We use ApptioOne as our primary source for costing out applications, projects, and services. It allows us to much more accurately determine the services driving our costs, using the ATUM model. It also provides us with the unit costing ability that supports business cases and strategic decision making. ApptioOne is what we use to charge costs back to the consuming businesses, providing transparency into the value or profitability of different business lines.

We implemented Apptio One, an IT Planning module, to address the challenges of using Excel to maintain a Budget, Forecast, and Actuals to help in planning and variance analysis.
  • Replace complex, linked Excel worksheets and workbooks.
  • Help with forecasting and changing expenses on a month-by-month basis.
  • Provides total net expenses for the month, and for the 12 month period.
  • We don't begin from "zero" in our fiscal year, and it's challenging to consider a beginning balance in calculations.
  • Out of the box reporting reflects configuration to the ATUM data model, not changes to it.
Well-suited: 1) get rid of complex Excel modeling Less-appropriate: out-of-the-box reporting, graphs, and dashboards are difficult to configure to a modified data model.

ApptioOne is used in a couple of different ways within my company. We look at cost of IT and the value it gives back to the business. UPMC is a healthcare company that I work for and we used ApptioOne to levergae the decision to go to a single EMR. Through this inititive we look to make more decisons this way. By looking closly at IT cost and value we save money to give the best patient care possible

At the moment we are using it to create mostly reports for finance and technology, showing the CIOs and as well the CTOs, different ways in which they could save their cost within their technology. So we are basically in the process of implementing reports for the different managers' areas.
  • Integrates a lot of data sources in which we could gather data and we can show that to our stakeholders.
  • Basically it's the interface of the product. It's not very user-friendly for the stakeholders. So they have a hard time trying to see the data because of the interface that the tool has.
I think for terms of cost transparency, showback chargeback is a very useful tool and one of the opportunities that it might have is how they can show the dashboards to the users.

We use the tool for a variety of different purposes, primarily for technology, showback, and chargeback. We use it to calculate costs for our applications, teams, and services, which we then use to help facilitate our chargeback model, which goes back directly to the business lines, and impacts their profitability. So it's very important that the Apptio model that we use and have built is accurate and maintainable and up to date with everything that changes in the business. We also use it for technology reporting, so not businesses, but straight directly in technology for application rationalization, a kind of team labor management between innovation-related work and app BAU work. We are also using it more now than ever for understanding our hybrid infrastructure world of cloud versus on-prem, what the cloud costs in terms of consumption versus shared services of cloud, the labor to support the cloud, and things like that. We have to report on that and have our tech understand it, look for areas of opportunity to decrease spending while maintaining the quality of the outputs is very important.
  • Does very well at handling complex allocations and automation. Also great at bringing in data automatically, manipulating that data, and allowing you to feed that data into a complex model. So all the behind-the-scenes stuff works really well. It's also pretty good at visualization. It has some similar capabilities like a Power BI and Tableau, but generally provides most of the visualization technology that somebody would need with the tool.
  • I would say the big thing is just the complexity sometimes on the reporting surface. It can be a lot of different buttons, and a lot of different tools, and it can be occasionally overwhelming for somebody to come in and see a report built one way and then look different in another place. So really maintaining consistency and how the reports look, how they function, is very important. So I would say just simplicity on the front end has been a little bit of a challenge for us. We've gotten better, but with training obviously things like that, but that's been the main challenge.
I would say for larger companies that don't have any sort of automation of their reporting today, so it's all done in Excel or it's all done in Power BI reports that are fed off of Excel documents, especially technology expense, it can be really helpful. I would also say companies that are early in their cloud journey, it can be helpful to start early. So that's a few that would be helpful. Not helpful, I would say companies that already have a really good handle of their technology spend via any tools they might have. So it can get to a point where they have multiple different tools. Apptio is one and multiple different sources of truth, and if you bring in Apptio later, people won't trust Apptio. So really if you already have a bunch of tools stood up, it's harder to bring in another.

  • It's able to aggregate various data sources, specifically financial and operational data across multiple systems. So even if the company has various systems internally, it's able to aggregate them to be able to paint one picture.
  • I think depending on the organization's use cases, some of the configuration could be very complicated and hard to manage over time.
It's best suited for mid-size to enterprise companies that have a large IT spend, both cloud and applications and end-user services that need the help to be able to aggregate the information and be able to paint the picture of what it costs. Not suitable, maybe a smaller company.

ApptioOne is currently used as the IT Financial Data single source of truth, as a first step it is helping us provide clear allocation of data by project, product, and business unit replacing a number of disconnected PowerBi dashboards. Apptio brings the ability to report on project TCO which is allowing us to simplify the way we manage our financials.

IT Planning allows us to amortize current contracts, project increases and manage expirations. ApptioOne helps our team translate our SAP financials into IT financials. We are currently working on building out our Capex project reporting and developing a metric dashboard for our IT Leadership Team.

I think Excel is easier to manipulate and move around in. Also, as we are working with our Cost Center Owners, we are finding that exporting data from ApptioOne is simpler than trying to input/move around directly in ApptioOne.

I've implemented ApptioOne for 9 years, from R11 to R12. Would like to see more engineering work adding more functionality to the tool. IT Planning needs a way to add comments to actuals as many clients don't utilize the Variance Analysis functionality. Configuring in IT Planning would be great. Additional education on implementing IT Planning and Bill of IT would be very helpful.

ApptioOne is fantastic for large organizations who are just beginning to view IT as an Investment in the business and supporting the entire enterprise. ApptioOne may not make sense for smaller organizations, where IT costs aren't a big enough driver in the overall spend picture, or in companies that generally don't view IT as the focus of their cost drivers. Culture plays a big part in the perspective that an ApptioOne end user will have, where a culture that invites more transparency and subsequent scrutiny usually does well with Apptio's offerings.
