First, I would come up with the criteria to rate the vendors against. As an organization, we would need to have a checklist built of the features we would expect the product to be able to achieve. Once we had a checklist, I would come up with the top three vendors in the space, and evaluate them against one another. The top vendor to meet all the organizations needs would be the winner.

There is nothing we would change because we have been happy with our implementation of Zix email encryption. The installation was fairly easy and straightforward for our network folks and Zix support have been very responsive when we have had questions or issues. Zix support also worked well with us on the initial configuration.

I would have better evaluated our usage of users with multiple accounts and viewing of multiple accounts. This would have been tested against the app. However, the issues/questions we had, none of the IT team had encountered anywhere else, and would suspect no one else will. Again, zix handles our issues and works well. Most issues we had were due to our own email configuration being incomplete or needing adjustments.

Zix isn't free. I held off due to cost consideration. But, I came to see the value. It took a while to realize that I needed a full time end user directly involved in the search process. Once I had them involved; it was much more efficient to recognize pitfalls which were deal breakers. The biggest issue that clear during this process was the importance of threaded conversations. I was well aware of the need to bullet proof security, rock solid reliability, and drop dead simple accessibility for end users. There were products that did pretty well in those regards. But, our agents need to be able to easily see each step of the communication thread. Often, a response would come as a simple 'no' of other ambiguity. Without maintaining a clear thread of to conversation; it was too difficult to follow, let alone understand fully the conversation. And, it would be very prone to error. This is not sustainable with transactions in the 5 and 6 figure range. And of course, our agents are dealing with many of these projects simultaneously.

I would not change a thing about the selection process. There were actually several different companies and options to look at. Microsoft's Office was actually the biggest contender as it was very easy to implement, integrates easily with our current computer system (our office computers are all Windows based) by using Microsoft Outlook, and also gives us an ability to use other Office products. Office allows you to pay a cost per user for the e-mail and also pay per user for encryption. Ultimately Zix's presentation was the big selling point. Their staff and customer service was second to none which is a big consideration. When you have those who know what they are talking about plus are quickly and easily available by e-mail or phone when there are questions, you feel much better about backing that product. In the case I don't think it would be worth changing anything that was already done.
