What is Zapier?

The Zapier Automation Platform is a platform designed to integrate data between web applications. Zapier automates the communication between apps by relying on “Triggers” within apps to catalyze pre-arranged actions, such as data formatting, and transfers of data between apps. The program featured pre-designed connections for more than 1,500 apps. It is scaled for small to mid-sized businesses and features a free version with limited connector complexity and quantities.

Zapier's goal is to enable automation for any process, allowing users to visualize and build advanced workflows with custom logic, conditions, and filters, with no code needed. Some features include:

  • Multi-step Zaps - Zaps that automate several tasks at once.
  • Paths - Zaps that perform different actions based on if/then logic.
  • Filters - These ensure Zaps run only when certain conditions are met.
  • Schedule - Zaps can be set to run whenever it's right for the process.
  • Formatter - Used to transform dates, currency, text, and more into any preferred format.
  • Webhooks - Can receive data from any service or send requests to URLs—without writing code or running servers.

Zapier's no-code automations include with 6,000+ app integrations from partners like Google, Salesforce, and Microsoft so users can collaborate across departments.

Zapier is used to create integrations between Salesmate and Drip eliminating the need to double enter all the client data into our email lists. In addition we also have it setup to export certain lead info into a Google sheet for tracking & remarket lists. Though Leadpages & Drip have a native integration process you can also opt to setup with Zapier for multiple triggers.
  • Simple to learn & implement
  • Works with just about every app/platform you can think of
  • Attractive pricing model given the true value of this tool
  • Saves time, money, and increases efficiencies
  • Best part of Zapier is they're always working to improve features, integration availability, and speed of the processes, I can't think of anything that I would want to improve at this point.
Zapier is a must have for small businesses looking to grow without the substantial cost of hiring additional admin staff. Although the initial setup is tedious in the long run it will not only speed up the sales process and save a significant amount of time, you'll wonder how you operated without it in the back end.

  • Saves a lot of time for a small business owner trying to juggle sales, marketing, data analysis, etc... Simply put it kicks a** and has been a huge game changer
Microsoft Flow and Automate IO were both alternatives we looked into but fell short of our requirements. From a pricing and ease of use standpoint Automate IO definitely fit the bill but didn't integrate with Salesmate so that was a bust. As for Microsoft Flow it's also an excellent alternative and a very stable platform however it only offers a select amount of integrations ultimately pushing me to go with Zapier.

When it comes to automating processes the single most important factor is application integration availability, little to no down time, and an IT dept that's always working to better the processes, integration availability, and process options.
I'm one year in using this system and wouldn't change anything, in a sense I'm still evaluating and learning.

In our area of the institution, we focus a lot on integration. My focus more specifically is directed towards integrations as it applies to the technology we use across the institution, so you can tell easily why we would be interested in a product like Zapier. I use Zapier to create quick connective solutions between existing software without needing to spend extensive time programming.
  • Zapier is great at keeping up with the latest software that people want to integrate with (for the most part), meaning you should be able to find most of the products you would want to connect
  • The Zapier team has done a good job predicting the types of "zaps" you might want to create. There are a lot of pre-built zaps and it is easy and intuitive to create your own
  • The free version of Zapier is actually pretty awesome! There is a good chance, depending on the work you are doing, that you might not need to pay for an upgrade. We have done both, but not many vendors give you as much as Zapier does on their free version.
  • Zapier isn't as easy to connect with if you have a problem. They use bots (who doesn't these days?), but being on the west coast, and our institution on the east coast, sometimes we have to wait a day to have a question answered.
  • Some of their resource contents are redundant instead of useful. I have found myself going in circles a few times trying to figure out how to set up a zap, but each time I was able to find another zap to just copy over and edit..which solved my problem.
  • Zapier has a great product. They have done the work many companies don't have the time or resources to do, but they could take it a step further now and build more predictive integration at this point.
Zapier is ideal for every company that doesn't have a full-scale IT Dept with the ability (or time) to write custom programming for integration between software. It's not really cost effective if you are building most of your own solutions in-house and writing them custom, to begin with though.

  • We are in Education so this is tough to answer, but we have experienced such a positive impact from the integration we have from Zapier as it applies to our Slack communication since it keeps our ultra-busy teams in constant contact and up to date with everything that is going on, which is so important for us.
  • The integration between Basecamp and Slack for us has enabled us to spend more time working on the actual projects instead of checking in on them for updates, and everyone knows that time = money!
  • Most importantly, not spending hours and hours of time programming into APIs when we need to connect some of our common software tools is priceless. Programming is expensive and Zapier is pretty inexpensive, it's a no-brainer!
I looked at a few other solutions (Hoist, Parabola 2.0, and Tray.io) but it was evident right away that there wasn't any other product on the market right now that had as much to offer me as Zapier. Zapier is much further in their development than their competitors right now and that was the reason I stopped looking around.

We wanted something that was going to save us time (and money) spent on writing some of the integrations we needed between some of the software we use every day. Zapier took only a few minutes to set up and gave us automation before we knew it. It was more than worth the money spent.
We wouldn't have changed it because there still isn't a better choice than Zapier out there. Eventually there may be but for now, it is doing what we need it to do for us. One thing that is little concerning to us is knowing that that functionality of our day to day processing is somewhat dependent on Zapier since we are not into the APIs ourselves and instead relying on them to connect this stuff for us.
