What is Zoho Mail?

Zoho Mail, a secure, business-oriented email service that includes collaboration and communication features.

Unique and custom email address

Helps to increase brand visibility and credibility with a custom email address using a company domain name. Add multiple domains, users, and alias addresses for a single user, all under the same organization.

An inbox with a suite of apps

Zoho Mail provides an integrated calendar to manage events, contacts to manage personal and official acquaintances, tasks to manage workload, notes, and bookmarks to track necessary webpages, directly from the inbox, helping the user become more productive.

Integrations

In addition to integrations within Zoho applications, Zoho Mail also supports third-party integrations, and enables users to create their own with Zoho Mail's code-free Developer Space.

Modern collaboration tools for a modern inbox

Make conversations more productive with Zoho Mail's collaboration features. With Zoho Mail Streams, a social media-style integration platform, users can collaborate with colleagues by @ tagging them in emails, folders, and drafts and avoid the hassle of email forwarding.

Admin Console for centralized management

Make sure users conform to a company's policies by centrally managing all emails. Give access to only a select set of users to manage an organization's password policies, user management, email delivery, and retention, among other things. Zoho Mail also offers extensive audit logs and other reports to help track administrator operations.

Secure migration tools

Its migration tools are designed to help you bring all data from your previous email service in the easiest and fastest way possible. Are you using Google Workspace or Office 365? Migrate with just one-click and sit back. If you want to check the status of your migration, Zoho Mail allows you to track the progress of your switch in real-time.

Enterprise features

While Zoho Mail offers normal email service, like out of office settings and custom email signatures, it also provides enterprise-ready email that is scalable and customizable. It also comes with S/MIME, Huge Attachments capabilities, White Labeling, Spam Processing, and others features.

It also features an offline mode and mobile apps in addition to desktop app. Zoho Mail Lite—the Zoho Mail Desktop App, is available for Mac, Windows, and Linux operating systems.

Take your emailing experience to the next level with Zoho Mail.

We started using Zoho Mail after we started using their CRM. The thought being that having everything integrated from one provider would allow for greater efficiency and productivity. Email is an integral component of our client communication and using the email solution that was "built in" to the CRM seemed to be appropriate.
  • Seamless integration with the Zoho CRM
  • Easy to create and share templates
  • Ability to share email drafts with colleagues to get feedback
  • Labelling and sorting emails is not on par with their competitors offerings
  • Email tracking does not seem to work reliably
  • Sent and received emails are not always visible in the CRM
Zoho email is very suited to collaborative work. With the ability to quickly and easily share email drafts with colleagues and superiors, it provides an easy and practical way to get emails reviewed, and if needed edited before they are sent.

It does not seem to do a great job in terms of being able to sort and label emails, especially compared to some of its competitors.

  • Negative impact - far more work (and time) needed to effectively sort and categorize emails. Instead of emails being easily sorted by labels, it is a more tedious process to have everything sorted by deal or contact
We found Googles offering to be a better fit for our company. Budget friendly, integrated quickly and easily with the CRM and far easier to sort and label emails when compared to Zoho Mail.

I have created a free account there for a client there are no issues while setup but in reflecting records to hosting and getting verified it take 2 days overall I didn't face any issues while using the mail and managing the client account and the greatest thing in Zoho this is free.
  • Its easy to use in Mobile
  • A fresher can easily use
  • Super admin pannel is also easy to use
  • No 1. in uploading appearance
  • No 2. Signatures option
  • No 3. when we copy paste there are major errors that we have to fix before sending so it takes double the time
I have also used it for my startup business I have not seen any glitch or issue using the free version and I have also created CRM through Zoho overall it helps me I would say 9 times out of 10 its very good but in some scenarios like copy mailing we have to set format again in the mail

  • as is said before i have not taken paid version of Zoho
  • but for my use i have not seen any issues and no glitch
Zoho is free. Also, there is no need for a separate IT guy for creating mail, or if any issues come you don't have to find anyone anyone can check and fix all issues from their super admin panel. Zoho overview is much better than outlook and its appearance of getting mail popup and functionality is better than outlook. My friend suggested for this and also after using I have referred my friend

Zoho mail is the main communication tool used by our company as a corporate email provider. We use it daily to exchange communications with the commercial domain. It helps us to keep in touch at all times with internal and external clients.
  • Set up your domain to have a professional account
  • Administration and management of information through cards and labels
  • When receiving an email with images that are not displayed automatically, you have to activate this function manually. It is a bit uncomfortable, I would prefer that it be activated automatically
  • The filter to search for information is not very accurate and unfriendly
  • The way to manage the storage capacity and to buy more space for the mail is not very friendly
Zoho mail is perfect for small businesses to manage corporate email accounts for their team. It allows you to keep in touch with internal and external customers. It is easy to configure and manage, an ideal application for entrepreneurs and small businesses. It may not be suitable for large companies where they have a high volume of collaborating users.

  • It has a direct impact on the commercial communications of the company since with this application we send the economic proposals for services.
  • Thanks to the fact that we can configure our corporate domain and a signature, we show a corporate professional image.
  • Allows you to manage and store internal and external communications
Zoho mail is a more professional and corporate email client, it shows a better image to customers, in addition to allowing you to manage the users of your company. It has accessible and competitive prices.

• We currently use [Zoho Mail], in order to have a better professional presence and thus when necessary to send emails and newsletters. Give a better impression on our clients. In addition, we also use this tool to allow the entire organization to share items and communicate fluently within the Zoho inbox.

• This service is implemented in all departments of our company. Since it is necessary for each individual to have their own personalized email address and thus give a better impression to customers and our company.

•The first commercial problem that this email service is solving is that it allows us to have a better professional presence and thus have greater credibility regarding our services and products.
  • I really like that there is a free version in which a single user can be created. It is really useful because it allows you to evaluate each characteristic of the service without having to buy it.
  • I also really like the visual aspect of the inbox, which is partially customizable. Because you can make small changes such as changing the color, the language, and among other things.
  • One of the biggest problems zoho mail has. It is that MX, SPF and DKIM records are never perfectly placed the first time you try to configure them. Whether you do them manually or automatically, something unexpected always happens.
  • Another negative aspect of this service. Is that when you receive a message with some type of image incorporated, it is not displayed correctly and a notification appears within the email that says Show now once you activate them is that the image is displayed correctly. I would like it to be activated automatically instead of manually. Although it is a minor problem.
• The best scenario to use [Zoho Mail] would be in order to answer any doubt or question that a client has about our services or products.

• A bad scenario would be to do it for a personal and not a professional purpose.

  • The most positive aspect that we have noticed after investing in this service. It is that now we have a better visual appearance and greater credibility with our customers and business partners.
• We were using MailsDaddy for little time since it does not have the adequate functionalities to address the business problems we have or improve the quality of collaborative work between departments.

• The main reason we decided to implement Zoho Mail. It is because this service is much more complete than any of the ones currently on the market. It is perfect for teamwork and increases the fluidity of collaborative work between departments.

We use Zoho Mail across our entire organization. We are able to host our mail with a pretty easy-to-use interface for admins to deal with spam, audit logs, etc. in a centralized location. If a user forgets a password it's pretty simple to reset it from my mobile phone quickly to keep downtime to a minimum. The pricing for what you get is pretty outstanding so we can add or remove emails as needed without a large hit to the budget.
  • Alerts to admins and users when mail box storage is close to full.
  • Downtime is almost non existent and has been reliable in the 2 years we have used it.
  • Managing user accounts via mobile app or web browser is simple once you get the hang of it.
  • Navigating around the admin menus is annoying. You can't sort alphabetically or by anything really. Where most programs you can click a header to sort, Zoho Mail does not contain this functionality. You have to sort through your users page by page until you find who you are looking for.
  • Unblocking users is a common occurrence because of the extremely sensitive rules they have in place server side. They claim no mass marketing but we have several salesmen who have to send the same invoice and information to multiple people within our company and they constantly get marked as spam, blocked, then I have to unblock them.
  • Things are named strangely in the back end. There is something similar to Google's filtering for promotional emails and social emails that Zoho has tried to implement, but it is on by default and cannot be shut off for everyone in one fell swoop. You have to have every single user log into the web portal to disable "streams" or emails that Zoho decides fits a certain criteria will skip the inbox and show up in a folder called "Notifications" or "Messages" and it took a very long time for my users to get used to needing to search this additional set of folders.
If you don't have a huge budget and want something that works with minor quirks here and there then Zoho Mail is definitely something you should look into. For half the price of Google G Suite or Office account you get 5GB of storage per user and can send up to 25MB emails without restrictions. Great for small businesses in my opinion.

I have had some issues with their spam filter, but we use SpamTitan and just shut off the one that comes with Zoho Mail. Zoho's spam filter isn't horrible but you should definitely use something in addition or instead of what comes with Zoho.

  • We have saved a lot of money using Zoho over our previous provider for essentially the same functionality. We went from our ISP hosting our email which had insanely small storage per user and constantly had issues with delivery and are now paying less and getting the same or more in return.
  • I have had to train employees on what to look out for as emails bounce back often and if one email is sent to many users, one failed email address will stop all recipients from receiving the communication.
  • The alerts are awesome for storage capacity and allows users to manage their own inboxes and mail clients BEFORE the capacity is reached to avoid missing emails.
I have spoken with Zoho several times and their support is always friendly and helpful. I have always been asked for security pins and codes when seeking assistance which helps me to feel my accounts are secure and I have never had to wait on hold to speak with someone for more than 5 minutes. They always seem to have someone available to help. If you call asking for instructions on how to do something they gladly walk you through the process and if you just need something done and don't have time to do it yourself they will happily customize whatever you need without you having to spend all day with it.
