Easy solution for managing staff spending

Use Cases and Deployment Scope

We use these cards for smaller, recurring purchases that certain employees need to make on a regular basis. Because the purchases need to happen on a regular schedule, it is much easier for these staff to have their own card, however they are not staff who we felt would need full access to a regular company card. Managing reimbursements were really starting to become time-consuming for these purchases, so Bento was great as a solution for our organization.

  • Sometimes takes a couple weeks to get a new card in the mail once ordered

Our organization runs a lot of short-term or one-off programs where the program staff need to buy supplies -- Bento is perfect for these scenarios. The staff who make the purchases are not staff who would typically have a company card, so we wanted a solution other than giving them a credit card. Bento was perfect because it makes the purchasing & bookkeeping processes for these programs easy and efficient for both the staff and the finance team.

Do Not Use Bento for Business for your business.

Use Cases and Deployment Scope

Attempted to utilize Bento for Business to assist with fund management with employees whom are mobile. The system would assist with purchasing of fuel and supplies while out of the office. The system would not only assist technicians with the ability to make purchases, allow admin to control purchases, and consolidate the finances of the company.

Bento for Business is a poorly run company that has horrible customer service. The signup process is extremely difficult which is backed by demanding staff. When staff is asked why documentation is denied, they will simply deny your application. These folks down at Bento for Business are not to be messed with as they will deny your application also. The free trial is a must have for their service as they couldn't charge for such service.

<span class="wysiwyg-color-black">We use Bento for Business to manage expenses across our company. We have 6 locations across SC and GA so employees need to travel and make small purchases on a daily basis. These cards allow our employees to do that in a way that is easy to track and import into QuickBooks. Transactions are displayed by employee with details on the amount and place the transaction took place. I'm also able to restrict purchase categories and amounts.</span>

Pros

  • Track expenses by employee
  • Restrict purchases based on amount and category
  • Import transactions directly into QuickBooks

Cons

  • All of the money on the cards is shared by everyone and can't be assigned to just one card
  • They are improving classifying transactions, but sometimes they are misclassified and employees have transactions declined
  • Limits are based on a day/month/week. It'd be nice if they were limited based on a single transaction too

Likelihood to Recommend

If you have a remote workforce and want to save time and/ or inconvenience for employees by eliminating expense reports, this is a great product. You lose a little control over expenses but we just created a policy in our employee handbook to clarify the misuse of funds and set category restrictions on the card. If you have everyone relying on this, you can have one person make a large purchase that depletes all of the funds. A free transfer takes 2 days but an immediate transfer to correct no funds has a fee ($30 for my bank).

Use Cases and Deployment Scope

The majority of our organization has switched to using Bento for Business for all our online and in-store purchases. We used to use credit cards but decided to switch to the model that Bento offers - a prepaid debit card that is not tied to anyone's social security number.

Bento for Business is great for businesses where employers are wary of giving out credit cards to employees with unlimited spending. Because Bento is a prepaid debit card, this automatically puts a limit on how much employees can spend. There is also no concern about credit card bills being paid on time because of this.
