We utilized Velocify to manage our student life cycle as well as transactional emails at each stage of the process. This was being utilized by our marketing and sales, admissions teams, management and executive teams, as well as the business and analytics area. Velocify was designed to help us be able to break down the black holes of the enrollment process and give more granularity to the process as a whole.
  • The simplicity of the system setup is relatively easy.
  • The built in speed to lead Dialer worked very well and distributed leads accurately.
  • The help and support area was easy to navigate.
  • No limitation on numbers of fields assisted with our need for granularity.
  • The canned reporting is not a one size fits all, and therefore customization of reports was needed. However, the ability to filter different criteria in and/or boolean was non-existent.
  • Customer Service and personable touch was poor at almost every level. We were with Velcoify for 2 years and we had to repeatedly explain our business to them with each issue.
  • Fields were not able to be shared across different areas, which proved to be problematic with different reporting needs.
  • Validation was only added to the system in the last few months, and this was very basic; because there were not specific security items for each role, this made our data integrity very shaky.
  • Creating emails and duplicating statuses, etc was labor intensive. There was no ability to clone existing emails, status, actions.
  • Drip campaigns were not available.
  • Vendor posting proved problematic at times, and the fact that anyone could enter anything into a drop down (again, validation) proved problematic as well.
Small businesses who do not need complex reporting and analytics would fit well into the Velocify model. There needs to be specific segments that appeal to this type of CRM, and the best feature is within an added layer--dialer. The ability to turn things around and contact your leads immediately was very beneficial to us, and could prove to be a boon for a small to midsize business.
  • Faster lead conversion lead us to higher potential for "first school wins" philosophy.
  • Negative return on time spent maintaining Velocify. Because manual reporting was needed and much had to be done outside of the system, there was a monetary loss of time because of this.
  • Predictability was near impossible for us, and the fact that we had to purchase an email automation system because Velocify did not do anything we needed was a negative ROI for our business.
Before we went with Velocify, we had Salesforce and Hobson's EMT Connect. Both of these systems were rather expensive and didn't give us exactly what we needed for lead conversion as well as the customization we desired. However, I feel that some of the reasons we went with Velocify were not exactly truthful as we found out during the implementation process or much later that there were things they said that they could do that once we started getting into the weeds with it they weren't able to execute. From a lead conversion and speed to lead standpoint, this is a good product. From a reporting and lifecycle management standpoint, this is a very poor product compared to the other two.
We have already moved back to using Salesforce. We tried to discuss different options as far as what we could use Velocify for, but with the larger spend associated with Salesforce, there was no business reason to continue to utilize Velocify.
We single-handedly were involved in having the company change their response email to say that they would have a response in less than 4 hours, as it previously stated 1 hour and they never, ever met this. Velocify does not learn its customer's business, it tries to fit it into the cookie cutter of the platform.

This was not done in a timely fashion at all on many occasions, and it took escalation many times to the supervisor of our account manager to even get a response. They operate solely on west coast hours and are closed on holidays for any support. What CRM vendor does this?

I have been an administrator on this system since 2005. I have used the system at a high level longer than anyone in the U.S. The benefits of Velocify for lead management are huge. The top four benefits in my opinion are: speed to contact (ability to contact client within seconds of new lead being posted), lead prioritization (ability for management to set criteria for prioritizing a users efforts), pull distribution (ability for leads to be shared amongst users based on criteria set by admin) and automated smart and status specific drip email (timely emails).

Back in 2005 my company was distributing leads manually via FAX. I had tried to build out a lead management system on my own but my software company could not put all the pieces together. I knew I needed to distribute leads more efficiently for speed to contact purposes and to gain intelligence of what was happening with the leads. LowerMyBills had discovered 5 lead management companies and wanted me to vet these companies for the which I did. Leads360 now Velocify clearly showed the most potential. I implemented the system throughout all 55 teams in my offices over a 2 month period of time.

Initially, the single biggest reason I chose Velocify was that they could distribute the leads delivered to me from the lead providers very efficiently and smartly. Over time I implemented all of the features that made sense. I am still a big believer in Pull distribution. Pull was another game changer for my organization. Looking back I made numerous errors in implementation, specifically, I made the system too complex for users to use.
I vetted numerous lead management systems. Truthfully, I wouldn't do anything differently. Velocify proved to be THE player in the lead management space. The other lead management systems I vetted did not have the capabilities that Leads360 now Velocify had. I saw huge potential with the system and liked their management team. They listened to my suggestions for additional features and implemented most of them over time. Velocify continues to add features almost on a monthly basis.

You can implement the system in phases but the better way to implement is to thoroughly think through your process flow and implement every feature right from the start.
Change management was minimal
I believe that users can get used to the system very quickly as you can use all your same company terminology and automate many features. Historically, users are up and running with a high degree of effectiveness within 40 hours of use.
  • For most new companies the planning stage should be thought through entirely. It's a time commitment from management which can be an issue. The more time spent thinking through how the system should be set up will provide dividends to the top line of the P/L.
  • Understanding the features and how they work together.
  • When I started using Velocify I was a rookie and certainly not a computer guy. It took me several weeks before I started to understand how to begin to put the system together. Over time I kept making the system better for all the user levels.
If you plan to have more than 20 users on Velocify you should outsource implementation to someone that knows how the system can best be implemented for your business/process flows. If you have fewer proposed users try to use one of the canned levels.

The in-person training if you will is done via GoToMeeting or some other service. I have been told that the moderator goes way too in-depth and too fast.
Velocify offers online training via videos and written descriptions of implementation procedures.
I would not advise self education on the system. There are too many moving parts and you should use as many as possible that make sense.
The system can be fully customized to any industry in B2B or B2C. You can use your terminology and set it up according to your process flows.
Velocify has a best practices whitepaper and I would stay close to that.

With support you have to ask a very well crafted specific statement about your issue. Additionally, it is very difficult to talk with someone in support. Fortunately, I do not have to contact support very often. Additionally, new releases are done via email and are short in explanation. Follow up from success manager or sales person regarding new feature releases is non-existent.

Bugs are resolved relatively quickly. Usually bugs are user error.
Initially I had very open communication with support. That has decreased substantially over time probably due to the fact that I don't need to contact them very often.. Occasionally, support will go beyond the question and speak to the why and offer suggestions.
  • Custom reporting can be very useful to understand how users are performing.
  • Future finesse of system should be ongoing and not stop. The system is about consistent minor improvements as you discover new opportunity.
  • Setting up distribution can be very easy. If your company has regulatory licensing issues to deal with the system can be very helpful from a distribution standpoint.
  • Adding a new user is simple.
  • Training for new users should be kept to discussion of the main 10 features in a 45 minute conversation. The other minor issues will be picked up quickly.
  • Adding fields to the form is easy.
  • Setting up drip email is easy.
  • Email open notification is usable.
  • Establishment of local caller ID feature.
  • New administrators have a hard time grasping how all the features work together.
  • Integration to other apps is cumbersome.

The mobile interface works very well but the screens can be hard to see on a mobile device. This probably the same issue with any other CRM type application.
Users can gain a very good understanding of the system quickly. The administrator can use terms that are familiar to their company when setting the system up. Most new administrators error to the side of complexity when setting up the system. With Velocify less is more.
The system is fully scaleable both vertically and horizontally across the enterprise.
The system is always up!!
If the system is set up correctly it will be a game changer for your organization.
  • I am not an integration person. They integrate with several other applications and can be integrated with just about any app so I have been told.
  • Direct Encompass integration leaves something to be desired.
  • Direct Five9 integration is good as far as I understand it.
Just like any sales process I have heard that sales over promises that the system can fulfill any need. While it can fulfill just about any pre-sale type need it can't fulfill everything.

We use Velocify, which was Leads360 when I started, to send files to different milestones of the application process and to assign it to specific people in departments that can pick it up in their queue. It helps people stay on track of the file and also helps us track where the file has been and see specific notes that others in the file have added for the current users review.

  • You must remember to save your action before closing, it will not save for you.
When you have multiple people working on a file, it works very well because you can see the progress of the file as well as all of the holdups there have been in the process. It is also nice that users can write comments to be more specific about what problems there are or have been in the file.

I have not used any other products that compare to Velocify. We used Leads360, which is now Velocify and I don't see much of a change between the two.
I am sure that we as a company are likely to continue using Velocify. I am not involved in the selection process, but I have not heard any negative feedback and switching programs would more than likely be too much work.

Velocify is used exclusively by our loan originators as the contact manager for all leads. It empowers our originators do what they do best, sell. The system allows for the company to set up standards of success and create a dynamic work flow that is easy for the user to follow. Not only does it take the guess work out of what lead to call next, Velocify enables management to thoroughly track and monitor all user activity. What your loan originators are doing to convert that next lead is transparent down to every follow up call and how fast they reached out to that new lead. Whether you are a user or manager, you will love the power the system puts behind your ability to sell!
  • The prioritized queue allows for management to set contact standards and hold users accountable. It removes all the guess work out of what lead to call next.
  • The Dial IQ feature is fantastic for powering through calls and maximizing speed to contact.
  • The Shotgun lead distribution puts the lead into the hand of the user that is ready and available to call that lead immediately. No handing off a lead to an originator and hoping they call. This feature allows for the system to notify multiple users simultaneously and first user to press 1 wins the lead. Talk about creating a competitive sales environment!
  • I would like to see more seamless integration with the LOS. The system will update from statuses between the LOS and Velocify, but that requires an overnight sync and does not sync any additional information. Real-time would be ideal!
  • More robust reporting would be great! I would love to see some of the custom reports that administrators have created to become system reports platform wide.
Velocify is amazing if powered by the right management. Just like any piece of technology, garbage in - garbage out. I suggest making sure your management is well trained so they can ensure their users are effective. Velocify has some incredible talent working there. I suggest making great connections with those on your team and it will help greatly during the tenure of your working relationship.

Velocify listens to the feedback from users and puts their money behind system improvements. The technology put behind this system is fantastic! Not to mention the knowledge of their team is fantastic!
