Overall Satisfaction with Submittable

We use Submittable to manage grant applications, training applications, site visit reports, and final reports. Submittable gives us a central system for multiple reviewers to access, review and vote on applications. These are reviewers both within our organization and those from outside of our organization.
  • Easy system for people to apply for grants.
  • Accessible way for people to access, review and vote on applications.
  • Integrated ways for grantees and reviewers to report on grants.
  • The level of customer service depends on what you pay -- I wish everyone got a real time chat or phone access.
  • They have done a lot to help customize reports which is helpful.
  • This saves us both time and actual expenses from paper applications.
  • More people can access the applications and we can customize them each year to meet the needs of our applicants.
  • Everyone's application from start to finish is now in one place including the reviewer's notes, site visit reports and final reports. Much more efficient.
Once you learn the structure (which was recently changed), it does make sense. Creating a Project and the related forms are intuitive but you do have to learn some more complicated parts of it (logic options for questions, for example) for it to work well. That takes some time although there are online tutorials and other ways of learning. It isn't always obvious without talking to a human there which is not always quick.
I think Submittable is the tool and the application is the end of us building stronger relationships with our grantees. The tool can make it more or less accessible depending on how you access, design and share out the application. I do like that we can message each other with questions and those answers become part of their application.

You have to have enough applications in a year to justify the cost. As a small foundation, it became cost effective once we had multiple grant applications each year to justify the cost per application. It is so much easier than the old paper application days!

Submittable is easy to use for our applicants, streamlines the grantmaking process and provides structures for a range of reviewers on our panels. i like that you continue to come up with new tools, although I wish many didn't come with additional costs.

Evaluating Submittable and Competitors

We have used Submittable for about 7 years so at the time it was our first shift to online applications -- ease of use was paramount.
I would look at the fee schedule and what is included at different levels. Submittable has added features since we joined which is great but not all are included at our subscription level and we can't afford to pay more. It is discouraging to hear all the cool new things and then at the end of the presentation, be told it would require an upgrade to access them.

Submittable Implementation

As a small organization, it was a lot to initiate our first year or two but it was also a long time ago so it might be easier now. The payoff was so valuable and we continue to find new ways to use Submittable. I think it is expected to have a learning curve and some bumps along the way, but the streamlined process is incredibly valuable platform for our applicants and our board.

Configuring Submittable

I think it is fine for this kind of product. Most things work well for us and there are other things we would like to use but they aren't in our subscription level.

Submittable Support

It would be appreciated if phone support wasn't tied to our subscription level. As a one-person office, I don't have internal support and sometimes need answers quick than an email. That being said, I have received good support through email within a day and the resource library has also been helpful.

Slow Initial Response
No. We can't afford it. This subscription is a very large expense for us. Worth it but it is expensive for a small organization.
We didn't realize that we were hitting our application limit for the year on the same weekend we had a deadline. I wrote to my sales rep in a panic and they wrote back (on a Saturday) and added applications to my limit so the application portal didn't shut down.

  • Copying an application to update for the next grant cycle
  • Using additional forms to ask for grant payment info and final reports - along with deadline and reminder options. I like the flexible deadline option.
  • We conduct site visits before organizations apply and there is no way to link an internal report to an application that comes in later --

Submittable Reliability

This is not an issue for us. We don't have multiple departments or sites.
I don't know that I have ever experienced an outage so it there was one, it was quickly fixed and did not impact our use.
Performance is seamless and quick. We aren't working with huge numbers of applications but reports are easy to configure and load immediately. We don't integrate with other software or systems.

Relationship with Submittable

The Submittable team has worked with us to provide discounts and multi-year contracts so we can save money and know that we will not have big rate hikes from year to year. They have been responsive as well with negotiating the number of team members and applications within our contract.
We have always gotten a prompt response to questions about our plan.
Discounted rate and multi-year contract at a fixed cost. This helped with our budgeting from year to year.
As I said earlier, it is frustrating when new features are introduced and we hear about them on the quarterly check-ins, only to find they come at an additional cost. I think new featured should be grandfathered into existing contracts and then renegotiated.
