What is Zapier?

The Zapier Automation Platform is a platform designed to integrate data between web applications. Zapier automates the communication between apps by relying on “Triggers” within apps to catalyze pre-arranged actions, such as data formatting, and transfers of data between apps. The program featured pre-designed connections for more than 1,500 apps. It is scaled for small to mid-sized businesses and features a free version with limited connector complexity and quantities.

Zapier's goal is to enable automation for any process, allowing users to visualize and build advanced workflows with custom logic, conditions, and filters, with no code needed. Some features include:

  • Multi-step Zaps - Zaps that automate several tasks at once.
  • Paths - Zaps that perform different actions based on if/then logic.
  • Filters - These ensure Zaps run only when certain conditions are met.
  • Schedule - Zaps can be set to run whenever it's right for the process.
  • Formatter - Used to transform dates, currency, text, and more into any preferred format.
  • Webhooks - Can receive data from any service or send requests to URLs—without writing code or running servers.

Zapier's no-code automations include with 6,000+ app integrations from partners like Google, Salesforce, and Microsoft so users can collaborate across departments.

Zapier is being used across the entire organization by multiple departments including finance, operations, sales, marketing, product & engineering. Zapier allows us to connect the different systems used across the organization, to transfer relevant data between these systems and enable different actions to be taken. Specifics problems addressed include data visibility, data mobility, workflow efficiency and creation.
  • Ease of use - multiple people in the organization can set up and run Zaps per their specific use cases without much training.
  • Connectivity - Zapier is able to connect to multiple applications we use on a regular basis.
  • Functionality - Zapier provides embedded functionality within the app itself (email, data conversion), but also appropriate triggers and actions for apps it connects to.
  • Versatile - Zapier can execute complicated and simple tasks and thus has many use cases.
  • Complexity - due to the flexibility it provides, this can introduce some complexity across the different steps being set up operationally.
  • Dependence - depending on the use case Zapier becomes a key tool and dependency and thus needs to be monitored, without internal control to fix things. If Zapier goes down (rarely, but can always happen), then this could present a problem.
  • Variability in pricing - pricing relies on the numbers actions being triggered and depending on how you've set up the zap, it could increase quickly, and thus needs to be monitored and understood.
Zapier has been great for us in many instances and allows us to create operational workflows and processes very quickly and without reliance on limited engineering resources. We've used Zapier to:
  • Highlight key activities in business (new sign ups, missing information, cancellations, key successful events of our users).
  • Post key events, as above to Slack or Email.
  • Efficient updating of parts of our in-house built applications and many more.
The simpler the process the better. If the process is more complicated with many conditions, then lots of thought and planning is needed prior to building and implementing a zap.

  • Improved operating efficiency - we can test and implement processes for efficiency much quicker.
  • Data visibility - we are able to provide appropriate information to key users within the organization quicker.
  • Creativity - solving problems calls for creative thinking and Zapier fosters that which has great benefits beyond just the business problem at hand.
We started out very quickly with Zapier, and it worked very well for us an organization, and have simply scaled on that specific platform. While we have used and tested some others, we decided at the end to stay with Zapier due to the extent of adoption across the organization, an overall competitive price point and a developing solution that evolved and grew with our needs. In short - we were happy with the product so our comparisons were quick.
Zapier is very easy to pick up and very easy to use for just about anyone in any department. In some instances some coding knowledge is required but for the most part it's very logical, allows for testing and provides the necessary help and guidance. It is helpful to understand the specific goals of what you are trying to solve since Zapier allows for multiple options to resolve problems.
  • Finding apps to integrate.
  • Understanding the triggers and actions for each app.
  • Adding steps, both simple and complex (conditional).
  • Some imbedded steps like data reformatting.
  • Sorting and organizing zaps.
  • Controlling who can create zaps to ensure data security.

We use Zapier in our organisation and with our clients to optimise and automate business processes. It allows us to increase the consistency of our workflows, saves us time, reduces the risk of errors and increases the efficiency of so many processes the involve web apps.
  • It's a very intuitive interface. We learned it fast and we don't need to know any code to automate so many processes.
  • The number of web apps Zapier plugs in to is mind boggling! The rate of growth of: A. the amount of apps and B. the amount of triggers and actions on each app is impressive and means that, if it doesn't do what you want right now, it probably will soon. I wouldn't bother taking on a new app for us or our clients if I knew it couldn't plug in to Zapier.
  • One of our favourite tasks for Zapier is to automate our spreadsheets. Google Sheets (and Airtable) are far more powerful when you can trigger actions right from within your spreadsheet workflow.
  • It's frustrating that steps within a Zap can't be duplicated. eg. If you setup a formatter step to capitalise first name, you can't just duplicate that for last name you have to go through the process again which is time I could be spending elsewhere.
  • It would be wonderful if Zapier could become a fully functional visual programming tool. For me the two key tools it'd need to do that are branching and looping. They are fundamental to actual coding but aren't available in Zapier. This means making some long hacked processes around it with clunky filters and multiple parallel Zaps which is far less efficient. (Edit: Paths on Zapier has solved one half of that problem!)
  • I'd like to be able to setup a client's account within our's and effectively "host" their Zaps as long as they're with us so that they don't need to see monthly bills. Then, have the ability to break their account out if they wanted to go it alone. (Edit: I've heard this problem is on the roadmap)
Zapier works brilliant in most small business situations. I suspect it'd have challenges in enterprises and larger companies where their security policies wouldn't allow it. It would also not work if a company was using heritage desktop based software rather than cloud based web apps.

  • We don't have exact numbers but our process efficiency gains have been massive since we started using it three years ago. Instead of working on admin, we're able to spend more time on optimising processes so that Zapier has been crucial for giving us the tools and capacity to continuously improve.
  • IFTTT just doesn't have enough power to be useful for us. It doesn't connect to tools we want to use and doesn't provide the kinds of triggers and actions we need.
  • PieSync is going to be useful for a different kind of workflow, where you need to keep two or more systems in sync (e.g. two CRMs.) It's going to be far more effective than trying to build all the possible Zaps you need to go back and forth keep both systems in sync.
  • We've also looked at tray.io which has more powerful features like branching and looping but isn't as easy to use and has now moved their price point well out of the reach of small businesses.
  • More tools are providing automations natively. eg. Agile CRM, Butler for Trello, Hubspot, but Zapier's breadth of integrations is far more appealing (or at least complementary to those native features) and also centralises all the automation activity in one place, rather than having to track down what setting it is in what app that created that automatic email which has a spelling error in it...
  • Its very easy to work out what actions and triggers are available for each app which makes starting your first Zap surprisingly simple
  • Once you've setup a Zap, testing it is very easy and efficient so you can have piece of mind, knowing that your Zap will do what you think it should do.
  • If a Zap does go wrong, it's often fairly straight forward to find it in the task history, check what went wrong, fix it and replay the Zap without losing any crucial data (unless your fix makes a major change to the Zap).
  • It's a nuisance to keep two separate databases in sync. eg. Two CRM's, where there are lot's of different types of data to keep in sync.
  • If you want a workflow to be able to decide which branch to take based on certain conditions, Zapier can't really do this.
  • Zapier also can't loop through a batch of data and make changes to it. Unless you use a code step which is a little more complicated for the everyday user.
No
It's very intuitive. You don't need to be overly technical to understand what is happening. It's relatively easy to use.

We are an online marketing agency. We use Zapier to connect online services for our own use and for our clients. In many cases it works as complete integration, saving us the trouble of working directly with (and having to support) APIs from multiple services. In other cases, it helps to supplement other connections between systems.
  • Zaps (the core unit of functionality in Zapier) are very easy to get setup through a simple workflow.
  • List of supported applications, especially for paid accounts, covers a very wide range of services.
  • Multi-step zaps provide a way to do slightly more complicated tasks and can often reduce the need for manual processing.
  • Although the list of supported apps is robust, some apps have limited functionality. Be sure to check the details on apps you are planning to use.
  • I'm not aware of good shared account functionality. This might be available at higher account levels, but I don't know that it is possible for multiple users to manage the same set of zaps.
  • The most common frustration that I have is realizing that a functionality isn't available in Zapier because an app doesn't support it through their API. It can take some digging to figure this out.
Most times that there is a need to connect to online applications to coordinate activity or get information between them, Zapier is the first solution I try. The ease of setting it up and testing it means that I can try it and see if it will work very quickly. Most times that I hear about people taking information that is emailed from one system and copying it into another I cringe for a moment, then check to see if it could be done in Zapier.

  • Zapier has reduced the need for manual coordination of information between systems, saving significant time and reducing errors.
  • Zapier has allowed our team to consolidate notifications multiples platform into a single system making it easier to see what is going on for a client across multiple systems.
  • Zapier quickly pays for itself in efficiency gains and opens the door to new opportunities through integrations that would be too complex to build or manage on their own.
On the surface it is easy to group IFTTT and Zapier together because they both make it possible to connect web applications together through a simple interface. But Zapier is a much more powerful business tool, better suited for connecting information platforms and data. IFTTT works well for home automation or individual users, but Zapier is better suited for most business needs.
  • Selecting applications and reviewing available features.
  • Organizing Zaps into groups within the dashboard.
  • Building new connections between applications
  • Troubleshooting more technical issues. Most of the time things work great, but sometimes there is a glitch and it can be difficult to track down where it is.
  • Transformations of data can be tricky to get working just right, especially if you don't have a very strong sense of how all the potential data will be formatted. It might work fine for the test data and quickly fall apart when dealing with real world data.
  • I'm not aware of a way to share management of a zap or set of zaps with another user. When I set something up for another team or a client I end up using their account, which is less than ideal.
Overall the system is very well thought out and organized. The issues that I run into are likely the result of supporting connections to so many different systems and are generally easily worked through. But it worth being aware of if you are hoping to have non-technical people creating business critical connections between systems.
