The CFO was the main driver of this implementation as she had used this in a previous shop and served a the biggest internal champion. Once CFO and CEO leadership drove - all else fell in line

Change management was a minor issue with the implementation
Getting department heads on board with the change in our budgeting process was the greatest impact on change management and early adaptation. Once we were able to start including comments directly into the system, made department heads buy into the process change big time. That was the biggest factor in getting other departments buy in to the new process for reviewing your expenses on a monthly basis.

We learned that extra communication about the changes that were taking place was necessary. With all of our department keeping very busy, it was essential to take extra steps to make sure the changes taking place were understood by all.

Change management was a minor issue with the implementation
We attempted to implement many of the advanced features that Adaptive brought to the table, and to capitalize on that functionality. The issue we ran into was that while the capabilities were increased, users were reluctant to use it, and preferred to do things "the old way". We ultimately compromised and brought in many of the new functionality, but recreating the look and feel of what they were used to. In my opinion, we sacrificed some flexibility tp achieve that, but are working toward re-cooping that functionality little by little.

All the managerial team learned to use a same planification tool to do a budget, follow the same line of work and allowed us to improve the communication between different department in the company. Before adaptive planning, the path to elaborate a budget was in different excel file and in the end of the day the planification department had to mix all these file to create the general budget with errors in the middle.

Initially, we wanted to slowly roll-out the tool for operational leaders. However, after showing a demonstration to our team, I was blown away by the number of people who wanted access to the tool, and their desire to begin using it. This was actually a great "problem" to have, and naturally led to many champions throughout the organization.

When implementing new software you have to look at the needs of your company, as well as policies/procedures, legally required reporting, growth, etc. We are a company going through large expansions and our software at the time couldn't handle the needs. Adaptive Insights was able to accommodate our needs and allow us to evolve into a more robust reporting system.

To fully implement Adaptive Insights into your business it is important to have buy-in from the managers that will use it. Most managers prefer to do things the old way until you can prove to them the new way is better and that it is easy to adopt.

Change management is typically a small part of the implementation and is usually easily handled. However this question depends on management intent.

If the intent is simply to migrate the existing budget models into Adaptive without modifying the planning methodologies than there is little change management needed. Input sheets can be configured to look and feel the way the old ones did. So can reports.

If however the intent is to drive substantive change by adopting alternate planning methodologies or to facilitate process improvement, cost reduction or more rigorous revenue planning approaches to enable a growth strategy, then to tool-set will enable those but obviously a more active change management approach is required.

My primary lesson learned from the implementation was that our timing was less than ideal. We implemented Adaptive during our annual planning cycle, which made the process even more challenging. In a perfect world, we would have started the implementation 3 months earlier and had time to review/tweak our instance before we jumped into our annual plan.

We are currently implementing, but are working on changing the way we handle various processes. As an example, Enrollment management was done on an excel spreadsheet and we have built into Adaptive which will increase the efficiency as well as providing updates immediately.
