What is Acumatica?

Acumatica delivers a set of cloud-based business software applications with dashboards, reporting tools, integrated document management, centralized security, and customization tools. It is a modular offering and can be deployed in multiple ways to accommodate business needs, either as an ERP or a narrower (and less expensive) accounting solution with the Financial Management Suite. Other modules are the Project Accounting Suite (budgeting, payroll and time sheet, analytics, and other functions), the Distribution Management Suite (purchasing, ordering, inventory tracking, order filling) and the Customer Management Suite (general CRM capabilities). Unlike many ERPs, Acumatica is not industry specific, and touts capabilities of interest to retailers, eCommerce users, even non-profits, and other possible small to medium-sized businesses desiring to automate business processes.

  • I have not been super involved with the process behind the scenes, but as a user lower down the chain, even I can say that Acumatica has completely revolutionized our business. We started with it about 7 years ago, and went from something like 8 million in revenue to 15 in that time.

  • Less downtime from old software issues; used to lose 20-30 minutes per day because of errors/slowdowns from old local hardware
  • We no longer need to run an in-house server room with a UPS for business continuity, and employees can work from anywhere

  • Positive impact. Customers had no problems getting their products during the implementation process and this location still grew 10% this year. So, it's enabled us to handle more with less steps and also with less people. Even though we didn't need to let anyone go, we were able to divert those resources to things that help generate revenue or to handle more orders.

  • So far? It's had a negative effect on our ROI because it's an extremely expensive system and we're having a hard time getting it to function in all areas of the company. And we're a very small company, so we thought this would go a whole lot faster. The transition and errors we are experiencing have affected our customers with taxes and discounts (and not applying tax-exempt codes when they're entered) and other such basic financial functions. So far, we've had some really negative challenges, but we're optimistic that these will get worked out in the near future and we will realize an ROI (ROVI - return on VERY LARGE investment).

  • Positive ROI in that it is standardized time entry workflows. It has standardized our ability to deliver and receive invoices back and forth to the clients. It has standardized our invoice delivery methodologies and our formatting, and it has taken all of those granular, conditional, and I'm going to call them controls away from the end users and centralized everything so that we have a single point of control and a single source of truth.

  • The MRP has been fantastic because we used to have, we had somebody who was our purchasing manager who had a lot of information in his head, and now with MRP we were able to train somebody new pretty quickly and we're able to get a lot of that information to him directly out of the system.

  • Definitely positive because we're able to give data to the end users much quicker. Were they able to make more accurate and timely financial decisions and kind of know where they're at, and how much money do I have left to spend for the month? Things like that. And our CFO is able to utilize the data more quickly.

  • I'm not sure yet because we haven't gone live, but in terms of the ROI, I think the working capital aspects of it will be good. Cashflow and analysis and these types of things will be very good. And again, because it's fully integrated with the different types of businesses, I think it'll be very good.

  • I would say that it has been very positive on our return on investment. I don't think that anybody regrets paying the money for Acumatica, what we pay for Acumatica, just the amount of time, savings, and amount of time that we save results in huge savings for our company. Being able to manage purchase orders, sales orders and quotes all from one system through all of our users saves a tremendous amount of time and money.

  • So specifically the ability to integrate third parties. EasyPost really helped us become more efficient in our ability to fulfill orders. I mean, it reduced the time it takes for the shipping part by like 60% from our previous work process. Overall positive.

  • I think the return on investment has been huge for us because we're able to track our inventory much better than we ever had before. We don't have to rely on people's data entering on an Excel spreadsheet, we've got a system that does all of that for us. We don't have to do a lot of manual data entry. We can pull reports and Acumatica is our source of truth for everything.

  • Really the return on this was fairly quick. We had a software called American Contractor that phased out, so we had to switch to something and we did some demos and what have you back at that time before the decision was made to go with Acumatica. And so I'm not sure what other ones they looked at. I think they looked at IT software called Foundation, which is a construction software, and ended up not going with those because of the ability of Acumatica to be scalable and not so kind of stuck on certain processes that need to be followed in that particular software. And that's the information that was given to me. I wasn't there at the time.

  • Being a church entity, I don't calculate return on investment as much as maybe a for-profit, but it has allowed us to do not only the core annual conference business, but 13 other entities with the same staff, which has allowed our organization to utilize the expertise that a professional accounting staff can provide versus volunteers or having non-accountants having to have to do accounting at other ministries, especially smaller ones.

  • It's had a great positive impact. When you're accounting and your project management, software is one and they talk to each other. There's no second-guessing and the numbers are what they are and it's just the visibility of both the accounting side of it and the project management side of it. Working together, it's great

  • I'll start with the negative because it's just easier to get that out of the way. With our company, struggling with, we're going through kind of a change in regime and overall structure. So going through that and trying to have individuals on board who understand the future and kind of what we want to do, I think that has been a challenge because we're trying to fix processes at the same time we're trying to work through Acumatica, bring everybody up to speed over a pretty short amount of time. So I think that's a challenge right now and has been one of the, I guess, overarching challenges when we've been going through this Acumatica transition for a couple of years. But successes, we have people who haven't necessarily used a lot of computer functionality who are now in the system all the time and giving us good data and getting good data, and we're getting people way more autonomous where the questions used to be, no matter what it was, go to finance and finance, we'll have to look it up and look and now it's giving you the tools, you can do it yourself.
