Equips vs. iOFFICE by Eptura

Equips is great to handle multiple units at different locations and maintain stats. As for managing 3rd party vendors, Equips still puts some of the responsibility on me to respond to 3rd party invoices. This was well Managed when I first stared with Equips over 3 years ago. As of lately, this seems to be slacking on a bigger scale. Almost every time I make a service call for our color copiers, I later receive an invoice from the vendor, and an invoice-reminder from the vendor. This is currently an ongoing issue which concerns me about adding any more units in the future.

You can book multiple spaces for the day with one log in. IOffice is easy to use / I was trained by reading a few PowerPoint slides and could use it immediately. With Covid protocols in place it was important in be able to book space when needed since many of our offices were closed due to mitigation efforts

• Handles communication well.
• Easy to use portal.
• Quick response time.

• It is very good at plotting out office seating.
• We also use it for mail and package logging and notification and tracking.
• It is very useful in creating seating charts and floor plans.

• I still get invoices from the 3rd party vendor. Equips has inconsistent directions on how to handle this.

• The thing I would like to see is the ability to add the office or room dimensions and plot out seating such as in conference rooms.
• The version I have requires me to have to contact the company rep to make changes to the configuration in the software.

Equips is more affordable in comparison and we still get to use Ricoh through them.

I was an end user and was not involved in the selection of the systems

• We've saved money by switching to Equips.

• 100% of staff you needed to be in office were required to use iOffice
• Follow up surveys on iOffice use had a 95% positive response by users
• Once pilot was completed, over 350 staff completed training and used iOffice since 2021
