Mitratech TAP Workflow Automation is being used by our organization to capture, review and approve conflict of interest disclosures. All employees, if they have a disclosure to make, must do so through the TAP platform. Our legal compliance team oversees the processes, while direct managers and those in the leadership chain interact with the platform. It saves our compliance team time by automating the review and approval process. It centralizes all of our disclosures for secure compliance record-keeping and pulls the process out of email and manually populated spreadsheets.

I think TAP is well suited for legal operations teams and processes that have been undergone lean process improvement. Moments when we have run into trouble with the tool has stemmed from our own internal struggle with how we want to run our processes. This is not the fault of the tool, but our failure to properly vet the process beforehand. As we begin to automate more processes, we have the ability to properly lean them out beforehand to make them more efficient. If you have a process that is inefficient, do not try to overcome it with automation.

This tool is well suited for scenarios in which you require upfront data capture, routing, approvals and/or e-signature. It is also great for centralizing your data.
  • Required fields force robust disclosure information up front.
  • Workday integration enables pre-population of fields which reduces manual entry and saves compliance time.
  • Emails, communications, and disclosure decision memos and stored in a centralized database which helps our team keep compliant records.
  • Automated reminders have led to less ‘chasing’ by compliance.
  • Improved UX has encouraged and increased disclosures, mitigating our company's risk.
We have had trouble with our integration with Workday which stemmed from a Mitratech hosting issue. I cannot speak to the integration of other platforms. Integrating our conflict of interest workflow was simple because we were able to easily embed our form into our SharePoint site.
Autodesk selected TAP because of its ability to handle more complex workflows. We vetted a lot of "light" automation solutions but wanted a tool that was flexible enough to handle our more extensive use cases.

The tool is being used across the whole organization at a global scale as a procurement intake form and a central vendor risk program.
  • The conditions and automation will free up some operations and help gather relevant data for subject matter experts.
  • It's easy to navigate from both an end user and admin perspective.
  • The tool feels/looks very modern and is highly customizable.
  • Adding form fields can be quite tedious as it has to be added to every stage/relationship.
  • It's difficult to remember where a certain condition/formula sits.
  • I wish the workflow itself can be exported for presentation/demo/documentation purposes.
  • I wish there was a way for more than one admin to configure the tool at the same time.
From my few months of using the tool, I believe the tool would be best suited for Legal Ops (Contracting) & Procurement. Maybe even in competitive bidding (strategic sourcing: eg RFP & RFX). The tool may be less appropriate for Payment Processing/Collecting.
  • The tool hasn't rolled out yet so we cannot speculate the positive/negative impacts quite yet. However, I know it'll free up a lot of time for risk subject matter experts to gather vendor risk data for critical/high-risk vendors. From a negative standpoint, it may significantly delay the procurement process for purchases if due diligence is triggered and/or there's pushback from vendors.
There were two integrations we implemented: SSO & SFTP. The SSO took a lot longer than expected as there were difficulties on both ends (specifically Google SAML). We were able to think of another idea (DUO) which got implemented in a few days. The SFTP was pretty easy to implement.
I was not part of the evaluation/purchasing process for ThinkSmart. I can say it's a very unique tool in what it provides and has much potential to become very robust. I'm very excited to provide feedback/suggestions so both ThinkSmart & our company can grow together! At my previous company, we used Hiperos as a vendor risk management tool and it was very clunky and difficult to use/maintain from both an admin & end user perspective.
