We use Microsoft Visio to draw up overall org charts.
We also use it to in IT to create network diagrams, data and work flows.
  • Presence of a grid makes layout easy
  • Ability to scale a diagram allows us to start small and built out
  • The built-in icon sets are very helpful and make the diagrams more purposeful
  • Cost of the subscription can be expensive
  • Icon sets can be difficult to find for non-general use
  • Not possible to amend a Microsoft Visio file without the software
Microsoft Visio is well suited for basic diagrams, ability to link and maintain relationships between icons. Color coding, formatting are all easily accessible and anyone familiar with Microsoft's Office suite will find it intuitive as menu layout are similar. It would be very difficult to collaborate on a Microsoft Visio document without the necessary software.
  • Icon sets
  • Ease of use
  • Backward compatibility of Microsoft Visio files
  • Monthly subscription costs add up - Negative
  • Software generates accurate and easily managed diagrams with minimal training - Postive
  • Time saving using Microsoft Visio vs. another existing or freeware software - Positive
Publisher is more generic and while it is able to do what we need, Microsoft Visio allows us to do the same thing using less time and higher accuracy with features like custom icon sets, ease of linking and maintaining links to denote work flows as well as scaling up without losing/skewing existing relationships.

IT - for data and work flows

Anyone familiar with the Microsoft 365 suite of software would be able to use it without difficulty. Support is rarely required as the feature set is easily accessible and intuitive.
  • Data flow diagrams
  • Work flow diagrams
  • Organization charts
  • The Free Microsoft Visio Viewer allows us to distribute Visio diagrams for collaboration
We use Microsoft Visio to keep our diagrams updated and to that end we will need the subscription to keep using the software. Otherwise we will be left with PDF versions of the diagrams.

We currently use Microsoft Visio as a tool for process control and understanding. All of the departments within our organization require precise workflows in order to operate at the highest level. That's where Visio comes into play, allowing us to see working processes visually and make adjustments to eliminate redundant and unnecessary steps.
  • Visualizing Workflows
  • Visualizing Processes
  • Diagrams
  • I think it has just about everything someone could ask for.
We have used Visio to create a visual representation of our workflows and processes, allowing us the ability to create a more efficient business, lower overhead, and reduce errors in our order processing workflow.
  • Flowcharts
  • Diagrams
  • Significant positive impact by allowing us the ability to remove unnecessary steps in our processes.
I feel like they all can play an important role in your organization's success but for those who are comfortable with the Microsoft suite of tools, I would choose Visio.

We use Microsoft Visio to illustrate carefully all of our business processes for each business department. This allows us the ability to see from a very high level where we may have duplicate processes, and bottlenecks, or may need to shift processes to alleviate tension from one person to another.

Our firm used Microsoft Visio to develop flowcharts, visualizations, organization charts and other visually stimulating materials. Specifically, the marketing department developed a lot of visual aids for proposals and other pieces of collateral via Microsoft Visio. We started with the provided templates to develop a lot of these materials in our own branding and color palette.
  • It is easy to learn and onboard new team members
  • The templates are fantastic especially when creating materials quickly
  • There are lots of pre-made icons to choose from
  • It is hard to collaborate and track changes between users
  • Connectors are very difficult to use and glitchy at times
  • Expensive to purchase and implement
It's great to use Microsoft Visio when trying to create visual representations of data or processes. It's very effective for creating org charts, flow through processes or other charts or graphs. It's a nice add-on to other Microsoft tools as its easy to add these diagrams into PowerPoint, Word, etc.
  • Ability to use existing templates
  • Most be simple to use for new users
  • Needs to integrate with other Microsoft software
  • It has made it easier to create visual representations quickly
  • It has eliminated outside software needed to create certain graphics
  • It's made it easier to represent data in our selling process

Our IT teams supports Microsoft Visio, and they rely on our Microsoft rep in case there are larger issues.
  • Creating graphics for proposals
  • Visualizing data in client reports
  • Creating org charts for internal use

[It's] Used across multiple departments to develop process flows for training and business documentation. Specifically use it to outline technical steps as well as steps users will take to follow the business path.
  • Process flows
  • Business analysis
  • Project planning
  • Easier to develop multi department flows, when you're outlining the flow, currently if you need to shift where swimlanes are located it completely alters your diagram (when boxes are connected with arrows) and you have to basically restart it.
  • This is the most nit picky thing ever, BUT, while working through a process flow if you realize you need to change the basic standard flow shapes to another shape you have to go back and redo the whole thing. If there was a way to change the shape by right clicking on the box instead to instant switch instead of copy/paste/realign/reconnect to switch out the shape I would personally be forever grateful. I once did a workflow in all start/end process circles, so dumb, but I had to go back through and rewrite the whole thing into the process boxes. It was a super large workflow. It was such a pain in the ass.
  • I didn't realize that Visio could be used for Gantt charts and project management until this review. To make those features more user-friendly or as a separate tab would allow users to track business process flows AND if kicking off a project - link the project timeline to certain steps.
Well Suited:
Project management, business documentation, process flows. Great for kick off meetings to document customer expectations or technical projects to pinpoint integration points/sub processes.
  • Return on investments due to identifying savings or gaps while documenting steps and servers needed in process flows.
  • Increased resource capacity, easy to see where we can change a manual process into an automated one while documenting processes.
  • Team planning and project kick off meetings, great visual to use while documenting the process our operations customers need our team to accomplish.
MindManager and Visio are similar however MindManager doesn’t give you the same customization. Visio is definitely preferred when it comes to mapping out processes and documenting future and current state.

I work in the operations department at UHC and am not sure how many other departments use Visio. It's a standard download for the operations team when they are assigned equipment but I'm unaware if its used by call centers, medical staff, and IT employees.

Working for a 300k+ person company I'm unsure of how large our IT department is. However, outside of installation issues I would not call them for visio support. I've found that the online microsoft visio forums make it easy to troubleshoot any of my program issues or questions.
  • Kickoff meetings for projects, great to document customer expectations of how they would like us to develop their process with our technology.
  • Current and future state project documentation made easy with organized diagrams.
  • I've even used Visio to clean up a Microsoft word smarart diagram my husband created for his employees, he's a chef. He was so happy to see all the processes and sub processes clearly outlined for his staff to follow for the state food safety requirements.
  • My team only has one use for Microsoft Visio - process flows. After reading questions in this review I'm excited to explore other capabilities in Visio. I was not aware of them before this review.
  • Project management
  • Project timelines
I LOVE Visio for project workflow documentation. Customers come to us to develop workflows for them and integrate systems. Visio makes it easy to understand and document customer needs as well as highlight web service touchpoints and integration areas.
Not Sure
N/a. Unaware of why this product is the main process flow application for the company.
I love this product but I'm not sure why it was chosen by my company.
  • Don't know
Super easy to navigate and helpful support forum which answers most of my questions!
I think the fact that I have never had to reach out to customer support for issues or questions for visio says it all. If i ever need help troubleshooting or have questions I go to the support forum and ALWAYS find my answer there.
  • Super easy to quickly throw together business workflows to understand process operations.
  • Easy to separate lines of business and teams with swimlanes
  • Great for producing step by step training material for new employees for process operations.
  • Formatting can be frustrating at times moving around the process flow.
Great product super easy to use.
