also fairly easy to set up and learn.

Smartsheet is being used by various programs across the agency. The software is used in diverse ways some use it for: tasks, assigning case loads for environmental health using reminders, to track programmatic processes at both high-level reporting and diving into the details of projects.
  • Smartsheet has been excellent for assigning tasks to teams. By entering my team member's contact information and a due date, I can easily set reminders to keep them on track and to notify me if anything is running behind.
  • Reports are an excellent way to pull information from multiple sheets. One of our teams uses this for each staff member to track their case load. Team leads are able to easily see the status of each assignment.
  • Smartsheet is easy to learn. We have staff ranging widely in age and technology use. The functionality of Smartsheet is like a mix of Excel and Google Docs with the additional perk of alerts and easy collaboration. We have found that anyone who has even basic experience with Excel can easily work in Smartsheet with a little extra guidance.
  • Conditional formatting automatically changes as a project is updated by you and/or your team. This makes it easy to identify where the project is on track and where it is falling behind with just a quick glance at your Gantt Chart or spreadsheet.
  • We have found that Excel and Google Docs "super users" get frustrated with some of the nuances of Smartsheet compared to their regular programs. Making sure that Smartsheet is not "just another tool" that our staff has to use, discussing the differences between Smartsheet and those programs, and explaining why we chose to use Smartsheet for a particular program, makes a huge difference in staff perception.
  • A lot of front end planning and organization is needed for some of the larger projects in Smartsheet. It is best to start small and play in the software so you can learn how everything works, before developing a robust program Gantt and reporting system.
  • Our organization has looked at expanding the use of Smartsheet to report consistently across our seven divisions. However, the dashboard functionality is not quite where we need it.
Very similar to other project management software, Smartsheet should be used for a program with a designated program/project coordinator or manager who has the time to set up the system, test it, possibly train their team on how to use it, and keep it up to date.

I have used Microsoft Project, Basecamp, OmniPlan and Excel to organize projects. Smartsheet, by far, is my favorite. Although Smartsheet is not quite as detailed with Gantt charts as Microsoft Project and OmniPlan, it is much more user friendly. Smartsheet also has the capability to do similar functions that you find in Excel such as formulas, sorting, etc.

However, my favorite [thing about] Smartsheet is the collaboration features and real-time updates. Linking cells across sheets together, leaving comment threads, adding attachments, using Google Hangouts, entering a sheet at the same time as your teammates, and sending updates and reminders are just a few examples of how teams can work together. Collaborators don't even need a license - they can simply log in if you invite them! Lastly, Smartsheet has solutions for so many different kinds of projects that I have used it both at work and for my many volunteer projects for large project management, planning events, managing grants, developing/conducting surveys and more. This does not even include the additional platforms I have not tried such as employee hiring, budgeting, and document routing. There seems to be a template or solution for just about anything. You just have to get in there and play!

Smartsheet is very easy to learn. However, while I have been able to pick it easily, Microsoft Excel and Project super users that I have trained on Smartsheet get bogged down in the differences and can find it frustrating. Explaining the differences ahead of time and why Smartsheet is being chosen instead of a different software seems to counteract those reactions.

Smartsheet is a very easy to use tool. Most users are familiar with Excel, so starting with a spreadsheet feel makes it easy to adopt. Summarizing data across all projects into one place with linked cells and reports is extremely valuable. It allows me to quickly dive into the areas that need the most attention. Row level associations for Reminders, Discussions and File Attachments keep the team up to date. Web Forms and Update Requests make life SO much easier. We've reduced email traffic tremendously. Most Smartsheet users use Web Forms for customer feedback. We use them internally to log the activities of large groups and program membership. We're using it for 3rd party agency collaboration on projects. Templates help us communicate licensing and upgrade options with customers. It's been a true game changer and given us a competitive advantage.
  • Collapsible Rows - The ability to create a hierarchy and 'nest' rows under one another brings order to chaos. I have a Smartsheet that is over 800 rows. When collapsed, it's only 4 rows and allows you to logically dive into the parts that mean the most to you. Like a Mind Map.
  • Ease of Use and Adoption - Smartsheet is seeing viral adoption here at VMware because it looks & feels like a spreadsheet.
  • Versatility - It is the Swiss Army Knife of task management. Events, Customer Enablement, Professional Services, Sales Enablement, Sales Reporting, Lead Reporting... It's a game changer...
  • Collaboration - Internally everyone can stay updated and on the same page. The ability to share outside the company has mad working with agencies MUCH easier, drastically reducing the time it takes to complete projects.
  • Reporting - I have tasks assigned to me on several different project sheets. I have 1 report that lists everything assigned to me across all projects.
  • Some basic spreadsheet functionality like Merge Cells have to be worked around.
  • I am an advanced Excel user and wish I could have Visual Basic functionality in Smartsheet.
Projects with tasks assigned to multiple users are easy to setup in Smartsheet. Projects can be up and running fast using templates. I can spin up a project and have it tailored in a matter of minutes. Visibility is a huge benefit Smartsheet provides us. Our executives love our Smartsheet dashboards where they can go from a bird's eye view of multiple projects and 'dive in and out' of project details. Salesforce integration has been a game changer. We sync Smartsheet with Salesforce Opportunity reports so users can associate unique data with Salesforce Opps.

  • At ~$500 for our team account, ROI was less than 1 month. In that 1st month we won 2 deals worth a total of $800k that we could absolutely tie to Smartsheet. Both customers stated that the Smartsheet we created for them... 1. Allowed them to clearly understand what products they owned 2. Accurately share the specifics of the deal internally. 2. This expedited the consensus that needed to be made and helped them confidently move forward.
I was attempting to do all I've described with Google Sheets & SharePoint. Google Sheets didn't have all the functionality we needed. SharePoint was too difficult to set up and doesn't work well with Mac users. None of the solutions I listed could match Smartsheet's versatility and ease of use.

Desire to help others and point out the obvious. Everything you need to get rolling is there. You just have to look. If you want to take it to the next level, someone that's good at Excel formulas can make Smartsheet extremely valuable. A Python developer can make Smartsheet irresistible.

Smartsheet has made my work life easier. Reduced my email significantly. Smartsheet and SaneBox have got me leaving the office with 0... Yes 0 emails in my inbox. My inbox would reach 150-250 email per day. Smartsheet brought that number down significantly and SaneBox took it the rest of the way. Do yourself a favor and check out SaneBox, too.

Smartsheet's versatility and ease of use were primary factors. It being inexpensive was an added bonus. Users are free and unlimited. Licensed Creators are the only ones that pay ~$13/mo with an Enterprise agreement. Our Free to Paid ratio is 20:1.
Make sure to keep the big picture in mind. Smartsheet's versatility beyond project management was a huge differentiator.

I was given 3 weeks to create a multi-tier solution for our 25 live events in 2015. The Smartsheet Design-Desk team helped me setup the solution in 2 days. We went live on day 3. I got employee of the quarter and many kudos from my peers.
  • Setup & Configuration - I can import Excel, MS Project and Google Sheets. There are also 100's of solution templates that can have you up and running in minutes.
  • Gantt & Calendar - All you need is one date column for Calendar & two date columns for Gantt. You can share as Read-Only and iCal for mass consumption.
  • Conditional Formatting - Quckly understand the data in a visual way.
  • Formulas are easy to understand.
  • There are no "Merged Cells". This might annoy you if you are used to using this feature in Excel.

Smartsheet Mobile Apps work very well. We use them all the time to update tasks while onsite for our live events. The only limitation is calendar views. However, you can add Smartsheet calendars to your mobile device by publishing to iCal.

Smartsheet is the hub we use to centralize all information: property details, client communication, vendor resources and more. With the information consolidated and easily accessible in Smartsheet, Colliers has won more business, improved communication, and created a culture of transparency.
  • Colliers’ property managers use the mobile app to snap photos of their sites for accurate record keeping.
  • Alerts and reminders automated in their sheets, property managers never have to worry that they may be dropping the ball or missing a site visit – reminders are scheduled well in advance. Now, site visits run like clockwork.
  • When we meet with new clients for the first time, Smartsheet is a selling feature for our services.
  • Managers have true visibility into the workload of their staff. We’re able to compare portfolios side-by-side and also run reports across sheets and portfolios.

We have used Excel and Google Docs for the majority of our database management. It is difficult to compare these formats with Smartsheet simply because it is so far advanced from Excel and Google Docs. The visibility and function of having multiple users accessing the same data in real time is worth the cost of the platform.

YES! I had a time when our system effectively "froze" -- their staff worked diligently in retrieving my data and creating a duplicate of my database within 1 day so that we could be back in business. The team then worked on the "why" this happened so that we wouldn't run into a similar situation.

Smartsheet is being used in several departments within my organization.

Smartsheet has improved our state and federal lobbying compliance process. It used to be a manual process; due dates were recorded in Outlook, data from multiple lobbyists was emailed to an admin who then emailed the data to legal. The legal bills were astronomical. Now lobbyists receive update requests prior to the reporting due date via Smartsheet and submit their data directly into the system. Legal does not get involved until all of the data is received, which has saved us thousands of dollars in legal expenses.

I have also created Smartsheet for exam development; they are using it for their exam copyright tracking and candidate security issues. We are also using it to track the Board of Directors goals throughout the year.

I am now using Smartsheet to manage all of my projects instead of Microsoft Project. This includes a web redesign project with many moving parts including coordination with two external agencies. The ability to send update requests / alerts via the system has saved me hours of work not to mention my sanity. We also have the project risk / issue log stored in the Smartsheet Workspace so anyone can access it at anytime and see the status of any given risk or issue.

When a new user interacts with Smartsheet they usually say, "Wow, this is cool!" and inquire about how they can start using it for their projects as well. I think it will be adopted by many other departments within the next few years.

  • You can program Smartsheet to send you a notification whenever there is a change to a particular column (or any column) in the sheet. This is a strength because when you collaborate with others you don't have to guess if they are entering data; you know.
  • You can set Smartsheet to highlight changes made to the sheet within the last hour, day, three days, etc. You can also set it to highlight changes made since the last time you viewed the sheet. This is a strength because you no longer have to compare the original document to the one with changes to see what has changed.
  • You can create a webform for any sheet which is very impressive. The webform recipients won't ever have to look at a spreadsheet; instead they will receive a nice simple survey with questions and their data will magically populate the sheet.
  • I would love it if Smartsheet had a Basecamp component. So if there was a right rail area where we could house project documents that didn't have to be attached to a specific row. My dream is to combine Smartsheet and Basecamp!
  • It would be great if update requests could be scheduled annually.
  • It would be nice to be able to assign a task to more than one contact. Right now it only allows one at a time.
I would say do you want your project team to have real time access to the project plan? Do you want to be able to send automatic reminders?

  • Smartsheet has saved us thousands of dollars a month in legal fees.
I actually use Basecamp in conjunction with Smartsheet. Smartsheet is where we store the real time project plan and Basecamp is where we have discussions that do not belong on a specific row of the sheet (as many of them don't). We also house project documents that do not belong on a specific row of the Smartsheet project plan on Basecamp. I would love it if Smartsheet had a Basecamp component so we could move to one system.

It's not necessary. Basic support is sufficient.
I usually get a response within a few hours. I even followed up with a tech support specialist that I met while at the Smartsheet headquarters and he was able to help me out with another (very complex) formula.

Yes. I had a case in which I was not able to change a user's permission level from viewer to editor for some reason and I could not figure out why so I finally emailed Smartsheet support. The problem was that I had set up a workspace so the permissions had to be changed at that level. The support tech took the time to look at my individual sheet or this may not have been discovered.
Also, a tech support specialist, Jeff, who I met at Smartsheet Academy training provided exceptional support by assisting us with a very complex formula several months after training.

Yes, but I don't use it
I would give it this rating because it is very intuitive; however, some of the formulas take a bit more explanation to set up and they do not always work as expected.
