We use Ziflow in the Marketing department, but its reach is across the entire company. We use it to have deliverables such as print collateral, videos, etc., proofed by their appropriate stakeholders before final production.

Ziflow is perfect for the small to mid-size agency or in-house design and marketing department to simplify and streamline the process of proofing marketing collateral. If you strive for accuracy in your marketing materials, Ziflow may be the software for you!
  • We have recently expanded the marketing department, and the new hires adapted quickly to using Ziflow.
  • The time saving of not having to track down approvers the old way is significant. The reminder function pays for itself.
  • The cost of the yearly subscription is minimal compared to the benefits.
We no longer have to print out [a] hardcopy or email PDFs or JPGs for approval. Also, we have approvers all over the US, and this saves time and, obviously, money by being able to connect with them via Ziflow and capture comments and changes. Also, the ease of navigating the Ziflow software for approvers who may only use it occasionally is a big help. We don't have to spend our time on the phone explaining how to use Ziflow.
We can target the individuals responsible for approval. Additionally, the ability to comment and approve videos and websites is a major plus. We can capture comments from Senior VP's and executives and have changes back that day. Previously, we had to wait for hardcopy changes to come back to us via email or PDF scans of handwritten notes that were sometimes difficult to read.
We had a subscription to PageProof a few years ago and its feature set at the time wasn't comparable to Ziflow. We moved on from PageProof after just a short time to Ziflow and have never looked back
We have never stopped using it. My team has tried a few different club proofing platforms and Ziflow has always come out on top.

PageProof was clunky and not as intuitive as Ziflow. PageProof at the time did not allow uploads of anything except pdfs which limited the useability and effectiveness of the product. Video proofing was not as intuitive as Ziflow either.

Product Usability was paramount in our decision to go with Ziflow. It ticked off all the right boxes for us from a collaboration stand, an ease of use factor and most importantly, an all-in-one approach to it's design. I like to think of it as the Swiss Army knife of proofing software. There is a tool for almost any situation.
I wish I would have found Ziflow first. It would have saves a ton of headaches.

The ZIflow support team has always been very responsive to my questions, issues and other problems. The good thing is I have never had to use their support team all that much because Ziflow has been for the most part trouble free. If it had been error prone, we would have dropped it long ago.

It is used within a segment of our business spanning several departments as well as outside clients. With so many individuals reviewing documents this helps us consolidate feedback, clearly state deadlines and verify updates have been made.

  • Some of the automated features seem like they should be available for business accounts instead of enterprise only.
  • Website proofing is still a little glitchy.
  • There should be a way for reviewers to see a list of proof waiting for them without needing to pay for an additional license.
Ideal for any team that needs to garner feedback from multiple individuals on a specific deadline.
Workfront - Workfront asked for too much per user just to use their proofing tool.
PageProof - User interface wasn't as good.
GoProof - No side by side comparison, limited file type support.
Not included in the available services:
Aproove - Flash based interface, not intuitive, mark up tools were not as robust.
Review Studio - Didn't support web page proofs, not intuitive UX, was not easy to check off comments as the revisions were complete.

We used to use Workfront Proof. While that proofing tool is great, it's tied to Workfront's Project Management system. We were no longer going to be using the project management system and the cost for only the proofing tool was too high. When we started our search for a replacement we looked at a handful of other systems. The number of features, ease of use and overall support is what made us select Ziflow.

We have a lot of internal users and external clients who need to interface with the proofing tool. Ultimately, the proofing system needed to be intuitive and easy to manage. While there were a few worthwhile options to pursue, overall Ziflow supported more file types, had a more intuitive interface/system, and made it easy for us to get up and running quickly.
I don't know that we would change anything. We created a list of the most important factors we wanted in a proofing system so that we could compare each tool against the same criteria. Each individual factor was rated on a scale from 1-10. Once we got through scoring all of the various tools we reviewed Ziflow was the clear front runner, ranking fairly high in each of the important factors for us: file support, version control, web page review, mark up tools, approval workflow, due date scheduling, external review, and revision tracking.

In the industry that I work in keeping track of changes / corrections to documents is essential in case of future audit. Ziflow has been a key tool in helping with that.

Our company used to keep track of changes to documents by printing out the documents and storing them in binders...with Ziflow its all digital. No more binders!!
The most important thing is not to have documents used in production without the approval of all then need to review...with this tool, docs are held until all have approved.

I use it everyday as the companies main graphic designer, the rest is used by the marketing team to review documents.

Having used Ziflow for a couple years its become second nature. Training new users is also a breeze.

We use Ziflow to review website pages, catalogs and other collateral materials around different countries and languages in EMEA. The program is an easy and practical way to collect feedback from different stakeholders and teams, while providing enough information for our designer perform the required changes. All in all, a great and useful tool.

All scenarios were collaboration is needed mainly regarding art direction and design would make Ziflow a suitable tool. Also when proofreading and review are required for instance in the translations of collateral material and different documents. I believe that the only scenarios were it would be not so suitable would be where the stakeholders are digitally illiterate. But the program is so easy to use that anyone with basic knowledge on the digital world can work with it.

In the beginning, stakeholders were a bit reluctant about using it. But as they watched the tutorial recorded by our designer and started working with the tool, they quickly adapted and recognized how practical, easy, and efficient the process became with it. Now it is part of all reviews we are starting.
Ziflow collaboration features impacted really positively on our organization’s content review and approval processes. It became more effective, faster, and easier to be done. Besides that, the required changes are now recorded, increasing the history of the documents, and making them even more transparent and efficient. All stakeholders are really happy about it.

The single most important factor in our company decision making was the features provided by Ziflow as we work together with nine different teams and nine different languages on translations proof reading. Price also played a role but features was basically what we focused on and the reason why we decided for it.

The tool is easy to use for digital oriented people. For the ones not used to this kind of environment, it could look a bit complicated at the beginning, but following the instructions and tutorials and performing it once makes you get a grip of it in just one use.

We are a small business so it is easily used throughout our entire corporation by our contractors and employees.

  • When putting in multiple images, it won't load as multiple proofs but instead one big proof.
  • The sharing with others should be front and center when completing a proof.
  • When adding an additional person to review, it should have decision already selected.
Ziflow is well suited for any company that handles multiple content or document pieces that need to be proofed by multiple people. I work for a marketing agency and find Ziflow extremely helpful when reviewing any form of content. Ziflow is not well suited for a document that, when applying changes to text, is not as simple as clicking the check mark (in reference to Google Docs) instead, you have to rewrite. This hasn't been a problem personally but if someone is busy, I can see how it can be an issue.

Extremely! Ziflow has helped us know when documents are ready to proof, when they need to be done, and what others in our organization think about the item. It helps the designer not get overwhelmed by the same comments and can know exactly where the portion being discussed is at.
Tremendously. I now know the ideas my boss may have on some social proofs one week and it helps me steer my future posts in that direction. It has made content review easy and seamless with the ability to gain more knowledge on the product we're proofing and make it better.
Google Docs is where my company would do reviews and proofing before we purchased Ziflow because of the comment and revise feature. However Google didn't provide the option to proof different products like live websites, images, and more. Ziflow made it easier to proof items which weren't only .doc or .pdf.
It has proven itself very useful for our business tasks, especially content proofing. We are a small marketing business that uses a lot of contractors for tedious tasks and Ziflow has made the proofing process quicker and easier.

Product usability was the most important factor. All of our staff are very busy and do not have time to go back and search for email edits. This helped us to share our content easily and put all our content in one place.
I would look for a connection to HubSpot--this is a prominent application we use. However, I saw (see) that there is an integration in the making and I am excited to try it out.
