as an operation team this tool helps you track the progress of projects nut for a project manager aspect it doesn't cover all of those needs

Our Architecture firm of around 10 is currently using BigTime Software to manage project time frames and budgets, enter/submit timecards, and generate and send invoices. We are also able to receive payments using BigTime Wallet directly to the software.

The BigTime Software platform has allowed us to keep everything project related all in one place and be able to pull data/reports that can and look at project budgets, project time frames, staff utilization, estimates, remaining, and projections of hours and fees of contracted work.

Using BigTime Software has allowed staff and Project Managers alike to have a better view of hours remaining on a task and be able to manage projects more proactively, which helps with efficiency and client relationships.

We have found the BigTime Software interface to be user friendly and clean. Although the software platform is very capable of all our needs, it does not feel overwhelming or cluttered.

We are using the lower to mid-level tier of options and for our needs it has been working really well.

Pros

  • Thorough and clean setup of each project/client - they have almost everything you need at your fingertips to manage data for each project/client.
  • The Financials Tab - this is a quick overview of all the time/expense for each project and provides easy access if/when I need to move incorrectly logged time from a staffer.
  • Time Entry - simple and easy to use. My staff are able to log time on their schedule which could mean on the fly throughout the day, end of each day, end of the week, end of the pay period. It saves previously entered Project/Tasks and all you have to do is enter hours. This saves time and is a feature our owner loves.
  • BigTime Software Live Chat is a wonderful resource that I utilize regularly.
  • Overall company friendliness and willingness to help and improve. BigTime Software is excellent in this area, their company culture seems to promote involvement from all levels and all areas and is always looking for ways to improve.

Cons

  • More customization in invoice formatting (that I have control over)
  • Reports - I definitely prefer the old layout view, but they are not as easy to use as I'd like
  • The categories are not always clear to understand, what is what and/or how they are calculated can create extra work in excel post processing
  • Printing to paper w/out having to export a PDF first
  • Printing options in general (formatting, date ranges, details, etc.)
  • This area is incredibly lacking in options

I'd like to start by saying, I rarely give 10's on anything, almost always 9's, the main reason for my 10 rating is the support I've received from this team/company.

BigTime Software has been well suited for our company b/c it's giving a window into the project budget and time frames to our Project Managers to proactively manage their projects and look for areas to improve and celebrate with support staff. I would say efficiency in time management.

BigTime Software is not an accounting software and I love that about it. We were looking for a tool for staff to manage their projects and stay on budget and track time and generate invoices all in one place and we've found that with BigTime Software.

BigTime Software has been valuable in creating custom billing / rates / expenses for our clients. It has decreased the amount of time required for invoicing and is more configurable than our last system, which will positively impact how we grow as an organization and our ability to service our clients. We have found BigTime Softwareto be user friendly, and our staff have found improvements in how they can bill time and expenses.

  • I like the prebill invoice review process
  • Invoice formatting is easy to use.
  • Creating new clients and projects is quick and easy

Cons

  • We run into issues with BigTime Software syncing with Sage Intaact.
  • I think the clients account information needs to be displayed better. It's not as clear cut as it should be when looking for a customers balance.

I had a problem with an invoice payment not posting through to Sage today and I was able to chat quickly with Nate H. He was very helpful in figuring out how to solve the problem.

Currently using Big Time for Time, Expense tracking and also as a project management tool! So far its been great! It has so many great things it can do, and we are still learning! Tyler G. helped me today in their customer service Chat, and it was great. He gave me an anwer straight away, he was quick and professional!

I believe it is well suited for our industry! We are professional services consulting firm and we need this! However if there is a smaller company who does not need to track these items, then they should not use this big of a platform.

Our firm uses BigTime Software to track time and invoice clients. It integrates with our accounting system; however, it is not without kinks that require manual edits.

Recommendation would be based on company size and if the company has someone willing to undertake the initial configuration. An internal team member for our firm was able to spearhead the project and make adjustments. There are still manual updates that need to be keyed for each LEDES invoice created; this is time consuming and would be a huge stumbling block if we created hundreds each month. When rates need to be updated, the system requires an across the board update for each client instead of recognizing the dates that require the rate update. With that said, the a/r aging dash board is beautifully set up and inputting payments is very easy.

It's our timekeeping system. We track billable hours for employees against contracts, which are then used for billing clients. We also track non-billable hours such as holiday, PTO (Paid Time Off), etc.

Pros

  • Tracks hours by labor category and project
  • Can customize reports

Cons

  • I find it hard to customize some reports, but more technical staff can do so more easily than I do.

I had good technical help from Sierra T., who was able to figure out an issue we had with some hours not showing on all reports for an employee.

We use BigTime for time and entry, using tasks and work codes assigned to a staff member. We also utilize the budget section as well as the Quick Books and tax software integration system.

Pros

  • QuickBooks integration.
  • Tax software integration.

Cons

  • Allow for a date range in allocation screen being we have tasks yearly as opposed to a one time deal.
  • A two year comparison report.

In the beginning we felt the software was not suited for an accounting firm. It seemed it was more geared towards a company that only has a few projects yearly. However, the company worked diligently with us to get the product to work how we needed it to. We are still working out some kinks but are happy with the results so far.

We use BigTime as our timekeeping/expensing and invoicing application. A great aspect is that we use QuickBooks as our bookkeeping application, BigTime is compatible and able to automatically sync with QuickBooks throughout the day to ensure that both systems reflect the same information.

Pros

  • Easy input of time and expenses, into either their website or mobile app
  • Various invoice templates available
  • Bulk processing of invoices for efficiency

Cons

  • Currently there is no way to sort invoices in the approval screen by Team Lead, which means all of the Team Leads see everyone's invoices, not just their own
  • Customizing your own report is not straightforward, and we usually end up reaching out to customer service for assistance

Likelihood to Recommend

BigTime works well for companies that bill their clients by the hour, and that have multiple hourly rates depending on what task is being performed. It allows each employee to input their own time and expenses, and also allows their supervisors to review the input time/expenses before invoicing the client. The flexibility to input time/expenses on your desktop, laptop, or phone is a good feature. The customer service response can be slow at times, although recently they have had quicker response times, so I believe they are striving to improve that aspect.
