ARpilot
What is ARpilot?
ARPilot is an accounts receivable platform that manages invoice follow-up, payment collection, cash application, disputes, payment plans, and reporting within a tenant-specific environment. The platform uses AI to draft invoice-specific follow-up communications and requires operator approval for outbound actions and accounting-system write-backs.
Key Capabilities
- Invoice follow-up: ARPilot drafts communications using invoice details such as customer, amount, outstanding balance, and due date. Teams set the communication cadence and can preview, edit, reschedule, pause, or cancel queued messages in list and calendar views.
- Payment collection: Branded invoice pages accept card and ACH payments through Stripe without requiring customers to create an account or sign in. When an invoice is paid through any channel, ARPilot cancels the remaining follow-up sequence.
- Cash application: The platform matches deposits to invoices using payment amount, date proximity, payer-name similarity, and reference numbers. Matches scoring 0.95 or higher are applied automatically; matches from 0.70 through 0.94 are sent to a review queue with ranked candidates; lower-scoring matches remain unmatched.
- Payment plans and disputes: ARPilot records dispute intake and supports installment payment plans with scheduled charges for customers who cannot pay an invoice in full.
- Recommendations: A tenant-level optimization engine analyzes historical activity and recommends changes to send timing, time of day, cadence, channel mix, template performance, payment-plan structure, and dispute risk. Each recommendation includes a confidence score and supporting data and remains pending until an operator applies it. The engine identifies when data quality or available history is insufficient for a recommendation.
Audience & Use Cases
- Audience: Accounts receivable teams, finance operations staff, and reconciliation specialists.
- Use case: Teams can manage invoice collection and payment matching while retaining review controls over customer communications, ledger updates, and operational recommendations.
Technical Specifications
- Access control: Row-level security supports role-based access, including a reconciliation-only role. Privileged actions require multi-factor authentication.
- Data protection: Credentials use AES-256 encryption with keys held in a vault. Support impersonation is read-only and audited.
- Integration: ARPilot provides documented APIs, scoped API keys, and database-triggered webhooks for events initiated through the user interface, API, scheduled jobs, Stripe, or dispute workflows.
