What is Smartsheet?

Smartsheet is an online project management and collaboration tool from Smartsheet.inc in Bellevue, Washington. The software has a characteristic spreadsheet like interface but contains the full panoply of features expected of project management and collaboration software, such as automated alerts, instantaneous updating and sharing across team members, resource management facilitating budgeting and task allocation, nested tasks organized in a hierarchy, a Gantt chart view, the ready production of exportable reports (e.g. Excel), and integration with email. Across spreadsheets cells can be linked allowing the creation of master spreadsheets that provide ready summaries or automated reports. Smartsheet's capabilities can be expanded with a multitude of apps (e.g. Dropbox, Google Apps) or integrated into combinatory solutions (e.g. with Salesforce) to tailor fit business needs. It supports full mobile access.

Three tiers cover Smartsheet's pricing options. The Basic level provides core features for small groups of individuals, while the Team level is recommended for groups of up to 50 people and supports more user features, allows multiple sheet creators, and has reporting functions. The Enterprise level is a custom fit tier for groups of greater than 50 individuals or companies, and may include dedicated support personnel if desired.

Location managers, department heads, home office (HR and operations), and C-Suite all use Smartsheets. Managers communicate changes to HR; regional managers and DO authorize changes; everyone shares documentation amongst departments; HR enters data to create reports and interprets reports; the C-Suite has a dashboard so they can just tap into the reports as well.

Our entire engineering department utilizes SmartSheet for project scheduling. We also have the operations supervisors using it so they know when projects are ready for construction and can update the project schedules with their own information. This type of collaboration lets us know when projects start and end which allows our Engineering Services department close out projects in a timely manner. SmartSheet is also used for project budget tracking and reporting so that we can monitor project costs on a regular basis and alert project leads whenever their project approaches or goes over their allocated budget.

Only our Communications Team uses Smartsheet at this time (to organize our work). We have a communications specialist, a creative communications specialist, an assistant, a director, and a multi-media director. Smartsheet helps us organize our work in "advertising" or "branding" each event in our church. Some of the work Smartsheet captures is also operations based for staff personnel.

Smartsheet is used by several departments within our office - Marketing, Engineering, Production, Construction and Project Management. We have users who work in the field on job sites, who directly interface with clients, who work behind the scenes on bids and awards, and who research materials and methods.
