iCIMs does the job, adds value but poor user experience

Overall Satisfaction with iCIMS

I was a part of the talent acquisition team that implemented and managed iCIMs. At my past organization Rapid7, it was used by all employees of the organization that were involved in interviewing and hiring candidates - primarily this meant hiring managers as well as the recruiters and HR professionals. We did not have an applicant tracking system before and decided to implement iCIMs. My boss, the director at the time, had used it at his previous company Kronos.
  • Analytics were fantastic - It was helpful in telling a story around candidates applied/sourced/interviewed/hired. There was a lot of information that was stored that could be molded and developed - this was helpful in sharing how the talent acquisition was doing to the executive team.
  • Customer Service and tech support was amazing - they were incredibly responsive and helpful. They helped with any custom reports I needed help in building.
  • Great value considering cost. It gets the job done and has the basics you need to be successful.
  • At the time I was using iCIMs, I wish there was a functionality to sync iCIMs with a calendar (e.g. Outlook) to setup interviews. Everything was done separately so each recruiter had to have their own system in tracking when interviews were when, when to schedule follow ups, etc.
  • iCIMS could have a better user interface and overall, user experience. It's a big clunky and old-school in the way that it looks.
  • You have to click through a lot of different options to accomplish a small task. There isn't that intuitive-ness that you find prevalent in, for example, the current ATS I'm using, Greenhouse. If this was fixed, it would save a lot of time on the recruiter's part to recruit vs manage and work through this system.
  • It would be ideal if iCIMs was able to track interviewers and their feedback after interviewing candidates.
  • Because we did not have an existing ATS, iCIMs had a wonderful and positive impact on our business objectives. We had a sense of where the organization stood from a recruitment standpoint. It gave us a view of the high performers, low performers. It outlined positive incomes that were achieved in terms of hiring/headcount. It also gave hiring managers a view of their pipeline and process.
  • The only negative would be that the system was cumbersome to recruiters who didn't want to spend a lot of time managing their roles. It did create work in that you had to do a lot of clicking to get a single task accomplished. You couldn't have several windows open to do different things. In that way, it was tedious work so the data was not always accurate.
  • iCIMs did a great job of tracking our referral program. Everything before was done manually before so we did a better job of paying people out on a timely, consistent basis. This led to more employees making referrals.
iCIMs is better in terms of reporting and tracking data. They also have great built-in reports that you can use to track progress. However, Greenhouse excels in every other way: better user experience, integrates with calendar invites for interviews, tracks feedback for every interview that goes down. There are also interview templates you can bake into the role. I also love that you can add prospects to a job for people you meet that are great but aren't the right fit at the moment. Greenhouse has fantastic tools you can integrate with e.g. coderpad where engineers can tech out other engineers in interviews.
The whole point of having an ATS is to:

  • Have a place and/or database to store all potential candidates.
  • Reporting functionality - what kind of data and reporting are you able to pull to analyze talent acquisition success?
  • Judge ease of use: no one wants to spend all of their managing a clunky system.
These are the top three areas I'm looking at in determining the right solution.
