Our legal compliance team oversees the processes, while direct managers and those in the leadership chain interact with the platform. It saves our compliance team time by automating the review and approval process. It centralizes all of our disclosures for secure compliance record-keeping and pulls the process out of email and manually populated spreadsheets.,Creating a user community and sharing knowledge of automation best practices. Easy to use form and workflow builder. Responsive and knowledgeable technical team.,Only 4 training videos available. User manual layout could be improved. Response time from the support portal can sometimes be slow.,8,Required fields force robust disclosure information up front. Workday integration enables pre-population of fields which reduces manual entry and saves compliance time. Emails, communications, and disclosure decision memos and stored in a centralized database which helps our team keep compliant records. Automated reminders have led to less ‘chasing’ by compliance. Improved UX has encouraged and increased disclosures, mitigating our company's risk.,Our company has not yet benefited from this interface because we only have one automated workflow. However, after a recent push for automation and technical training on our legal ops team, we plan to build additional workflows ourselves and take advantage of this simple interface. We do benefit from the fact that when we begin automating the additional workflows, we do not have to get on our IT team's roadmap to do so.,8,Miratech TAP Workflow Automation has allowed our compliance team to effectively communicate with the appropriate stakeholders in an employee's disclosure. It has removed the process out of our compliance team's inbox.,The ThinkSmart team was extremely helpful in building our complex workflow. Because it was custom built by their team, they have been very responsive and consultative when we request workflow changes or have general inquiries. They've been especially helpful when it comes to the ongoing maintenance of the tool and are responsive when asked for advice for workflow improvement.,Mitratech TAP Workflow Automation ReviewThe tool is being used across the whole organization at a global scale as a procurement intake form and a central vendor risk program.,The conditions and automation will free up some operations and help gather relevant data for subject matter experts. It's easy to navigate from both an end user and admin perspective. The tool feels/looks very modern and is highly customizable.,Adding form fields can be quite tedious as it has to be added to every stage/relationship. It's difficult to remember where a certain condition/formula sits. I wish the workflow itself can be exported for presentation/demo/documentation purposes. I wish there was a way for more than one admin to configure the tool at the same time.,8,The tool hasn't rolled out yet so we cannot speculate the positive/negative impacts quite yet. However, I know it'll free up a lot of time for risk subject matter experts to gather vendor risk data for critical/high-risk vendors. From a negative standpoint, it may significantly delay the procurement process for purchases if due diligence is triggered and/or there's pushback from vendors.,The business analyst, Cole, was able to put a comprehensive workflow together based on our requirements. I had the opportunity to extend the workflow with a couple more stages/relationships and it was fairly easy from the workflow tab. Cole helped resolved/guide any roadblocks I faced across the way!,4,Although the tool hasn't rolled out yet, I know there will be much collaboration to look forward to. There'll be collaboration with internal teams (VendSec. Privacy, Compliance, Capital, Business Continuity, Legal, Procurement, Procurement Ops, & Business Partners) as well as with 3rd party vendors. More details to come!,The beginning was quite difficult as any blank canvas would be. Over a few months, we worked very closely with the business analyst, Cole, who had a comprehensive understanding of our requirements and illustrated it in the workflow. During testing, he went above and beyond to quickly make major/minor configurations. While I am configuring, he is very prompt to answer my questions and provide guidance/resources down the pipeline.,

I think TAP is well suited for legal operations teams and processes that have been undergone lean process improvement. Moments when we have run into trouble with the tool has stemmed from our own internal struggle with how we want to run our processes. This is not the fault of the tool, but our failure to properly vet the process beforehand. As we begin to automate more processes, we have the ability to properly lean them out beforehand to make them more efficient. If you have a process that is inefficient, do not try to overcome it with automation.

This tool is well suited for scenarios in which you require upfront data capture, routing, approvals and/or e-signature. It is also great for centralizing your data.

The tool is being used across the whole organization at a global scale as a procurement intake form and a central vendor risk program.
  • The conditions and automation will free up some operations and help gather relevant data for subject matter experts.
  • It's easy to navigate from both an end user and admin perspective.
  • The tool feels/looks very modern and is highly customizable.
  • Adding form fields can be quite tedious as it has to be added to every stage/relationship.
  • It's difficult to remember where a certain condition/formula sits.
  • I wish the workflow itself can be exported for presentation/demo/documentation purposes.
  • I wish there was a way for more than one admin to configure the tool at the same time.
From my few months of using the tool, I believe the tool would be best suited for Legal Ops (Contracting) & Procurement. Maybe even in competitive bidding (strategic sourcing: eg RFP & RFX). The tool may be less appropriate for Payment Processing/Collecting.
