What is Read and Understood?
Read and Understood is a SharePoint application designed to automate the process of document acknowledgment. Key Features
Manage App Access: Users can manage permissions to the Read and Understood App and Document Selectors, allowing control over library enablement and document selector management.
Onboard New Employees: The feature facilitates onboarding of new employees by sending acknowledgment requests to new starters. Notifications can be sent to new employees when they join a specific group, either from midnight today or for all group members on first use.
Acknowledgement Summary Excel Report: The feature provides a detailed export of the document acknowledgment process, including document name, version, recipient email, acknowledged date/time, and recipient comments. The exported report includes a checksum for data validation.
Manage Access to the App and Document Selectors: Users have the ability to control permissions for accessing the Read and Understood App and Document Selectors. Permissions can be set for all libraries or specific libraries within the app, allowing flexibility in managing access.
Read and Understood Reports: Detailed reports are available to assist companies in meeting compliance requirements. These reports include an Employee/Document report listing acknowledged and unacknowledged documents by employees, and a Group/Dept. Compliance report indicating the percentage of acknowledgments by group/department.
Read and Understood App for Microsoft Teams: The application offers integration with Microsoft Teams, allowing users to manage acknowledgment requests directly within the Teams platform. Active acknowledgment requests are displayed in the Teams App, along with an embedded copy of the document requiring acknowledgment.
Teams and SharePoint Acknowledgment App Install: Users can install the Read and Understood Teams App, enabling them to view and manage acknowledgment requests within Microsoft Teams. The app provides a link to open the document in a new browser tab.
Customize Email Templates for Read and Understood: The app allows companies to customize the emails sent to employees for document acknowledgment. Customization options include branding the emails using company colors and images, as well as tailoring the message and information provided to users.
Email Template Hierarchy: The app supports a hierarchical approach to customizing email templates. Customizations can be made at the app level, which will be inherited by all document selectors. Templates can also be tweaked at the document selector level for subtle changes based on document type.
Updating the Email Templates at the App Level: Users can customize every email template sent to users by Read and Understood. Templates are formatted using HTML, with examples and instructions provided for styling attributes and creating buttons.
