What is WoodWing Assets?

WoodWing Assets (previously called Elvis DAM) is presented by the vendor as a scalable and flexible digital asset management solution that helps companies manage files across their organization. Its flexibility comes from an open API architecture, providing connectivity to establish workflows with numerous other systems used within the organization, such as product information systems, customer relationship management, content management systems, project planning tools, AI, Adobe CC, publishing systems etc. The vendor states that its scalability points out to the limitless number of digital assets that users can store and manage in the system, provided there is an appropriate storage plan in place.

WoodWing Assets is used by organizations that handle a larger number of assets, which can be digital files in any file format. It is tailored for publishers and marketing agencies, creative teams, but also to any other type of organization where there is a need for greater organization and management of assets, providing easier access management and sharing options and its Adobe InDesign integration.

WoodWing Assets has been used by our whole company for over 5 years. It allowed us to centralise all our digital files into a single repository, for all our team to access, based on their permissions. It cut down significant time searching for files, contracts, documents and media assets as they are now all accessible to everyone in our company. We also migrated to the Cloud, thus eliminating the multiple on-premise servers and storage places where we previously kept all our digital files. Sharing files is incredibly easy now, with no more 3rd part file sharing sites, as well as the ability to fully control the actual share link.
Our marketing team also know which is the latest version of a file and which images have been approved for use, by simply looking at the status.
Due to the massive power behind the searching, we no longer have to comply with very specific naming conventions on the names of our files, and we also don't have to save versions with their Version Number, thus eliminating the multiple version issues experienced by most companies.
  • Searching for files is incredible powerful and quick
  • Sharing files both internally and externally is easy
  • Automatic version control on digital files is great
  • Indexing of text on all digital files is incredible
  • Metadata fields in excess of 550 standard (out the box) with unlimited custom fields
  • More granular workflow (status changes are good, but could be better)
  • Detailed analytics on actual asset usage, is good, but could be better
  • A dashboard for reporting and analytics would be a huge bonus
WoodWing Assets work exceptionally well in companies where they have a large number of digital files, that they need to manage and search. Media, advertising and marketing companies benefit significantly when using Assets to manage their digital images, video and content as the most approved as well as latest versions are automatically kept of every digital file.
Companies that have a small number of digital files, with probably less than 10 staff, probably don't need a system to manage their actual digital files, provided they are in a structured folder base, that everyone can access.
  • Cut down time searching for the right version of the right file (Cut down more than 4 hours per week, per employee)
  • No more using 3rd part file sharing sites, as well as benefit of managing the actual share links.
  • Reduced multiple emails back and forth requesting approvals on digital assets for marketing and other departments
WoodWing support has been good, they do feedback quickly when reporting an issue and do keep you up to date with where they are in the process of resolving the support issue. The support team is knowledgeable and take the time to fully understand the issue. I do feel they should have an online support ability to assist with basic user issues, as opposed to having to log a ticket every time, but that would be the only reason I have not given them a 10.
It is incredibly easy. For an idea on the onboarding or training of a basic user, this is the only system we know of that training takes literally 1 hour, and the basic user is fully up to speed. Very intuitive user experience. Easy ability to share files (simply right click). Easy ability to search for all digital files, and even content within the digital files, if you cant remember what the file name was - just this feature alone saved us hours everyday!

For the short term the CDN by WoodWing/Elvis has helped us improve loadtime speeds while also improving our SEO efforts. The organized layout of the dashboard with detailed metadata makes working with many assets very efficient. If you are on a tight budget I wouldn't recommend using WoodWing Elvis DAM, and would suggest trying out a solution like Cloudinary or Amazon AWS. In today's world the faster cheaper CDN solution provider will be key in the coming future with a majority of customers turning towards mobile devices for browsing our website.

  • Can be a bit expensive when compared to other CDN alternatives such as AWS or Cloudinary
  • Learning curve involved for the user interface/dashboards
  • Lacks more advanced manipulation of assets that can be served dynamically
I like the organized user interface/dashboard that WoodWing provides for their CDN solution. Being able to provide user access and control what they can do permissions wise makes the process very easy to manage. Managing a team of 5+ designers can get hectic at times and this helps solve that issue. The speed of the Elvis CDN servers were on par if not faster than the other CDN solution providers out there and our website load time went from 5.0 seconds to fully load down to 2.8 which was a drastic savings. I dislike the price point that they offer as there are cheaper CDN alternatives out there. Such as Cloudinary or even Amazon's AWS depending on your overall needs. The dashboard is not as easy or simplistic as other CDN alternatives but it does get the job done of delivering assets in a timely manner.

Overall Elvis DAM is a great product although when you compare the solution to other providers of similiar asset CDNs such as Amazon's AWS, Rackspace CDN or Cloudinary it can get quite expensive. This is especially true if you have a team that is at the larger enterprise level in which case you are charged by the user.
