What is Smartsheet?

Smartsheet is an online project management and collaboration tool from Smartsheet.inc in Bellevue, Washington. The software has a characteristic spreadsheet like interface but contains the full panoply of features expected of project management and collaboration software, such as automated alerts, instantaneous updating and sharing across team members, resource management facilitating budgeting and task allocation, nested tasks organized in a hierarchy, a Gantt chart view, the ready production of exportable reports (e.g. Excel), and integration with email. Across spreadsheets cells can be linked allowing the creation of master spreadsheets that provide ready summaries or automated reports. Smartsheet's capabilities can be expanded with a multitude of apps (e.g. Dropbox, Google Apps) or integrated into combinatory solutions (e.g. with Salesforce) to tailor fit business needs. It supports full mobile access.

Three tiers cover Smartsheet's pricing options. The Basic level provides core features for small groups of individuals, while the Team level is recommended for groups of up to 50 people and supports more user features, allows multiple sheet creators, and has reporting functions. The Enterprise level is a custom fit tier for groups of greater than 50 individuals or companies, and may include dedicated support personnel if desired.

Our communications department uses Smartsheet to document, organize and plan communication requests we receive from the ministry areas in our church. Currently, it is a tool used only by our communications staff, but we are planning to train our ministry administrative assistants to view and track their requests. Eventually, we would like to make it accessible to our executive staff for a high-level view. Previous to using Smartsheet, we had numerous requests for various communications materials to be created for various timespans. It was inefficient, in consistent, and the "system" was the use of file folders and post-it notes and the ability to retain memory of conversations with the requestors. Now, it is a repository that contains all the emails, files, etc. in one place and something that is easily accessible by our other team members.
  • Highly customizable. You can talk about one line/task/row in a project, or an entire sheet/project. You can share with anyone, regardless of permissions.
  • Provides an efficient tool for current and previous records by keeping all your files, emails, discussions, etc. in one place.
  • Adaptable style for any type of visual person. From background colors to the type of project status symbols, users will feel comfortable in creating a view that's right for them.
  • Linking cells to a second spreadsheet is helpful. However, there seems to be some gaps in the designed functionality. When you want to remove something, and unlink the original, the previously linked cells in the second spreadsheet do not delete as well (requiring manual deletion and wasted time). There seems to be some problems with filtering, and then sorting a column (it won't let you). Last, the Reports feature used to show "last update" by the minute which was updated even if just looked at and resaved. A few months ago, the "last update" column would not update even if a change was made. The Smartsheet rep replied by email saying Reports require a change to a column header to make "last update" update. This is not helpful because I update the date query to sort the data I would like to look at each week in the report (and never need to change any columns). For me, this has caused a negative impact in what I thought was an effective work flow.
  • Adequate customer service, but not superior. I've had immediate help through email with Smartsheet tech support. However, I would prefer a phone call for two-way interaction. Additionally, I attended a helpful webinar, but submitted a question, and was told all questions would be followed up with individually. I never heard back.
  • There have been some problems with connectivity. Maybe 10–20 times in the past year, I have received "Smartsheet is unavailable at this time, check your browser" while other websites are still accessible. I had to wait anywhere from a few minutes to an hour to access our data. A few times it went offline while I was working and I hadn't saved (there is a helpful reminder that pops up every 10 minutes reminding you to save your work though).
I can speak for communication teams who might have a large amount of varied projects coming in that start and end constantly, and only a small team to deal with them. We have a five person team, and as requests come in, I am the one tasked to create our sheets. While I work with our team to finalize actual delivery dates and tasks, I am the person that links every task to a master task sheet so that we can view tasks by team member and discuss accordingly. This Software as a Service (SaaS) is extremely helpful in organizing things in one place and customizing based on needs and preferences. However, the task of cell linking to other sheets in order to see customizable reports is extremely time consuming, repetitive and mundane. IN the last year, we estimate we have linked at least 2000 individual lines to other reports. I estimate at least 30-40% of my time in the program is in reference to this un-ending task. I hope Smartsheet will find a way to make this aspect more efficient for the user. If you are interested in customizing reports based on assigned tasks, there may be better SaaS programs out there. Or maybe this task can be delegated to an assistant or intern.

Only our Communications Team uses Smartsheet at this time (to organize our work). We have a communications specialist, a creative communications specialist, an assistant, a director, and a multi-media director. Smartsheet helps us organize our work in "advertising" or "branding" each event in our church. Some of the work Smartsheet captures is also operations based for staff personnel.
To use Smartsheet, one needs the ability to think from a "high-level" down, be organized, be consistent, be scheduled, and have an interest to improve (via use of Smartsheet tutorials and webinars). Because Smartsheet can capture any information you wish, if you have projects with similar information you are tracking, you must be careful in determining which information should be captured. It is possible to capture to much that is not efficient to use.

We wanted something that met our needs, was balanced in price and was dependable. There were a few other Software as a Service (SaaS) products out there, but this one stood out in the reviews. The free trial was an excellent way for us to try it out and see if it was a good fit, and was the reason we decided to use it. One year later, our communications team is definitely much more organized and efficient, and I believe we all agree this is a good service.
I would have looked for more communications-based reviews. Our unique workload is hectic and ever changing. Smartsheet is great for organizing it, but generating reports on every single task (my cell linking each row) is quite daunting.

We entered projects tasks into their own project sheets, then began to organize the sheets by ministry area. We then wanted to view by task, so we created master task sheets and linked each task to its parent task sheet. We then created "sort" reports to view the desirable date range of each task. We use these sort reports for our weekly tag-up to see what is on each person's list each week and to check on status.
Change management was minimal
  • Determining what information (tasks and dates) we needed to capture across every project and ensuring that was reflected in our columns.
  • Determining who would capture the information and the process for handing off a sheet for further administrative upkeep.
  • Training staff and ensuring updates to statuses were made as completed.
Know your team roles and the expectations of your supervisor—from the top down. Implementing Smartsheet was definitely an iterative process that required (and still requires) maintenance and fine-tuning. Although we have a new working tool and process, I expect that we will continue to improve both through the next few years.

Smartsheet is a very easy to use tool. Most users are familiar with Excel, so starting with a spreadsheet feel makes it easy to adopt. Summarizing data across all projects into one place with linked cells and reports is extremely valuable. It allows me to quickly dive into the areas that need the most attention. Row level associations for Reminders, Discussions and File Attachments keep the team up to date. Web Forms and Update Requests make life SO much easier. We've reduced email traffic tremendously. Most Smartsheet users use Web Forms for customer feedback. We use them internally to log the activities of large groups and program membership. We're using it for 3rd party agency collaboration on projects. Templates help us communicate licensing and upgrade options with customers. It's been a true game changer and given us a competitive advantage.
  • Collapsible Rows - The ability to create a hierarchy and 'nest' rows under one another brings order to chaos. I have a Smartsheet that is over 800 rows. When collapsed, it's only 4 rows and allows you to logically dive into the parts that mean the most to you. Like a Mind Map.
  • Ease of Use and Adoption - Smartsheet is seeing viral adoption here at VMware because it looks & feels like a spreadsheet.
  • Versatility - It is the Swiss Army Knife of task management. Events, Customer Enablement, Professional Services, Sales Enablement, Sales Reporting, Lead Reporting... It's a game changer...
  • Collaboration - Internally everyone can stay updated and on the same page. The ability to share outside the company has mad working with agencies MUCH easier, drastically reducing the time it takes to complete projects.
  • Reporting - I have tasks assigned to me on several different project sheets. I have 1 report that lists everything assigned to me across all projects.
  • Some basic spreadsheet functionality like Merge Cells have to be worked around.
  • I am an advanced Excel user and wish I could have Visual Basic functionality in Smartsheet.
Projects with tasks assigned to multiple users are easy to setup in Smartsheet. Projects can be up and running fast using templates. I can spin up a project and have it tailored in a matter of minutes. Visibility is a huge benefit Smartsheet provides us. Our executives love our Smartsheet dashboards where they can go from a bird's eye view of multiple projects and 'dive in and out' of project details. Salesforce integration has been a game changer. We sync Smartsheet with Salesforce Opportunity reports so users can associate unique data with Salesforce Opps.

  • At ~$500 for our team account, ROI was less than 1 month. In that 1st month we won 2 deals worth a total of $800k that we could absolutely tie to Smartsheet. Both customers stated that the Smartsheet we created for them... 1. Allowed them to clearly understand what products they owned 2. Accurately share the specifics of the deal internally. 2. This expedited the consensus that needed to be made and helped them confidently move forward.
I was attempting to do all I've described with Google Sheets & SharePoint. Google Sheets didn't have all the functionality we needed. SharePoint was too difficult to set up and doesn't work well with Mac users. None of the solutions I listed could match Smartsheet's versatility and ease of use.

Desire to help others and point out the obvious. Everything you need to get rolling is there. You just have to look. If you want to take it to the next level, someone that's good at Excel formulas can make Smartsheet extremely valuable. A Python developer can make Smartsheet irresistible.

Smartsheet has made my work life easier. Reduced my email significantly. Smartsheet and SaneBox have got me leaving the office with 0... Yes 0 emails in my inbox. My inbox would reach 150-250 email per day. Smartsheet brought that number down significantly and SaneBox took it the rest of the way. Do yourself a favor and check out SaneBox, too.

Smartsheet's versatility and ease of use were primary factors. It being inexpensive was an added bonus. Users are free and unlimited. Licensed Creators are the only ones that pay ~$13/mo with an Enterprise agreement. Our Free to Paid ratio is 20:1.
Make sure to keep the big picture in mind. Smartsheet's versatility beyond project management was a huge differentiator.

I was given 3 weeks to create a multi-tier solution for our 25 live events in 2015. The Smartsheet Design-Desk team helped me setup the solution in 2 days. We went live on day 3. I got employee of the quarter and many kudos from my peers.
  • Setup & Configuration - I can import Excel, MS Project and Google Sheets. There are also 100's of solution templates that can have you up and running in minutes.
  • Gantt & Calendar - All you need is one date column for Calendar & two date columns for Gantt. You can share as Read-Only and iCal for mass consumption.
  • Conditional Formatting - Quckly understand the data in a visual way.
  • Formulas are easy to understand.
  • There are no "Merged Cells". This might annoy you if you are used to using this feature in Excel.

Smartsheet Mobile Apps work very well. We use them all the time to update tasks while onsite for our live events. The only limitation is calendar views. However, you can add Smartsheet calendars to your mobile device by publishing to iCal.
Smartsheet is a spreadsheet. Everyone is familiar with spreadsheets. That being said, comparing Smartsheet to a spreadsheet is like comparing a Golf Cart to a Tesla. Yea, they both have 4 wheels and run on electric power, but... (:

We used Smartsheet to tackle our unwieldy project list in Records Management. Smartsheet allowed us to organize in detail the 5 W's of the projects and prioritize for the most efficient way to completion. It was an easy was to stay updated and on track within each project and allowed management to see at any time how we were moving forward. It allows for clearer communication between team members without the email versions nightmare that occurs all too often. Smartsheet is easy to use and provided our team with the tools to accomplish tasks and projects professionally and honestly, made us look good!

Smartsheet is good for Records Management. There are always many projects, small and large happening and this product can tackle them all.

In bringing Smartsheet on board, we used a drilldown approach to implement. Everyone learned at the same time on the same level starting with the basics and getting through all details in tasks and projects. We made our project list as we implemented over a series of meetings. First was an overall view of what the product was and how it worked. Then we started with basic projects, going on to the tasks within those projects, then people, time, etc. Each level of creating was also the tutorial and implementation.
Change management was a big part of the implementation and was well-handled
Change management is tough, but everyone CAN be brought into the fold.

Work with the Smartsheet support team to get the best overall. If no one in your organization has used Smartsheet before, the support team will get things started. We had a couple of people who had used this product before and it was a great help in getting our framework together how we wanted to use it.
