We are using Adaptive as our system of record planning and reporting application. The FP&A team is the primary editor of information, but read-only information is widely consumed across the org.
  • Excellent documentation with articles and videos.
  • Strong implementations network of consultants.
  • Accessible staff for Q&A (like formulas Friday and other weekly sessions).
  • Being cloud only, occasionally the model may be slow to load or update.
  • Certain features like user assigned sheets are edit only or no access (no read-only access).
  • Dimension level security is coming in a future release (Fall 2019).
  • Cannot have multiple security profiles per user (one profile per account).
Adaptive is great for lining up multiple version (variance analysis) and a nice mix of structure and flexibility. We still maintain some more complex models outside of the system in Excel and application scripts like cohort models.

  • Reduced our FTE needs by two.
  • Instilled trust in the numbers across the org by providing a highly available, cloud-based access to the system. No more emailing reports.
Both increased the speed to report and model as well as the accuracy. The major lift is getting the model set up in the first place. The maintenance of the model is relatively straightforward thereafter.
For non admins, the experience is fairly similar to Excel. The formula builder and documentation makes it easy for power users.
Adaptive stood out because it seemed on the easier end to implement and has a wide customer base (so it is easier to hire people who have used the system before). The total cost of ownership was competitive and scales with the number of seats.

Planning is key. And, it is very important to think about the system you want, not just a porting over of a legacy model/process.

Had both synchronous and asynchronous content. This allowed our users to learn according to the styles that fit their personality the best.
The right amount of structure for us. It comes as a blank database so it is very customizable, almost to its fault.
Try and build for the new system and not recreate the Excel models that you already have.

Adaptive Insights is used globally within Finance and within each department. Adaptive Insights addressed the issue of efficiency, user error, real-time data, and the ability to stop being so reliant on Excel spreadsheets.
  • Adaptive is a cloud-based system that allows our users to interact with Finance from anywhere in the world.
  • Office Connect is a great add-on to Excel that allows us to set-up reports and refresh them in an instant for more detailed information needed throughout the company.
  • The report section is great but it doesn't quite give you the flexibility that Office Connect (Excel Add-On) does.
Adaptive Insights is well-suited for companies that operate with budgets that have multiple components and complex calculations.

Change management was a big part of the implementation and was well-handled
When implementing new software you have to look at the needs of your company, as well as policies/procedures, legally required reporting, growth, etc. We are a company going through large expansions and our software at the time couldn't handle the needs. Adaptive Insights was able to accommodate our needs and allow us to evolve into a more robust reporting system.
  • None
Our 3rd party vendor was on top of the implementation and asked the right questions to ensure that our implementation worked smoothly.
  • Online training
  • in-person training
Our 3rd party vendor walked us through the whole process and was available for questions after we started using the Adaptive Insights. I would suggest using the online training environment plus an individual walk through of your company's model to get more acquainted with the instance. There were also on-line tutorials to help us along the way.
The training program in Adaptive Insight has grown quite a bit, since I originally implemented in Adaptive Insights. I would now give it a 10 rating and suggest that anyone implementing for the first time work through the certification program. The certification program is a very detailed in depth primer to understanding how the system works.
I don't think I could use this product without any training. However, with just minimal instruction that I give to my end-users each year, they are able to develop budgets and review reports without any major issues. Additionally, the system works so well, I'm to instruct end-users by phone on the best way to interact with the system.
Adaptive Insights seems to have no limits to the configurations and reporting you can do from the information that is integrated into the system. 99% of the time if we can dream it up, Adaptive can help us implement a change to accommodate the needs of our company. There are abilities to have multiple instances so that models can be adapted to the growing needs of any company.
Take the time to think things through before implementing any new software product. When looking at how you create budgets think about what would be the most efficient ways for reporting, planning, integrations, etc. It's easier to configure your model the right way in the beginning than to go back and make significant changes later. Although the Adaptive Insights is great at making model changes, it takes a lot of time to validate the changes to ensure everything is working properly.
Yes - we have customized the interface extensively
Since Adaptive Insights is the expert, we worked with their software engineer to customize our interface and they worked through the issues without any problems.
Nothing to note at this time.
No
At this time, our administrators have the knowledge to operate the product with no additional premium support. However, each year we evaluate our Adaptive Insights model to see what improvements can be made and often enter into a services contract for major changes to our model.
The support team responds timely but typically on a pacific time vs. eastern standard time. I would prefer to have a phone number to call vs. email my questions and have issues answered in my time zone.
Yes
Yes but in most instances, Adaptive Insights finds the bugs and reports them to us to before we notice.
After a services contract was closed out, my company noticed a issue with some changes that were made but it wasn't until 3 mos. later. Our customer success team tracked down the original person to review the case and make corrections to the issue and fix it within a day.
  • Since Adaptive Insight is a cloud based system we can interact with our global team in real-time.
  • Since we are a global company, we have 20 different currencies (and growing) with our model. The system seamless handles currency conversion with the transactions, budgets, etc.
  • The formulas are somewhat confusing for me but I am currently working towards understanding them so that I can be a more active participant with making model changes to formulas, etc.
Yes, but I don't use it
Since implementing Adaptive Insights in 2014 we had 3 administrative users. Since then we have grown to 50+ users that actively participate in the budget process and are accountable for their annual planning. Each year we request feedback from our users and each year they say that Adaptive Insights is easy to use and continues to make the budget process a seamless process.
Whatever we can imagine doing with Adaptive, the professional services can make it happen. What I would suggest is to make sure that any changes that are made, be sure to lock previous version to ensure nothing changes because of a model change. Certain changes will affect the whole model, vs. a version.
I am on eastern standard time and it seems like most of the help desk is on pacific time. It would be nice to have help desk experts in my time zone, so that I can get quicker troubleshooting responses. The time zone issue hasn't caused a major issue yet but when you are in the middle of a task and want to keep your flow going, it's kind of a pain to wait a few hours until the staff gets in the office.
All aspects of Adaptive Insights perform well. One area that I wish was quicker was integration. When importing data from Intacct our accounting ERP platform, it can sometimes take 4 hours for the import to process. The earlier imports are done, the quicker they complete. My estimate for a quick upload is about two hours.
  • Intacct
  • Paycor
Intacct and Adaptive Insights integrations has worked out great. Paycor hasn't been able to develop an API that will seemlessly integrate the HRIS into Adaptive. Therefore we export data from Paycor and import the data into Adaptive Insights. The hope is to be able to have a direct link, so that we can regularly update information electronically vs. a manual process.
  • Paycor
No-Paycor doesn't currently support the integrations, even though they use Adaptive Insights. We are hoping that they are able to develop the API soon.
  • File import/export
  • API (e.g. SOAP or REST)
Nothing was missed.
Adaptive worked with us to complete our initial integration with actuals and later with transaction data. Adaptive Insight's integration team helped us transition from a third-party integration system to their own. The whole process was seamless and works perfectly.
Be sure to think the process through so that data is brought over to Adaptive Insights and it maps correctly by validating everything before finalizing your project. This is a necessary step to any implementation.
Our vendor was great during the sales process but what we didn't realize until it was time to implement, they sourced the work out to another vendor. The vendor that sold us Adaptive had never implemented before. Since the initial sale, we've moved on to a new vendor with more expertise or dealt directly with professional services.
They were okay but we dealt with their contractors. We didn't find out until after the sale that the vendor wouldn't directly be handling the implementation. The contractors that actually implemented contacted us and did a great job. No complaints with the contractors that implemented for us. They were knowledgeable, patient and efficient.
I'm not sure what the principle terms were for the original vendor, since its been 6 years since our initial implementation. However, our initial implementation was only the Planning model. Since then, we've added integration, reporting and office connect. We are anticipating adding additional model products in the future to begin having financial reports run through Adaptive.
The most important tip to me is that you should make sure that the vendor has had a few implementations under there belt. Obviously having an experienced implementer with knowledge of your type of business helpful, as well. The best information is to check references and make sure you do enough research to ensure your vendor truly has the expertise to get the job done. Take the references with a grain of salt and make sure to ask good questions.
Yes
I would say for the most part the upgrade of my model went okay. The issue I had was that the implementer was not consistent and didn't test changes before he told me they were done. Testing the logic, once you've made changes in the model goes along way to ensuring validation.

Adaptive was purchased to improve our current budget processes and make it more efficient. The software is being used by the Finance Department and key bBusiness users across the organization.

Prior to Adaptive, the organization used complex Excel spreadsheets for over 90 departments. Adaptive has taken these complex spreadsheets and incorporated them into the set up and incorporates all of the standards and assumptions, so that the end user only has to input their information one time and everything flows through to the correct budget sheets for analysis.
  • Adaptive's reporting function is an excellent tool for analysis. It can be used for budget formulation through monthly reporting analysis.
  • Adaptive makes it easy to get down to the most minute level of detail in order to quickly give analysis on the budget, through its modeled sheets, and cube sheets.
  • I don't see any weaknesses from the software, other than it not having the flexibility to make changes to other versions of budgets without affecting previous versions.
It takes away the need for so many Excel spreadsheets - from the manual preparation and edits, all the way through reporting.

Change management was a major issue with the implementation
We were in the process of implementing an accounting system at the same time we added Adaptive. We were eager to find a robust budget system that could handle our complex services company.

Be sure to think everything through before implementing to make sure that you get the most out of Adaptive. FYI-Auto calculations, standard costs, etc.

Although the training is in depth, it would be nice to have training that is specific to our Adaptive Instance.
No-Training is needed.
Nothing too difficult or extensive to configure. I would recommend you work with someone at Adaptive to make sure that you hit all the bases.

I was having issues with some items that were change during a previous services agreement. Even though that service was closed, they helped me figure out the issue with the calculation error.
  • All sheets flow into the budget sheet. This allows for seamless roll-ups.
  • Formulas are somewhat confusing.
No
Overall, I believe the usability is excellent. I have no real complaints about the system.
We don't use all of the modules but I believe we could do a lot more with the system and give better financial reporting with other components. Such as revenue, assets, sales, etc.
There haven't been any lately. The only one issue I can think of is when there was an update in Adaptive that altered our reports. Before I realized there was an issue, Adaptive reached out to let me know, so that it could be fixed.

We integrated during our initial implementation and then again after Adaptive upgraded their Integration connections. Adaptive did most of the work. We just validated data.

No issues.
For the most part, we don't have any complaints. Sometimes when signing new services agreements the team doesn't move forward as quickly as we would like. It seems to be improving this past year.

  • We achieved our planned ROI
  • Continues to add value to our organization

  • SAP
We used a hybrid system part manual and part SAP which was slow and error prone. We implemented Adaptive and resolved these issues.

Adaptive was a new purchase for our company which replaced a hybrid manual and SAP budgeting process. Adaptive provided accuracy improvement along with workflow which we did not have with our previous process. As part of our MBO process we were challenged to automate and improve our antiquated budget process. Adaptive provided a solution that was easily implemented and adopted by management and is an important tool for our business.

We needed to make sure our solution met our needs and Adaptive nailed it. Price value and functionality from Adaptive and the commitment from Adaptive during the implementation provided assurance and confidence that we made the right decision.
No we would still choose Adaptive and would not change anything. We did our due diligence reviewing various third party providers along with in house solutions and improving our existing budget and planning process. When the dust settled we decided on Adaptive and are very satisfied with our decision.
  • Professional services company
Our implementation was outsourced and the brought in house by Adaptive to assure we were implemented on time and within budget.
No
We went live in two months and had to restart our implementation process separating our model into two instances. We had one phase to our implementation focusing on the P&L then the balance sheet.
Change management was minimal

  • System response
  • Unfamiliar with manufacturing
  • Our business requirements
Our implementation was non eventful and we were very satisfied with the overall experience.
  • Self-taught
This depends on the level of talent in the finance organization. We are a small group of experienced analysts with higher than average computer skills, so this approach was really effective for us. Adaptive is very intuitive and easy to learn and implement. Recommending this requires knowledge of the staff and implementation group.
If you can do it in Excel you can do it in Adaptive.
No - we have not done any customization to the interface
NA
Yes - we have added extensive custom code
Most of our formulas are custom and we were able to work with Adaptive to achieve the desired results.
Yes
If it's needed to satisfy our requirements and we can not figure out a solution by ourselves we would pay for premium support. The main reason is due to our past experiences with Adaptive's support and the solutions that were provided. We have established mutually beneficial relationship that provides continual process improvements to our model.
We are happy with their support and product development road map. Adaptive is the leader and provides a cutting edge solution for the planning process with continual updates that are implemented and work without issues.
Yes
During our implementation and when we are improving our model we found and reported issues with the software and they were well received and acted upon immediately and the fix was implemented.Adaptive listens to it's customers and users at every level.
When we were implementing we experienced slow system response and Adaptive got the engineers involved and resolved our issues at their expense. Their commitment during our implementation exceeded our expectations. They didn't sell us prior to our purchase, they sold us during the implementation and many times afterwards when we looked to improve our model.

  • Solid product with excellent customer support - supports mainstream budget and forecast needs well and is fairly customizable to customer needs.
  • You will need someone comfortable with a cloud based product and comfortable with using the tools formula builder along with creating customizations ... it's similar to spreadsheets in a lot of respects, but formulas don't work 100% like they do in Excel and you will create a lot of custom accounts, sheets, etc. that require a little getting used to (along with getting used to a cloud based tool).
Excellent product!!!
  • Instant consolidation of financial numbers; no re-work tracking down linking errors in spreadsheets; easy to run "one-off" scenarios ... basically makes finance professionals more efficient once they get used to the tool and gives them the ability to get at data and run reports more timely than they were probably able to do previously.
Part of a NetSuite implementation for my most recent client; in other systems selections I've been a part of, it was chosen for cost, feature set, and support.
  • Budgeting, forecasting, headcount tracking, modeling, etc.
  • Nothing too fancy, but have used their template report functionality to create charts & graphs that link back to a financial data sheet tab; using Excel formulas in the template linking back to the data sheet allow for quite a bit of creativity along with giving users the freedom to still use Excel which most are more comfortable with - the possibilities are really endless as long as you can get the data into a data sheet tab and are strong with Excel.
  • Adaptive has quite a bit of new BI functionality (Discovery, etc.) that I have not had access to yet, but it looks impressive.
  • You can structure your Adaptive models to pull in non-financial data (which can be imported) and then incorporate into your reports.
It's one of the best budgeting/forecasting tools I've used in 20+ years of working in this area; that said, you need to be comfortable with a cloud tool.
Excel spreadsheets.
  • Vendor implemented
Vendor assisted implementation is the best route to go - they will do as little or as much as you want and will step you through it in a logical sequence.
They do a great job; any issues have been on the customer end making the time to focus on the setup work ... I would advise making sure you have an individual or two that can focus on this over the implementation period.
  • Online training
  • Self-taught
Pretty good - training can be pretty dry like it can be for most financial products and some trainers have been better than others ... overall pretty good though.
Yes
One of the best in vendor support for financial software has been my experience - responsive and they listen to your questions and usually try to give you multiple options on how to resolve issues/problems.
As mentioned previously - responsive, thoughtful answers, and usually give more than one alternative.
