Workato is primarily being used as an automation and integration tool. We used it for the following use-cases:
  1. Foreign currency rate integration and triangulation. We are receiving an XML file from our parent company on a daily basis and we integrate the rates into Netsuite. As an additional requirement, we have to perform a currency triangulation for some currency pairs which don't exist on the source file. Workato was able to perform the calculation with a simple formula.
  2. Customer on-boarding from Salesforce into Netsuite.
  3. Transfer XML file from Netsuite to bank sFTP with sign and encrypt. One requirement is to message the user through Slack whether the file transfer is a success or failure.
  4. Integrate cash payments from Excel into Netsuite by creating a callable recipe. With the callable recipe, we were able to use our existing Excel tools without a complete redesign. We simply changed the ERP API connectors that we use to bring over payment records into our new ERP system.
  5. Using Slack workbot to get customer information from Netsuite. Users may now get customer balances or transactions through Slack by just typing in keywords. They no longer have to log into Netsuite. This is particularly helpful if a customer support person is talking with a customer over the phone.
  • Process automation with multiple SaaS applications. It's easy to move records from one SaaS application to another.
  • User-friendly. Users need minimal technical knowledge to start using Workato. The workflow-oriented user interface makes the recipe easy to understand. The recipe is described in plain English and not in some technical jargon.
  • It has a look of built-in functions which are particularly helpful for non-technical users. I've seen functions in Workato which are usually not readily available in some other tools like.
  • Slack workbot integration. Easy to create recipes and Wizard-based recipe creation is available for beginners.
  • Technical support is 5 out of 5. They are always available on the chat room whenever you need them.
  • I would be nice to have a more automated deployment process like automatically changing connections when a recipe is deployed into prod.
It is well suited to multi-step process automation but not an RPA tool. Also not for big data, I think.

It is being used by some departments with intention to roll out to anyone in the organiation with a business need.

We're currently using it to empower business users / non-engineers / power users to build integrations and automations with IT Engineering oversight/guidance, but without utilizing IT Engineering headcount.
  • Very low learning curve to get started.
  • Amazing live-person tech support for more ambitious projects.
  • Succeeds at core mission of bringing the power of systems integrations to new personas / profiles.
  • Custom security roles cannot be provisioned via SAML/JIT API.
  • Team/User management design could better support the "citizen developer" use case.
  • Slightly better troubleshooting features, specifically provide the full network dump when a recipe fails at the connection level during development.
There's always more need for automations/integrations than there is supply of engineers/developers to build/maintain/support them. In a "desert island" scenario where if I had to pick one tool, it would be Workato. Not because it can do everything; because of the vast amount of things it's capable of, it does them exceedingly well. Making a powerful-but-approachable tool available to our workforce is key to scalaing because we are empowered to do more with less.

  • During our pilot project, we were able to bootstrap our own registration and provisioning without any developer assitance.
  • During our initial use case, we're having success building a user lifecycle management protoype with a very small team.
We use multiple integration platforms for various use cases. Workato did not replace anything. We believe in having the best tool for the job/persona and thus employ multiple tools with some overlapping functionality aside from the unique strengths/trade-offs of each.
Each page has an intercom button I use to create a chat support session and I use it all the time now that I'm pushing Workato into new areas and use cases that are more complex and need help with formulas or specific configuration patterns.

When they don't know the answer, they create a support ticket for an engineer to look at.

Workato support is one of its differentiators from similar products I've used.

Incredibly responsive 24/7 and deflects a lot of questions from our CSM.
Yes
Yes. They had to resolve it on their end, but they did so quickly and added it to their patch queue. Small bug with aesthetic impact only, not functionality.
They do it all the time, but as I ventured into writing my own custom connectors with their SDK, they provided several pieces of sample code for very specific use cases I had and their support channel was just as willing to help me with my own code as they were theirs. In my mind, my fear was thay anything custom was outside of their scope—and maybe it is contractually—but my experience was they always jumped right in and helped in any way they could.
  • Simple integrations based on a single row of data
  • Creating a Slack integration or bot
  • Anything involving Google Sheets or Google Drive
  • With integrated Intercom support on every page, getting support is INSANELY EASY/GREAT
  • A lot of admin functions involving creating/updating/deleting users are possible, but not part of the core offering
  • Even though JIT provisioning is supported, giving a large volume of users is not a well-optimized use case if you need to restrict them to a custom role/folder
Distills the complexity of intergration lifecycle management, integration development, and web services into an accessible tool for non-engineers.

We've solved quite a few business problems with Workato, that have made development at least 3X faster. We’re deeply integrated with the Shopify API, Twilio, Slack and Gmail. We use Workato to manage purchase orders, stock inventory, track refunds, send invoices, issue refunds, and many more business applications that Workato makes very easy. Workato has allowed our product analytics team to run reports on various user engagement statistics, order volumes, and much more. Recipe Ops to manage error handling and monitor that all our recipes are fully functioning is a critical feature that makes Workato a step above any competitors, and the obvious choice for API integrations.
  • The Workato product interface is brilliantly thought through and designed. The learning curve for first timers is easy enough to get started and build useful things, and Workato really shines in their ability to handle complex triggers and interactions. Workato allows people to build software apps so much faster than by coding each functionality.
  • Workato has fantastic documentation, making things accessible without any holes in the product. The product just works, never has any bugs, never lags, and just generally allows us to see and change exactly what we need to.
  • Workato has an absolutely amazing support team. We tried the free version for a while, then realized it was the single most important software tool we have, and we upgraded. The support at the paid tier is A+, seriously the best from any company we've worked with. Feels more like a good friend then a support rep.
  • Workato really doesn't have any draw backs I can think of. The only issues we’ve run into have been from lack of integration depth from the specific platform applications.
Workato is great for small teams looking to move fast, going through quick product iteration and testing. However, it's also powerful enough to be a perfect tool for larger companies who want to build more stable products by minimizing the lines of code you need to develop and maintain.

I think it would be less appropriate if you don't have a need to integrate into other applications and are building something 100% in house. This is a rarely the case, but if it is I don't know if Workato makes sense.

  • Workato is an unusual type of software in that it’s very much middle-wear, which means it’s extra important for stake holders in your company (especially those who won’t be interacting with Workato on a daily basis) to see the ROI that Workato can provide. Typically ROI is in developer time, as well as replacements for other SaaS tools. For our team, we move 2X as fast and need 1/2 the developers, so the ROI is just incredible.
We've looked at all the companies, Boomi, Jitterbit, SnapLogic and Mulesoft, but each of these are very bulky and enterprise ugly. Whether it's a startup or a F-500 company, it's important to make software that's not only highly sophisticated and capable, but also is fun and easy to use. Workato is both fully functional, as well as being just a great and enjoyable tool to do anything.
Yes
We do pay for premium support, not specifically but through the upgraded professional package. The support is amazing, we have complex issues that do sometimes require support and the Workato team is on it!
They Workato support team is fantastic, they cover each other well, and make time for you no matter how big you are or what your issue is.

My support rep actually pulled over on the side of the road (on his motorcycle!) to pick up my call after hours!

We purchased Workato only a few months ago.

We targeted it for the integrations and automations for our business processes for sales and manufacturing, connecting between NetSuite, Salesforce and JIRA.

It is very straightforward to set up integration via Workato, so we ended up connecting more applications to it, including some in-house applications with REST APIs.
  • Recipes are powerful and yet simple and straightforward. They give all the programming concepts in a sleek user interface: conditions, loops, try/catch, refactoring.
  • Rich integrations. Workato supports many applications out of the box, and where it isn't, it is very simple to connect with HTTP REST APIs.
  • Logging. Workato has a long job retention, and you can see the input, output and timing of each step. VERY useful for debugging.
  • Centralized logging and search. It could be helpful to have all the job history across all recipes in one place, and to be able to search on it
So far we did not come across any integration/automation that we needed to implement and ended up doing on another platform.

The platform is very powerful and yet simple to use, an unless you have custom HTTP connectors, the only thing left for you to do is implement the logic.

I guess that if you have a very complex and long logic you'd think implementing the automation in a script and run it somewhere else. But since Workato connects to standard applications very well, it just beats the learning curve of figuring out how to connect to the APIs on your own.

  • We bought Workato two months before deploying our ERP (NetSuite). Without it, it would've been impossible for us to integrate our business processes with NetSuite and Salesforce in two months without Workato
We already used Zapier, but since it doesn't support NetSuite we had to choose another automation platform. Now that we've been using Workato for a few months, we have plans to move the stuff we're going through Zapier to Workato.

We set up a trial account with all the other platforms, and they were all more expensive and A LOT more complicated than Workato.
