We use it to find certifications and paperwork we have previously done. It allows us to search each customer by name, purchase order, cert number, job number. I frequently use the search entire documents, to find the jobs by serial numbers or part numbers. Customers will ask if we have done a particualar S/N and this helps the search process by being able to search all documents. We frequently have to email a customer the certifications or scans. Square 9 Softworks has a feature to email pages or the entire document.

It works well for paperwork. You are able to search by multiple factors i.e. Certification number, customer, purchase order number, date range, specification process or keyword search. I personal use the keyword search frequently to search if we have a certian part number or serial number in the system. This saves me time from manually going through all the customer files to see if we have done it.

My organization uses this software for document archiving purposes. All documents are uploaded to Global Search using our loan origination software, which is used for front-end and new business operations. Global Search retains these docs for loan servicing and post-maturity or backend functions. This helps to investigate documents accepted at the time of origination while we service the loan or to retain any docs used during its close-out phase.

8 is a solid rating. The only reason I don't give a 10 is that I don't know what the competition has to offer. This is the only program I have used for document archiving since entering this industry, so I can't say how Global Search compares to others in the market. That said, I would still recommend it based on my experience.

We use Global Forms and Global Search to create, track, and manage purchase orders. Before transitioning our purchasing orders to Square 9, we used paper forms. Inevitably, our accountant couldn't find a specific PO because it got lost in the shuffle, someone needed a copy, or we would have trouble getting it authorized. With Global Forms, all these issues have been resolved since the POs exist in one place in the Square 9 cloud and authorization takes place electronically. We also use Global Search to archive business records. We used to have 10+ filing cabinets of business records. We scanned them into Global Search. We have separate archives for different kinds of documents. Documents are easy to upload and locate. We have these documents stored in the Square 9 cloud, so all of these documents are easily accessible at WFH or the office.
  • The software is very flexible, and the technicians were great at implementing our customizations for the PO project.
  • While indexing fields in Global Search, the Key Free tool works great.
  • Global Search is well-organized. It's easy to navigate and find your documents.
  • The process for completing your project was well done. Communicating with individuals at Square 9 who were responsible for different aspects of the project was easy.
I don't recall a period of time when we couldn't access our data in the Square 9 cloud. The software works really well. I can't remember the last time I had to submit a support ticket. While we were working on the project, the technicians were great at utilizing software like ScreenConnect and Calendly to complete tasks.

I mainly use Square 9 to manage incoming orders, and it has been extremely useful in streamlining and organizing sales and donation data. It is easy to navigate and offers simple customization. Overall, I enjoy using the platform and look forward to developing new processes that benefit other areas of my work.

I use Square 9 to send invoices to our customers. We store invoices, and it will track past-due payments for me. I confirm customer orders with pricing each day. We use it for much more within our company; however, I am not a member of those user groups.

It is perfect for document storage. I have been able to remove all file cabinets in my office.

We have used it to replace about 20 paper forms that were being passed around for approval. Some require up to 6 approvals. The approved requests are saved in a database where they can easily be retrieved. We also use it to scan and save paper documents that we used to keep in boxes in storage.
  • It's easy to design a form - many featured features allow you to create what you need.
  • The workflows allow you to set conditions to take it in different directions based on the request - such as skipping approval levels.
  • You do not have to be a programmer to design a form and workflow (although similar skills are needed).
  • It's not hard to check on the status of a user request (form submission).
It is well suited for any paper form that goes through a forward-moving approval process. When a form needs to go back to the originator for modification, I don't know how to do that. We tried that once, and it was a mess. The functionality of allowing the requestor to include attachments is critical. The database used to store and retrieve documents is easy to create and use. I have not compared this product with others like it, so I can't comment on how it compares; this is the only one I know. I like the functionality, but I am only giving an 8 out of 10 because of random errors I can not diagnose. I like the flexibility of what you can do, and it's not hard to design a solution once you have practice with it, but the quality is not as good as other systems I work with.

We primarily use Square-9's Global Search solution as a document management solution. This has allowed us to have a central location where documents are stored. Before this, we were storing paper files, and no one was able to find anything. There is some automation built into some processes that we need to leverage.

  • Training is available on demand.
Square-9 is very customizable, so it is a good fit all around. Building workflows has been restricted to our IT group only because it was determined not to be low code for the general user. As a result, it would be less appropriate in a situation that lacked IT teams to handle the complexity.

We utilize Square 9 Softworks for a multitude of business operations and functions. Document management is a key priority and this software allows us to organize, archive, and approve many different documents as well as create important workflows for our different processes. It has also helped us digitally archive all of our documents. We used to keep many file cabinets of 1000's of printed pages, but now we can rely on Square 9 Softworks to house it all for us.

In my organization, we use Square 9 to keep record of invoices and purchase orders, and we index important points in each of these documents (invoice number, invoice total, dates, customers, vendors, etc) which allows us to easily search for the information we need. This prevents us from needing to manage a document repository on a local fileshare, which would be significantly less efficient to query.

Square 9 allows us to index data on invoices, purchase orders, and other various kinds of documents, then query this information. This keeps us from having a jumbled mess of documents living on a fileshare. Square 9 is a fantastic database for storing documents and all of the data that goes along with them. Square 9 would be great for a company without a proper searchable document management system.

Any issues that I have had were quickly resolved by the Square 9 team. Whether it has been rebuilding because of a server move, or complex workflow design. Once, I had a complex workflow where I needed to determine how to manage a line item extraction. Their professional services team worked tirelessly to provide me a solution.

We are utilizing Square 9 GlobalSearch to aid in the process of changing our Accounts Payable process from fully manual to almost fully automated. This has freed up our Accounts payable personnel to work on other projects outside of their normal roles, along with freeing up resources that we can use for other projects as well.

I can only speak to what I've been exposed to with Square 9. That is utilizing the document management system and the AP process automation as well. From these two items, our AP process is leaps and bounds more efficient and accurate, to the point we've began pulling older invoices in just to catch issues from the past.

Implementation was time-consuming and daunting. It was not as smooth a transition as it was made out to be during the sales pitch. There could have been clearer examples of what they were looking for or the staff could have been more hands-on with helping to explain and provide assistance with creating the flows.

We handle customers who purchase Square 9 solutions and implement it and cater it towards their needs. Many customers have different demands whether its Forms data capture or between File sharing to GlobalSearch cloud. Many need their solution to be catered to their day to day process so they not only save time but also can manage their business efficiently.

We automated the file naming and routing for AP invoices specifically check scanning. We capture the payee and create a folder to be routed to based on that field and then the file is named based on the check number. These are stored in a network folder that specific users have access to using a watched folder set up as a scan-to-smb from the copiers address book.

Invoice processing is totally automated in the cloud. I would recommend when needing some canned solution but still having the flexibility of customization when needed. The custom fields are easy to create and creating views allows for convenient tabular views. The capture process is almost entirely behind the scenes for end-users, which makes adoption really easy.

After implementation, we will be using Square9 on-prem for document digitization as well as workflow and repository. Currently, we have documents that move around the office and even other departments via folders which can be misplaced or have incorrect documents in incorrect folders. Having these digital and with preset workflow patterns will greatly increase our efficiency as well as accuracy.

If looking for an ECM product, I haven't found any reason to not go with Square 9 so far. Having come from using Perceptive Content, it seems quite similar and assuming they have backend customization via some sort of programming language, it will be on par and far cheaper in my opinion.

Our IT company introduced us to Square 9 Softworks. We first used their health screening tool during COVID. It was pretty easy to implement. We were provided a QR code that we could affix to our doors. People would scan it and fill out a survey. Depending on their answers, they were given a 'go ahead' to enter the building or not. We could go online and access all the data. Obviously that was very helpful during COVID. We didn't have to have paper and clean/dirty pens sitting out on some desk or stand to maintain.

When we asked our IT company for recommendations for cloud storage, they once again put forth Square 9 Softworks. We already used a company for cloud storage but were not happy because it's performance was inconsistent. Using the cloud storage allows us to archive documents and get rid of some paper. The process was once again pretty easy. I can easily scan and maintain my archives with some pretty straightforward controls.

When we needed to create on online application, once again, Square 9 Softworks was put forth. This application will allow our potential students to apply online instead of coming to our facility in person. We are also working on being able to take the data and import it directly into another program we use to track our students.

They've done such a good job and we've enjoyed the process so much that we've just recently approached them about doing an auto fill form for us.

Square 9 Softworks is great in data management and flow. For us, they've done an excellent job with the Health Screening Tools, Cloud Storage/Management and Online Applications.

It seems to be a very diverse product. I think because of that, you can talk with Square 9 Softworks about what you are envisioning to see if they are capable of it. I would not do that with many other products - they just don't have that flex.

Within government records requests are frequent. This program helps with the ease and quick turnaround for those. It also ensures that our permanent records will remain that, permanent.

We primarily use Square 9 for document management across several departments. Having our documents archived in Square 9 allows us to respond to inquires much faster and with greater accuracy than dealing with paper records. We currently keeps some documents for 100 years. This has always created a burden when it comes to paper file storage within our offices. While we are still required to keep paper copies as a backup, we can do so offsite and can access the documents through Square 9 without needing to leave the desk.

They help us with Order Process and Document Organization. The have set up a work path for us to track a project moving from the start to the finish. It allows user to know which tasks they are to complete and not complete. It's a clear picture of everything we are processing.

We use Square 9 for our AP workflow, and the software also addresses our document imaging. The accounts payable person enters an invoice, scans it, then directs it to the appropriate approver. Once the approval process is complete, the invoices are transferred to an approved tab where I am able to export them all. This is the last step in my check printing process. Having our invoices stored electronically helps a lot when recalling past invoices. We still keep paper copies on hand, but it is much more efficient to locate the invoice in Square 9.

The only thing I can really comment on is the AP Workflow part of Square 9. It is such an easy and efficient process, and it is much easier than doing everything by hand and paper like we used to. The system is very user friendly as well. It has been a great product for us!

The main reason we use Square 9 is for our AP workflow. The AP person enters an invoice into our software system and then scans it into Square 9. From there, the invoice is sent to whoever was assigned to approve it. Once approved, the AP person exports a batch of invoices to do a check run. All invoices are then stored electronically after the CEO gives their final approval.

For the price point and quality of this product, we would definitely recommend it! We only use it for the AP workflow, so I can't attest to anything else. The AP workflow is pretty straight forward and user friendly. It also works well for electronic document storage of invoices.

I use the database to save documents. Which is an extremely simple process to do so. So easy to locate all documents that are saved by all in the company. Love the ease to share the documents with others one or large amounts of documents. this is accomplished in no time. An amazing product
